Membership Information

 

OUR PRIMARY GOAL

Our desire is to welcome back every swimmer from last year’s team. We want everyone to continue to enjoy the fun, the competition and the camaraderie that is the Bucs.

Also, as a sub-board of the BRC, it is one of our tasks to ensure BRC bond-holders have a place on the team. We’re also wary of overloading certain age and gender groups, so we’re not going to extend our facilities and coaches too far. So here is our registration plan:

 

FEB. 26 THROUGH MARCH 12: REGISTRATION FOR 2018 TEAM MEMBERS

All 2018 swimmers (and their siblings who are new to the team) can go to bucsswimteam.com and register for the team from Tuesday, Feb. 26 to Tuesday, March 12. This is the ONLY window in which returning swimmers and their siblings can sign up for the Bucs.  If you register after this time, there is no guarantee that there will be a spot available.

 

MARCH 13: TEAM INFORMATION NIGHT

We are hosting our annual Information Night from 7 to 8:30 p.m. at Hill Middle School. This is the time for new families as well as returning families to go over details about the season – and volunteer for open parent chair positions. 

 

MARCH 13- APRIL 5: REGISTRATION FOR NEW FAMILIES

All other families who want to join the Bucs can register during this timeframe.

 

APRIL 7: PROFICIENCY TEST FOR NEW SWIMMERS:

We have rented two lanes of the 95th Street YMCA pool from 4-5 p.m. on Sunday, April 7. All potential new swimmers must pass a swim test (freestyle and backstroke) during this time frame OR produce a certificate from DuPage Swim Club, Bear Paddle, Goldfish or another Learn to Swim program that asserts that your swimmer can handle 12.5 yards of freestyle and 12.5 yards of backstroke if they are 6 and under and 25 yards for both strokes for 7 and up.  This is not a "tryout", but a test to ensure the swimmers will be safe during practices and meets.

 

APRIL 10: SWIM SUIT TRY ON AT HILL:

We will have a fitting for the team suits at Hill from 5 pm-7:30 pm.  This will give you an opportunity to try on the suit for the best size and order personalized caps and other items from Swimmers Edge for a 15% discount.  You can still go to their store for all of the same options if you cannot make this date.

 

WEEK OF APRIL 22: ROSTER IS FINALIZED

The swim board will count the number of applicants we have in each age and gender group and find out whether we’re going over our limits. I cannot emphasize enough that we hope to have room for everyone. We will let everyone know their status by the middle of the week.

 

MARCH 13 to APRIL 22: ORDER BUCS SUITS

We are keeping the same suit as last year and will work with Swimmers Edge again this year to provide our suits. EVERYONE CAN WEAR LAST YEAR OR THE PREVIOUS YEAR’S SUITS IF THEY WISH. If you want a new suit, you can visit the Swimmers Edge store in Woodridge. All Bucs swimmers get 15 percent off other merchandise when they visit the store. Just say you’re with our team.

BONUS FITTING: Swimmers Edge will meet us at Hill Middle School in April 10 from 5 to 7:30 p.m. to do a suit fitting. The store will have a lot of suits on hand, so there’s a good chance you’ll be able to take home your very own suit!

If you don’t get your suit at the fitting, you can still go to Swimmers Edge by April 22 to get fitted. Everyone should receive their suit BEFORE practice begins. 

 

APRIL 15: PAYMENT DUE

Once your registration is confirmed, you will be placed on hold until all payments are received.  Once all payment are received, you will be activated and will be able to sign up for jobs and declare for meets.  Please allow a few days for activation once your payment has been received. You will receive an email telling you that your registration payment has been processed.

 

MAY 4: JOB SIGN UP AND MEET DECLARATION OPEN AT 8:00 AM

Please see below for job sign up requirements and instructions.  Job sign up will close on  May 19 for all swimmers.  

 

Meet Declaration closes 1 week before each meet and will be strictly enforced.  A swimmer will not be eligible to compete in any swim meets until the family has signed up for all of the family job requirements and all required fees have been paid.

 

MAY 28: MEET THE COACHES PARTY AND START OF PRACTICE

Practice begins on Tuesday, May 28.  There will also be a Meet the Coaches Popsicle Party beforehand.  We will have evening practices until school is out.  The full schedule will be posted as it gets closer to the start of the season.

 

JUNE 8: TIME TRIALS

Due to the dual meet schedule this year, time trials will be held very early in the season the morning of June 2.  

