The Newmarket Stingrays Swim Club (hereinafter referred to as ‘the club’) respects the privacy of its members, volunteers, and staff. We are committed to ensuring that appropriate measures and safeguards are in place to protect specific information that is held for the purpose of running the operations of the club. We do not rent, sell or trade mailing lists and the members section only – membership list is for the sole use of the club and its members with respect to legitimate club business.
We understand that some of the information that we collect and maintain on members, volunteers and staff is private, which is why we collect personal information only for the purposes noted below. In some cases your personal information will be disclosed to third party organizations for the purposes noted.
- To conduct appropriate screening procedures for those volunteers and staff who may find themselves in a position of trust with the membership of the organization;
- To maintain, manage, develop and communicate our programs and operations, through solicited feedback and support;
- To meet program requirements such as registration with Swim Ontario and other affiliations; and
- To meet legal and other requirements associated with our staff such as payroll related functions.
At all times we strive to keep personal information accurate and up-to-date for the purposes identified above. Members, volunteers and staff do have choices and can refuse or withdraw consent for us to keep and use information. They may request that their name be removed from our membership list; they can refuse to provide personal information to us; and they may withdraw consent at any time. In all cases, this may limit the club’s ability to provide service and support to those individuals.
The purpose of the membership list is to assist the membership in contacting one another for car pooling information, to maintain social networks with their children, etc. Sharing of this information outside of the membership is strictly prohibited.
The following information will be displayed in the members only section of the club website:
- Swimmer name
- Swimmer’s group
- Parent’s name
- Family email, home address and phone number
If at any time you wish to be removed from our membership list, simply contact the Human Resources Director of the Board in writing of your request.
As an organization, the club is required to maintain employee data for business / payroll related purposes and will ensure compliance with all legislative requirements. The Club will take every measure possible to balance each individual’s right to privacy of personal information with the need of the club to collect, use or disclose personal information for legitimate club business purposes.
