The Pleasanton Seahawks Swim Team practices daily (Mon-Fri) at the Dolores Bengston Aquatic Center, 4455 Black Avenue, Pleasanton, California. New members may join at any time. Board of Directors

The Pleasanton Seahawks are very proud of the meets we host.  We have a tradition of hosting quality meets that support the U.S. Swimming competitive community.  As a team, we take advantage of the meets hosted by other teams and it is important that we do our part to provide a quality venue.   Hosting swim meets is an important way to highlight the Pleasanton Seahawks organization and, as a city sponsored team it is also a way for us to bring business to the hotels, restaurants and retail businesses of Pleasanton. 

 

We welcome your participation in our wonderful team.  Serving on the Board of Directors is a wonderful way to support your child’s team and make a difference.

President: Preside at monthly board of directors meetings, at the annual awards banquet/full membership meeting and the executive board as needed. Sign all warrants with the Treasurer twice monthly. Act as a liaison between the coaching staff and parents. Meet with the city staff as needed regarding pool policies and water use contract. Coordinate picture day, plan annual budget with Executive Board. Attend Seahawk hosted swim meets and support Meet Director as needed.  Managerial and organizational skills are helpful.  

Vice Presidentshall preside at monthly board meetings in the absence of the President. He/she shall head all facility, maintenance and planning programs.  This job is flexible in time scheduling, but depending on ongoing team activities and projects, at times can be time consuming. 

Treasureris responsible for the fiscal operations, including processing and submitting payroll, payables, and preparation of financial reports e.g. balance sheet, profit & loss, budget variance report, preparation of State/Federal tax returns, assistance with preparation of annual budget and serving as liaison with financial constituents.  Knowledge of basic accounting principles and Excel required.   Estimated Time Commitment: Minimum 10-12 hours/month

Secretary: Composes and distributes monthly agenda, record and distributes minutes at the monthly board meetings, compose and distribute agenda and Confirmation of Quorum for annual membership meeting and other membership meetings, attend Executive Board Meetings, record and distribute minutes for same.  Estimated time commitment: 3-5 hours/month

Safety:Serve as the Head Marshal and Safety Lead, responsible for recruitment, training, registering, and scheduling all marshals for home meets and Zone 2 Championships.  Update safety binders on deck on a weekly/monthly basis.  Attend board meeting monthly and help out as needed.  Estimated Time Commitment: Home meets: 9-10 hours/day; preparation time: additional 10 hours.

Recruiting: Advertise and run fall/varsity swim registration in July and August. Primary recruiting time is two weeks before and two weeks after the summer recreational league championships. Organize and run all aspects of the Seahawk?s fall awards banquet, including assignation of volunteers to assist.  Distribute flyers to Pleasantonand Dublinarea schools. Attend monthly board meetings as scheduled.  

Meet Director: Responsible for the overall planning, preparation, and execution of home meets: secure meet facility, complete Pacific and/or USA Swimming paperwork, obtain meet sanction, obtain permits, prepare and distribute meet sheet, supervise/organize committee team leads, vendor liaison, distribute results, reimburse Pacific Swimming. 

Membership: Serve as representative to prospective members, provide orientation materials and registration forms to new members, maintaining current membership list and dues payment records.  Responsible for pre-season mailings and re-registration of returning members.  Estimated time commitment:10-12 hours/week at beginning of season, then 1-4 hours/week

Zone II Representative:  Responsible for attending monthly Zone II meetings and reporting same to the Board of Directors at monthly meeting, represents the team and votes on behalf of team regarding issues raised at meeting, supply list of upcoming meets to Head Coach, coordinates purchase of Swim Guides. 

Fundraising: Responsible for tracking member fundraising commitments: recording payments, making deposits, and communicating status of family accounts, identifying fundraising opportunities e.g. Aquathon, eScrip, Clorox Product Testing, etc.  Organize Aquathon and communicate with membership regarding opportunities/deadlines.  Estimated time commitment: 10 hours/month.

Publicity: Promotes Seahawks swimmers and teams utilizing multiples media outlets: Bulletin Board at AquaticCenterentrance, compilation of meet results and development of articles for the team website, as well as all local publications.  Serves as nominating chairperson of the Nominating Committee.  Skillset: Excellent writing skills.  Estimated time commitment: 10 hours/month
