Calling All Volunteers!

As with every year, we are calling on all parents to help participate and volunteer for our team. We have many opportunities that are not on a Saturday so please consider how you may want to serve our team during this upcoming season. We have a couple opportunities that haven't been available in the past. 

  • Team Co-President: Do you love the Stingrays and want to help direct the team moving forward? Come alongside me as I transition out of this role for next season and learn how it all works.
  • Meet Official: We need to two parents to be meet officials, go to a training session and be available in case our paid official cannot make it for some reason.
  • Apparel Coordinator: Help order and then pass out our team apparel.

Competitive swimming is very different from most other sports because it involves the whole family, both swimmers and parents. Each family is expected to volunteer to work a specified number of meet positions during the summer swim season. One volunteer position is usually one-half of a swim meet. Here is a list of the rest of our volunteer roles for this coming swim season, some of which are not on a Saturday swim meet. If you are interested in volunteering for any of these roles during this season, please reach out to our Volunteer Coordinator, Connie McCallon at  stingraysconnie@gmail.com. 

Below are some of the volunteer positions that are required for EVERY swim meet:

Meet Set Up

Set up head table, ready bench, and EZ-ups. Must be able to lift 50-75 pounds. Opportunities at Time Trials, Home Meet and Special Events.

Snack Bar

1

Take customer orders, collect payment, prep and serve food. Opportunities at Time Trials and Home Meet.

Timer

1

Check-in with Timer Coordinator to get stop watch and instructions. Times swimmers. Opportunities Weekly.

Ready Bench

1

Check-in swimmers at ready bench. Distribute lane cards to swimmers and line up swimmers by lane assignment. Opportunities Weekly.

Lane Runner

1

Check-in with Lane Runner Coordinator, Help distribute and collect lane cards from timers. Deliver lane cards to head table. Opportunities Weekly.

Back-up Timer

1

Check-in with Timer Coordinator. Get a stop watch and instructions. Opportunities Weekly.

Ribbon Sorter

1

Attach labels to ribbons, sorts and files ribbons by swimmer, and works with the Head Table. Opportunities Weekly.

Meet Tear Down

1

Break-down and clean up head table, ready bench and EZ-ups. Opportunities at Time Trials, Home Meet and Special Events

Data Entry

1

Enters race results and works with Head Table volunteers. Opportunities Weekly. *Experience required

Card Sorter

1

Sorts lane cards from each event and works with Data Entry volunteer. Opportunities Weekly.

Meet

Announcer

1

Announces meet events over the PA System, coordinates with the meet official to keep things running smoothly. Must be easily understood and comfortable with public speaking. Familiarity with the flow of a swim meet is recommended. Opportunities at Time Trials and Home Meet. *Experience Required

Volunteer Check-In

Oversees volunteer check-in at each meet.  Distributes stop watches and explains Timer responsibilities. Primary role at a meet.

Statistician

Responsible for entering and maintaining team stats and records. Prepares and submits ISL reports after each meet. Works directly with coaches to create meet entries. Works with team ribbon sorter. Primary role at meet and between meets.

Concessions Coordinator

4

Responsible for planning, purchasing and over-seeing the operation of team snack bar at all home meets.

Apparel Coordinator

Works with team president, or designee, to plan, order and distribute all team apparel and spirit wear. 

Sponsorship Coordinator

Responsible for developing a marketing plan which outlines sponsorship and fundraising activities. Supervises the person responsible to solicit sponsorships (ie. Head coach, parent volunteer). Pursues procurement of monetary or in-kind goods donations for the team.

Lap-A-Thon Coordinator

Plans, coordinates and runs team swim-a-thon event. Pursues the procurement of either monetary or in-kind goods donations to the team for use as prizes. 

Trophy Coordinator

Plans, prepares, orders and distributes team end-of-season trophies and awards.

 

Ribbon Sorter

4

Works with the team statistician to prepare and manage meet entries, ribbons and ribbon labels. Sorts ribbons each week for distribution at practice the following week.

Team Photographer

4

Responsible for taking, posting and maintaining team pictures at meets and team social events. The team will reimburse for any costs related to website postings and printing. 

Photo Day Coordinator

Responsible for coordination of photographer, communication with parents, taking photo orders, in advance. On the day of, responsible for execution of timeline. Responsible for distribution of photos to team families.

Meet Manager

Oversees swim meet preparation and meet management. Works with the volunteer coordinator to ensure parents are signed up for meet duties. 

Team Registrar

Oversees team registration, roster and swimmer eligibility requirements. Communicates with parents and team regarding registration.

Volunteer Coordinator

Responsible for the sign up and management of Parent Volunteers. Ensures that all volunteer positions are filled for each swim meet. Communicates directly with parent volunteers regarding duties and assignments. Keeps the board informed of parents who do not fulfill their volunteer responsibilities.

Home Owners Association Coordinator

Responsible for the communication with and to the Northwood Courtside Home Owners Association. Attend meetings, get approvals, receive feedback and work with President on the implementation of any recommendations.

Champs Rep

1

Attend ISL Champs prep meeting, communicate to the President/Board on any and all matters pertaining to the CSS teams as it relates to Champs. Work closely with the Volunteer Coordinator to ensure proper volunteer hours are completed during the ISL Championship Meet.

Team Banquet Manager

Work with the board to plan, coordinate and execute the CSS end of year banquet. Coordinate food and drinks as well as any and all set up requirements for Audio/Visual and clean up.
