Annual Club Swimming Registration

Step 1: 

** Please note: Before beginning registration, be sure that you know the roster group your swimmer should be registered in for the upcoming season. You will need this information for the system to bill you accordingly.
 

If you have not received a confirmation email from the Club indicating the roster group for your swimmer or you are unsure, please click the "Contact Us" tab above and we will let you know which group your swimmer should be registered in.

*Please note that fees may vary slightly should Swim BC alter their fees or something changes within the WGB swim club. The listed fees are based on updated fees from The City of Whitehorse. Swim BC usually does not alter their fees by more than a few dollars$.

Refund Policy

Refunds/withdrawals from the WGB club will ONLY be considered by the WGB Board in one of the following two situations:

1. Within the first TWO weeks of the swimmer's "first splash" (written/email notice required to club)

OR

2. in the event of illness or injury of a swimmer. Must be supported by a medical note. 

If granted, the refund will be prorated to the date of the written notice. If the withdrawal does not meet the criteria stated above and fees have been paid for in installments, then all future installment payments WILL BE processed.


ALL volunteer requirements must also be met during the remainder of the swim season even when your swimmer withdraws from the club OR quits swimming OR stops coming to practices.


The Swim BC registration fees/insurance fees and WGB membership fee will under no circumstances be refunded. An administration fee of $50 will also be charged.

Swim Meet Fees:

Attending swim meets requires payment of fees, usually in the range of $6-$15 per event.  There may also be additional fees, for example, BC splash fees are $6 per swimmer attending the meet.  Any meet fees incurred for attendance at internal swim meets (2 major local events; Nov. & April & 2 Time Trials) will be paid by the Glacier Bears Club. Bingo fundraising goes towards these fees.

As of Nov. 2017, swimmer's account will NOT be charged their meet fees for attending outside meets. Payment for the swimmer's meets fees is made by the WGB swim club to the hosting club for the outside meet. NOTE:  No refund of meet fees will be granted if the swimmer does not participate in competition due to sickness or other reasons. BE SURE to advise the swim club IF your plans change and your swimmer does not attend the meet. Scratch fees are charged to the our swim club when withdrawals are made after the deadline for entries.

Overview of Membership Fees

For most swimmers, the swim club membership fees represent the bulk of their financial commitment for the season. These fees include the following major components:

  • Coaching costs
  • Warm-up deck sessions
  • Pool Time
  • Cost of participating in swim meets hosted by Swim Yukon and WGB club

Membership fees do not include the following:

  • National and Provincial Association Membership Fees
  • The cost of participating in away swim meets (non-WGB hosted meets)
  • Cost of participating in special dryland training sessions (senior squads)
  • Charges related to any incomplete volunteer service hours commitments
  • Team suits/apparel/goggles/swim fins/snorkel/hand paddles

 

Other important information...

Payment Options:

  1. Pay in full (registration fees + deposit) at the time of registration using Visa/MasterCard, cheque, or E-transfer to club via club email:  whseglacierbears@gmail.com
  2. Pay your deposit fee at the time of registration and then pay 3 equal payments for the next 3 months from September 1st to December 15th, inclusive. Visa/Mastercard is currently available to all members at no extra cost. Monthly post-dated cheques will be accepted. NSF cheques will be charged an additional $50.00


Move-up and Transition Fees:

Swimmers who transition into higher training groups throughout the season will be responsible for paying the difference in squad fees. Competitive swimmers can join at any time during the season. Payment structure will be pro-rated meaning that swimmers will be responsible for paying the deposit fee & registration fees that correspond to their roster group and then monthly installments from the date that they register.


Meet Hosting Commitment:

Whitehorse Glacier Bears is proud to host two swim meets each year which raises considerable funds for our club. All swimmers are responsible for providing at least one volunteer for each and every session of our home meets.This program was first implemented during the 2010-2011 swim season and has proved to be highly successful in ensuring all families volunteer the time the organization needs to survive and to thrive. Families not meeting their volunteer commitment will be assessed a penalty.

Swim BC Registration Fees:

Charged by Swim BC, our governing body.  Swim BC fees pay for swimmer insurance, membership with Swimming Canada and athlete development programs.  Fees are mandatory for all members and are non-refundable.  Please refer to the Fee Schedule above for details.

