Dear members,                                                                                                September 22, 2017

Your Board of Executives request the honour of your presence at our Annual General Meeting (AGM) on

November 1st 7:00 pm

White Rock Recreational Centre located at 15154 Russell Avenue (Hall B and C)

Important Points to be discussed and voted on:

1. Election of New Board members 

2. All usual business discussed and voted on at the AGM

Nominations:  If you have someone in mind who might be a good addition to the Board, please send the nomination to janitablaskovich@gmail.com no later than October 13th, 2017, so the president can contact these individuals to confirm that they are willing to let their name stand.

The positions of the BOD are as follows, those in BOLD are to be voted on at the AGM this year.

President – David Albert currently holds this position and he is willing to hold the position for another 2-year term.

 "Master of the Ship" - The primary function is to preside over all meetings of both the Society and the Board of Directors, is charged with the general management and supervision of the affairs and operations of the Society and is the primary line of communication with the Head Coach.  The president has the deciding vote in split BOD decisions. The President must be on the Board in some other capacity for one term prior to taking on the Presidency.

Vice President 1 – Shawn Greffard currently holds this position and he is willing to hold the position for another 2-year term. Other nominations are welcome.

The primary function is to liaison with the head coach to help find sponsorship opportunities and to fill the role and responsibilities of the president in their absence.

Vice President 2 – Adrian Lee – currently holds this position and he is willing to hold the position for another 2-year term. Other nominations are welcome.                                                           

The primary function is to step in to the President’s role in VP1’s absence.  VP2 also takes on one of the portfolio’s listed below.

Treasurer: Kat Skuse – one-year remaining in term.

Please note: Cameron Biffart stepped down at the beginning of the season from the position of Treasurer, but will be staying on the BOD in role of Director at Large.  Kat Skuse stepped into the position of Treasurer by a unanimous vote of the BOD, on September 12, 2017.

The primary function is to be the point of contact between our book keeper, the accounting firm and the BOD.  Ensures all club accounts are in good order and ensures that all financial reports are current and present at the meetings.

Secretary – Janita Blaskovich – one year remaining in term.

The primary function is to be the primary point of contact between the Membership and the Board, to take minutes at all meetings, to formally call all BOD meetings and the AGM and is the keeper of all official club records, including but not limited to the constitution, public minutes as well as in-camera minutes, and employee contracts.

Director at Large – Cameron Biffart – one year remaining in term

Please note: Cameron Biffart stepped into the position of Director at Large by a unanimous vote of the BOD on September 12, 2017.

Director at Large – Sven Mothe will be completing his two-year term.  Nominations are welcome.

The primary responsibility is to take on one of the portfolios listed below.

The primary responsibility is to take on one of the portfolios listed below.

Please keep in mind that this is a working Board and Directors are asked to oversee one of the portfolios listed below.  You will work with a team of people to ensure the duties are carried out and report back to the BOD must stay on top of their responsibilities.

Meet Manager Portfolio- Coordinates with Head Coach and Meet Manager to organize meets hosted by PSW and updates the BOD on status of upcoming and completed meets hosted by PSW.

Volunteer Point Portfolio– Coordinates with a committee to track club volunteer points and corresponds with membership to ensure this is up to date and reports back to BOD regarding status.

Special Events Portfolio– Coordinates with a committee of members from the club and organizes social events for the club (e.g., Welcome back BBQ, Year end banquet, Christmas party etc) and reports back to the BOD on the progress and attendance of these event.

Team Travel Portfolio - Coordinates with Head Coach to organize team travel for swim meets (e.g., books hotels, flights etc) and arranges chaperones for team travel meets and reports back to BOD regarding success of team travel.