 

REGISTRATION FEES

Fees for the 2019 season will be:

$170/swimmer for Brookdale Racquet Club members (plus a $30/family activity and concessions fee);

$240/swimmer for non-Brookdale Racquet Club members that live within the NPD area (plus a $30/family activity and concessions fee); and

$310/swimmer for non-Brookdale Racquet Club members that live outside the NPD area (plus a $30/family activity and concessions fee).

This fee covers the cost of awards, coaches’ salaries and gifts, equipment, insurance, ribbons, team parties, miscellaneous expenses, as well as Naperville Swim Conference and championship meet fees.  Fees can be paid in one check made payable to Brookdale Racquet Club.

No job deposit check will be required as part of the swim team registration process.  If a job is not signed up for or worked, the family will be charged $50  This must be submitted before the family's swimmers will be allowed to attend practice or swim in another swim meet.

Any accounts that have checks for registration fees, job security deposits, etc. that are returned for NSF will have a $35 NSF fee charged.  In addition, all swimmers under the account will be inactivated until the required fees and $35 NSF fee have been paid and cleared.

REFUND POLICY

A full refund of the registration fee (minus the concession fee) will be given for a swimmer if a written request to withdraw from the swim team is received before time trials.

A 50% refund of the registration fee (minus the concession fee) will be given for a swimmer if a written request to withdraw from the swim team is received before the first scheduled dual meet.

No refunds will be given for withdrawal from the swim team after the first scheduled dual meet.

 

BUCS Online Registration Instructions

Setting up an account:

·         New and returning families should click on “Start Registration. The program will then lead you through the steps. If you are a returning family, you can log in to the website first to save time.  Please use your email from last year.  You may request a new password if you have forgotten yours.  An email will be sent to that email with instructions on how to log in.  Please note that this new system only allows one login per family.  If your email does not work, please try your child's other parent's email.  If we have the wrong email as the primary, please email Cara DeGraff at degraff@sbcglobal.net to have it changed.

·         Please have available any email addresses and/or cell phone numbers at which you would like to receive information about the swim team. They system will allow you to receive reminders via email and/or via text. Returning families, please review this information and update it as needed.

·         All swimmers in a family will be listed under one account.

·         Once all returning and new swimmers are entered, and you have confirmed the information, click “Pay by Check”

·         Read through the NSC Waiver. Click the box to accept the waiver. Finally, click “Complete Registration and Pay By Check”

·         Print the invoice and attach it to your check.

Payment:

·         Payment must be received in order for your account to be activated so that you can register for jobs.

·         Please make checks payable to “BRCor use Chase QuickPay (now Zelle).

·         Fees will be received by the treasurer, Elizabeth Lopez or dropped off at Cara DeGraff's house at 1633 Hinterlong Lane.  

Job sign up:

·         All families are required to work jobs during the season so that our swim meets can run smoothly and safely. Each family will sign up for 5 jobs and 1 general pool. General Pool is an “as needed” category. We hope that we will rarely have to pull from our general pool list, but you should always assume you could be assigned to a job on your general pool day, and you should be available and check in with the Personnel Chair at a meet.

·         Each family may sign up for only ONE job at time trials and for only ONE party.

·         Job sign up will open on May 5. Again all fees must be paid prior to that date in order for your account to be activated for job sign up.

Job sign up process:

·         Go to www.bucsswimteam.com

·         Go to Schedule. Note: there are multiple links to get to the swim meets.  One is through the events on the large icon or at the bottom of the home page.

·         For each meet/party, there will be a link under the description that says “Job Sign-Up”.   Again, please remember you may only sign up for one Time Trial job per family, and for only one party per family.

·         Click the “Job Sign Up” link for a meet or event you think you would like to work.  

·         Step 1: Find the empty slots shown as "---------".

·         Step 2: Click on the checkbox in front of the empty slot that you want to sign up for.

·         Step 3: Select [Signup] button to signup for the slots that you selected.

·         Note: If your Account name is printed right after the checkbox, you've signed up for that job. You do NOT have to "Signup" again. You, however, can use the "Remove Signup" button to remove the signup if you no longer want to work on that job.  If someone else's name is printed, that job slot is not available for you to sign up (this is a first-come-first-serve system). You can only sign up for the empty slots shown as "---------".

·         Click on the back arrow to go back to the calendar and choose another event/meet for sign up until you have registered for 5 jobs and 1 general pool slot.

Job registration will close on May 20. If you are not able to fulfill your job responsibility after that date it is YOUR RESPONSIBILITY to call another parent to switch jobs. Contact information for all families is available on the website.  You will be able to see who is signed up for every job at every meet by clicking on the “Job Sign Up” button to run reports, so you know who you might call to trade jobs.  Job details are also available on the On Deck app.