Non-competitive fee: $47 (means you can only compete in ONE sanctioned event per season)

8 & under: $91 .   9 & 10 yrs: $111 .  11-14 yrs $157 .  over 15 yrs: $199


Non-recurring Account Charges: 

Non-recurring charges that are paid by the swim club on behalf of your child throughout the season will be charged to your swimmer’s account. These charges include swim meet entry fees for away meets and/or team travel. Monthly emails will be generated by the TeamUnify system on the 21st of the month outlining the charges to be invoiced on the 1st of the month. If there are any discrepancies, they should be brought to the immediate attention of the club administrator (334-1668) prior to invoicing. It is the responsibility of each family to ensure that accounts are kept up-to-date, failure to do so will result in late fees and suspension of meet sign-up privileges. 


Meet Entry Deadlines/Fees:
 

Deadlines for committing your swimmer for upcoming home and away swim meets are normally due three weeks in advance of a meet date or as indicated in the event sign-up email. Your swimmer will only be eligible to attend a meet once you have committed them to attend. This is done by selecting the meet on the event page and clicking on the "attend this meet" button. Once the coaches see that your swimmer has committed to attend the meet, they will choose each swimmer's events. Associated meet fees ($8.50 per race + $5 regional fee) will then appear in your online family account and will be invoiced on the 1st of the month following (depending on the age of the swimmer, they will race anywhere from 5 to 8 races). Families are responsible for keeping their accounts paid and late payments will result in a $20 late fee and a suspension of meet sign-up priveledges.  Swimmers who scratch from the meet after the entry deadline will still be responsible for their meet fees.  Host clubs will only refund meet entry fees with a doctor’s note.

***A late fee will be imposed for any late meet sign ups. 1st offense incurs a charge of $20 per family account, subsequent infractions will incur a $50 charge.


Vacation/Illness Policy: 

Annual fees are based on an annual program.  Therefore, refunds will not be given for vacation or illness. Refunds for extended illness (30 days or more) will only be considered with a doctor’s note and the approval of the WGB Board of Directors.


Withdrawals and Refunds: 

WGB swim fees, WGB deposit fees, SwimBC fees, and WGB membership fees are non-refundable. Training fees will be refunded for remaining months after email notification of the withdrawal is sent to the registrar, club admin. and coach at whseglacierbears@gmail.com . Your withdrawal will occur at the end of the month of the day that WGB Registrar is notified. Any outstanding family accounts must be paid in full before remaining post-dated cheques are returned. An administrative fee of $50 will be charged.

Fundraising: 

Whitehorse Glacier Bears recognizes that today’s families are very busy and very few have spare time to spend raising funds.  However to ensure that fees remain affordable, we do need to have additional funds coming into the club.  We have some very easy ways to help out.

  • Bingo every Sunday at Elk's Hall (11:00 am to 4:00 pm)
  • Trade Show Food Tent weekend
  • Other local fundraising events generated by individual member interest
  • Year-end BBQ & Awards

Children's Fitness Tax Credit: 

Now in 2016, the Government of Canada is allowing a non-refundable tax credit on eligible amounts ONLY up to $500 paid by parents to register a child in an eligible program of physical activity (formerly $1,000).  This Federal Child fitness tax credit will disappear in 2017. 

Note: The 2017 Yukon Tax Credit for Fitness for children 16 years of age and under will be applied using YT Tax Form YT479 when completing your 2017 taxes.

The Whitehorse Glacier Bears swim club programs are eligible activities. Please keep a copy of the email sent to you in February each year from your swim account as your receipt for Revenue Canada if needed.

A charge of $25 will apply for any requests to reissue this Fitness tax receipt from the swim club.

A note from Swimming Canada: "To be eligible for the children’s fitness tax credit, the fees must be paid for a child who is under 16 at any time in the year.  The fees must relate to the cost of registration or membership in an eligible program of physical fitness activity.  There will not be a need to submit receipts when filing your tax return, but you must keep them in case the Canada Revenue Agency asks for them when verifying the claim.  Receipts should be kept for six years."
