 Officials Information

Greetings, Illinois Swim Officials and Coaches of YMCA Swimming:

I am happy to announce that we have added some new Swim Official features to the YMCA of Illinois Swimming Website.

  1. All Level 2 officials can email directly from the State website to request officials to work at your invitational, dual or tri- meet.  This should be very helpful when are the Meet Referee.  I encourage you to send out the request for officials at least a full week or two before the first day of the meet.  See the instructions below.
  2. If you are receiving this email, you have a login account on the YMCA of Illinois Swimming website.
  3. Under the Officials tab, there are many helpful meet management forms, including YMCA Meet Certification form, relay take-offs, distance count sheets, deck official assignments, rules for minimum Officials required for Meet Certification, etc. Download whatever you need.

I would also like to remind everybody that all meets must meet the Minimum Officiating Standards in order for the swimmers' time to qualify for any official or championship purpose. 

  • All meets, even Dual meets, must have a designated Meet Referee.
    • The Meet Referee must timely submit a completed YMCA Meet Certification form (see above) to the State Committee. 
    • The form should be sent by email as a PDF or even a photo from your phone, or submitted with the meet results.

Email instructions:

  1. Go to the Illinois YMCA State website:
  4. Once you login, click “Team Admin” button about midway down the left side. 
  5. Then click “Email Center”.
  6. Just to the right of the menu bar, and up a little, is a white button “Email Message”
  7. Select “option 2—Roster Groups/locations”
  8. In the left-hand box, hold down the control key and click on Officials and USA Officials—both should now be highlighted.
  9. In the right-hand box, hold down the control key and click on the teams you wish to invite.
  10. You may want to cc: the coaches as well…up to you.
  11. Fill in the Subject:  e.g., Swim Officials needed for ABC swim meet on (date)
  12. Scroll down and write your email. (remove the existing text of directions, of course). If any of you have some of my old "Call for Officials" emails, feel free to steal and change the places and dates. You might want to consider writing your email in Word or another program first, and then pasting it there when you are ready. Be sure to include details like each session's start and end times, time for Officials meeting, etc. 
  13. After you finish writing your email, click "Email NOW" button on the bottom right-hand corner of the webpage.
