Your October Invoice is Ready.
One of the advantages of the new system is monthly billing. We are hopeful that the new automated system will make it easier for you to track your swim team expenses and that it will help with cash flow for the team. This email explains how to find your invoice, how to read it and how to pay it.
Find Your Invoice
Visit our websiteand SIGN IN. On the left side, under My Account you will see "$My Invoice/Payment". Follow the link. On the My Invoices/Payments screen you will see three tab, "Invoices", "Fundraising", and "Volunteer Hours". Invoices are prepared and posted on the 21st of each month.
Read Your Invoice
There is a help screen to explain how to read the Billing Summary. For this month, families will see the USA Registration Fee and the Administration Fee ($75/swimmer) as the invoiced amount. Any balances still owed from last season have been added onto the invoice as well. Any changes that are made to your invoice during the month (i.e. meet fees, payments, other adjustments) will show in the Un-Invoiced amount until the 21st of the month.
Pay Your Invoice
Payment is Due by October 1st. Payment can be made in 3 ways:
- Credit card payment at the PCY front desk. A receipt with your name must be placed in the team payment box.
- Check placed in payment box.
- Check mailed to Susie Leonard (address on invoice). This is the best option for Gator Parents for this month. We hope to have an on-line billing option available by November.
If you select the Fundraising Tab, you will be able to see your fundraising balance and activity. Your balance in the Kroger account is through August 2010 and will be updated each month. As you participate in various fundraisers, you will be able to track your obligation. At the end of the December, your balance will be rolled over to your invoice.
We are also able to track your volunteer hours. The Volunteer Obligation per family is currently set at 30 hours for the season. That equates to about 6 meet sessions. The Parent Board will be discussing the Volunteer Obligation at our next meeting and the number of hours might change based on our anticipated needs this season.
Every meet has the need for volunteers and it is easy to sign up to help. The Job Signup tab is located under "Upcoming Events" on the home page or on the "Meets & Events" Tab. When you sign your athletes up for a meet, you can also sign up to volunteer.
There will be an hourly charge assessed at the end of the
season for anyone not fulfilling their volunteer obligation. This
will be addressed in a future email.
