OBSERVATION PROCESS and FORMS

PLEASE NOTE THE NEED FOR AN OBSERVATION IS ONLY IF THERE IS A REASONABLE CHANCE OF MEETING NATIONAL TIME STANDARDS.  

An observation is NOT needed for the Indiana Swimming state meet series (DIV, SR & AG) and Central Zone Sectionals as printed results are sufficient forms of proof of entry time at this time.  Observations will be needed for SWIMS results for Grand Prix, Juniors, US Open & Nationals.  Some national-level invites, not held in IN, and that use Online Meet Entry, may also require that a result be in SWIMS (therefore, an observation is needed).

Observations cannot be granted “after the fact”.  This is similar to a sanction or approval process (see below).  Please allow enough time to get your meet observed. 

As per the forms below, the most misinterpreted portion of the form is that the non-USA Swimming host organization (IHSAA or NCAA) must have a minimum number of IHSAA or NCAA officials running the meet like USA Swimming does (4 officials).  Therefore, if your meet has two (2) assigned IHSAA/NCAA officials, and neither are USA Swimming officials, you will have to get four (4) USA Swimming officials to observer your meet.  If your meet has two (2) assigned IHSAA/NCAA officials and one (1) is a USA Swimming official, then, you only need to get three (3) additional USA Swimming officials.  I hope that these examples above make this requirement a bit more clear.

REQUEST FOR OBSERVATION - Form A
This form can be saved and clubs can key in their information, save and email back.  It is to be used to request observation for verification purposes at High School or Collegiate meets that are NOT season-culminating championships. Example of meets that would need to submit Form A-  High School Conferences or County Champs or Invites; Collegiate Duals or Invites).  The observation program is NOT available for any high school dual meets or any middle school dual meets or time trials. See above opening statement that observations are not needed to enter Indiana Swimming’s championships (DIV, SR & AG). 

REQUEST FOR OBSERVATION - Form B
This form can be saved and clubs can key in their information, save and email back. It is to be used to request observation for verification purposes of High School or Collegiate meets that are part of the progression for the season-culminating championship or the actual season-culminating championship.  Example of meets that would need to submit Form B - High school – Sectionals or State; College – Conference or NCAA’s.

Observation authorization for meets that are not in the qualifying progression (they are NOT  High School Sectionals or Collegiate Conferences) must be requested on Request for Observation - Form A.
