The Annual Meeting of all members of the Camillus Swim Club Inc.
has been scheduled for Tuesday, March 13, 2018 @ 6:30 PM
in the LGI
Auditorium at the West Genesee High School.
The agenda will be short.

- Registration and Financial Summary
- Proposed Revisions to CSCI Bylaws;
- Update on Volunteer Recruitment
- CSCI Elections
The CSCI Bylaws require elections to
be held annually. The Board of Directors is comprised of
seven (7) members elected to two (2) years terms. There will
be four (4) board seats eligible for election or re-election at the
March 13 meeting. The current board members whose terms will
expire are: Kristine Blumer, Tom Gdula, Liz Ivery and Pete
Fitzgerald. Pete is a fairly new board member who is
completing the term for retired board member, Mike Gittschau.
The remaining board members’ (Jennifer Putnam, Paul Femano
and Ted Smith) terms will expire in 2019. Both Liz Ivery and Tom
Gdula have stated they will not be running for re-election, so at a
minimum we are looking for two new board members.
The Nomination process will work as
- Any member in good standing of
CSCI is eligible for election as a board member. [Note: to be
a member in good due standing, all outstanding registration fees
and membership dues must be paid
in full by the time of the election. A member who is in
arrears will be ineligible to vote and will not be eligible for
- This will be an open nomination
process. Any member of CSCI may nominate either yourself or
another member of the club. Nominations should be sent to Ted
Smith who will act as Nomination Chair at email@example.com. Nominations will be
accepted orally, via email or in writing, at any time up until the
time of the election.
- After a nomination is received, the
Nominations Chair will contact the individual club member who has
been nominated to determine if he/she will accept or decline the

email to all CSCI members prior to the election to let everyone
know who has accepted nomination(s) for the upcoming election.
The election of new board members will
follow the following format:
- Voting will be by secret written
ballot. The ballots will be jointly counted by the
Nominations Chair and a second board member, Paul Femano, who is
not running for election.
- Voting will be done for one (1) open
board position at a time. The top vote getter on the first
ballot will be the first newly elected board member. The
voting then continues and all CSCI members will then be able to
vote again for the second board member, then the third member and
fourth member until all positions have been filled.
- Voting will be limited to one (1) vote
per family. This rule will apply even if there is one or more
parent per family. If parents cannot agree on their singular
vote, no ballot may be cast. [Note: some Officials and
Coaches are also parents of swimmers, in this case, voting is still
limited to a singular vote per family. Coaches who do not have
swimmers on the team are entitled to vote.]
- All CSCI members are strongly
encouraged to attend the election. However, a member who is
not able to attend may designate a proxy to act on their
behalf. Written designation of the proxy must be provided to
the Nominations Chair prior to the start of the election.
- The results of the election will be
immediately announced and the terms of the newly elected board
members start on April 1, 2018 will continue until March 31, 2020.
Finally, as required by the Bylaws, a
reminder notice of the annual meeting will be sent via Team Unify
within five (5) days but not more than ten (10) days before the
There is a proposed change to the CSCI
Bylaws which will allow any individual elected as a Board Member to
receive an annual $250 credit towards Club dues and meet
fees. This is one way we are trying to recruit more active
participation at the board level. Please note this proposed
change will not take effect until September 1, 2018 and is
contingent on the newly proposed Bylaws being passed by the Club
A copy of the proposed Bylaws (and the
current version) are attached for your review. With the
exception of the proposed change to the stipend for Board members,
the changes are minor and ministerial. Please review the
proposed changes to the Bylaws. No final vote on the changes
will be held until after a period of public comment and question
period which will be held at the Annual Meeting.
