HWSA Volunteer Requirements

HWSA depends on parent volunteers to help the team run smoothly. Please read below for the volunteer requirements.

HWSA is also looking for parents to get on deck where the action is. If you are interested in becoming an official, stroke & turn judge, or an administrative judge, follow this link to the Illinois Swimming website for more information BECOMING AN OFFICIAL LINK. HWSA will cover expenses associated with this process. Sessions worked as an official count toward your volunteer requirement.   

Fall/Winter Season 

For all meets, please note that one person cannot work two jobs that have overlapping time shifts in order to fulfill volunteer requirements or to be eligible for entries in the volunteer reward raffle.

  • HWSA Winter Splash: Held in early January, this meet serves as one of the main fundraisers for the team.  Sessions are scheduled for Friday evening, Saturday morning, midday and afternoon as well as Sunday morning, midday and afternoon.  Each family is expected to work 2 jobs/shifts at the Winter Splash meet. Failure to volunteer will  result in a $100 fine per required job/shift.

  • Dual Meets:  HWSA usually participates in 2 to 3 home dual meets. Dual meets are held on a Tuesday, Wednesday or Thursday evening.  Each family (one person) is expected to work a listed job at one home dual meet.  On-Line job sign up will be available at least 1 week before each meet. Jobs include, but are not limited to: concessions, security, timers, announcer, officiating.  Failure to volunteer will  result in a $100 fine per required job/shift.    

  • Go the Distance and Chicagoland Conference Meets Go the Distance is held in mid to late January and is geared for swimmers in Groups 3, 4 and Elite. The Chicagoland Conference meet is held in mid-February and serves as an end of season meet for all swimmers that have not qualified for an Illinois Championship meet.  Each family is expected to work 1 job/shift for either the Go the Distance Meet or the Chicagoland Conference Meet.  Failure to volunteer for at least one of these meets will result in a $100 fine per required job/shift.   

  • Championship Meets: If HWSA is hosting a championship meet, i.e. USA Swimming Championships, families will be expected to assist at the meets. Failure to volunteer will  result in a $100 fine per required job/shift. Required number of shifts will be determined by meet.

  • Away USS Meets: Host teams sometimes require HWSA to time at their meets. This is not optional.  Requirements for timing will be announced via email. If your child is swimming, please make yourself available to be a timer. Sessions worked at these meets will receive credit for volunteering to be entered into the end of the season raffle.

 

Families of High School Only swimmers: If your only swimmers are High School Boys or High School Girls, your family is still required to fulfill the season volunteer obligations.

Volunteer fines are non-negotiable. If a family is unable to fulfill a job as listed above, they will be charged $100 dollars per missed obligation.  Please come prepared and on time to work your shift. Non-swimming siblings are not permitted on the pool deck or in concession area.

Volunteer Reward Raffle: Each family that works over and above the required job/shift will be entered into the end of the season raffle. The winners of the drawing will receive Coaching Fees Credit up to $250.00 for the Full Spring/Summer swim season. There will be 2 winners drawn.

Drawing Details: 

≈ Each job equals 1 point and 1 entry into the drawing
≈ Winners will receive up to $250.00 in Coaching Fees Credit
≈ Credit is non transferrable
≈ Credit cannot be redeemed as cash
≈ Credit will only apply to Coaching Fees up to $250.00. Final value is determined by the registered Roster Group(s) fees for the Spring/Summer season of the current calendar year only
≈ Only 1 prize per family. If the same family is drawn twice, the Chance will be redrawn to select another winner. 

All Volunteers must Sign Up in the Job Signup Events for volunteering including all swim meets: Home and Away as well as team related Volunteering. Completed jobs will be given credit on the family account.

Spring/Summer Season 2018

For all meets, please note that one person cannot work two jobs that have overlapping time shifts to fullfill volunteer requirements.

  • Dual Meets:  HWSA will host 4 dual meets during the Spring/Summer season.  2 indoor dual meets in May at Stagg High School and 2 outdoor dual meets in June at Palos Pool. On-Line job sign up will be available at least 1 week before each meet. Jobs include, but are not limited to: concessions, security, timers, announcer, officiating.  Failure to volunteer will  result in a $100 fine per required job/shift. 
  • Spring Only Families - required to work 1 dual meet

                        Meet Date Options:  Wednesday, May 16 or Wednesday, May 23

  • Full Season Families - required to work 2 dual meets (1 indoor meet and 1 outdoor meet)

                        Indoor Meet Date Options:  Wednesday, May 16 or Wednesday, May 23

                        Outdoor Meet Date Options:  Tuesday, June 19 or Tuesday, June 26

  • Late Start Families - required to work 1 dual meet

                        Meet Date Options:  Tuesday, June 19 or Tuesday, June 26

  • Championship Meets: If HWSA is hosting a championship meet, i.e. USA Swimming Championships, families will be expected to assist at the meets. Failure to volunteer will  result in a $100 fine per required job/shift. Required number of shifts will be determined by meet.
  • Away USS Meets: Host teams sometimes require HWSA to time at their meets. This is not optional.  Requirements for timing will be announced via email. If your child is swimming, please make yourself available to be a timer.
