We have been experiencing a higher than normal number of last minute requests for coach registrations and updating certifications. This creates confusion at the meets and results in coaches being denied deck access. In an effort to alleviate some of the last minute scrambling we are establishing the following guidelines for updating certifications.
Effective immediately – the cut-off for updating coach certifications is the Wednesday preceding the weekend meet. This includes:
- Registration (form and payment in my hands)
- CPR Certificate
- Safety Training for Swim Coaches On-Line Course Certificate
- Safety Training for Swim Coaches In-Water Skills or Lifeguarding Certificate
Additionally – the following are recommendations for those items that clear automatically through SWIMS...
- Background Check (takes 10 - 14 business days to clear – updates SWIMS and Deck Pass Automatically – should be initiated prior to expiration for current coaches, immediately upon hiring for new coaches – but no less than 10 days - or to meet start)
- Athlete Protection Training (takes 1 day to clear – updates SWIMS and Deck Pass Automatically. Should be renewed prior to expiration for current coaches, immediately upon notification of registration for new coaches – but no later than Wednesday preceding the meet)
- Foundations of Coaching (generally clears the following day – updates SWIMS and Deck Pass Automatically. Should be completed no later than Tuesday preceding the meet).
From USA Swimming’s Insurance FAQ’s: “Coach membership requires completion of Safety Training for Swim Coaches (STSC), and CPR as well as completion of a successful background screen, Athlete Protection Training and, if applicable, coaches education requirement. All coach members must be 18 years of age. Failure by a coach member to renew the required certifications results in no liability coverage for the coach or potentially for the club.”
Please take a moment to check the status of all of your certifications through Deck Pass. It reflects the current information on record in the SWIMS database. If anything has expired or is expiring soon – please take care of updating it now.
Should you have any questions or believe the information on file for you is incorrect, please contact me.
Thank you in advance for your cooperation!
