PAWW Committes & Volunteer Opportunities

 

We need you! 

PAWW is a parent-owned and governed team.  Outside of our professional coaching staff, our operations are primarily run by volunteers like you.  Whether you have a just a few hours a month, or can commit several hours per week, we welcome your help.  If you have specific expertise or just an interest in a certain area or activity, we can put your talents and skills to work for the benefit of our swimmers and our organization.

For further ideas on where you can help, here is a list of our committees as described in our bylaws:

Finance Committee: shall be responsible for, but not limited to, maintaining, regularly reviewing, and reporting the financial records of PAWW.  This committee shall draft an annual operating budget, subject to the approval of the Board of Directors.  This committee shall regularly review PAWW financial results, in relation to the approved operating budget, with amendments to the budget, and/or changes to fiscal policies and procedures, recommended to the Board of Directors, as appropriate. Such financial review shall include, but is not limited to a monthly balance sheet, monthly income and expense statement, operating budget, current and projected cash flow, depository balances and statements, accounts payable, accounts receivable, and membership reports in relation to scheduled and collected fees.  The Finance Committee shall regularly report to the Board of Directors, including the submission of a formal report at each Board Meeting.

Fundraising Committee: shall be responsible for, but not limited to, developing and implementing fundraising strategies for the short-term and long-term fiscal needs of PAWW.  This will include the ongoing design, management, planning, and solicitation of sponsorships, donations, capital campaigns, grants, USA Swimming Swim-a-thon, fundraising events and activities, ancillary meet revenue, and other appropriate revenue opportunities.  This committee shall be responsible for generating and accurately maintaining all appropriate fundraising records, including sponsorship agreements and invoices.  The committee shall oversee communications with donors and sponsors, while maintaining confidentiality in relation to donor sensitive information.  The committee will work to develop sponsorship sales materials and prepare proposals, while coordinating the negotiation of sponsorship agreements, per Board approval and direction.  The committee will also regular review and recommend appropriate sponsorship levels, including fees and benefits.  The committee will provide support to ensure that relevant agreements are in place, accurately accounted for, and properly reported.  The committee also provide support to ensure that accurate billings are generated, with funds collected and deposited according to established policies, systems, and procedures.  The Fundraising Committee shall regularly report to the Board of Directors, including the submission of a formal report at each Board Meeting.

Membership Committee: shall be responsible for the promotion and retention of PAWW membership; and monitoring applicable membership records and systems, including those included within Team Unify.  As appropriate and advised, this committee shall provide assistance to the Head Coach, and/or other staff members, in maintaining PAWW records and systems, including member billing, dues collection, meet entry promotion, meet entry management, and communication to members and participants.  This committee shall devise and implement marketing and public relations strategies to enhance PAWW’s image and position with its membership and in the marketplace, while striving to maintain and grow PAWW membership levels, across all programs.  This committee will oversee all internal and external communications and promotional activities.  Such promotion and communication shall include the ongoing use and updating of the PAWW website, appropriate social media outlets, broadcast media outlets, emails, advertising, and partnership with other community partners. The Membership Committee shall regularly report to the Board of Directors, including the submission of a formal report at each Board Meeting.

Booster Committee: shall be responsible for assisting staff with planning, scheduling, budgeting, coordinating, staging, and running all swim meets and other aquatic events hosted by PAWW.  This committee shall coordinate and recruit volunteer support for all PAWW activities.  This committee shall also coordinate PAWW’s apparel program, including apparel offered at PAWW hosted events.  The Booster Committee shall regularly report to the Board of Directors, including the submission of a formal report at each Board Meeting.

Programs Committee shall be responsible for establishing, planning, coordinating, budgeting, staffing, and scheduling all aquatics related programs, other than those directly related to PAWW’s USA Swimming team.  Such activities, under the Program Committee’s direction shall include, but are not limited to Open Lap Swimming, US Masters Swimming, and lifeguard instruction.  This committee shall also oversee the leasing and scheduling of PAWW’s facilities to other independent aquatics programs. The Programs Committee shall regularly report to the Board of Directors, including the submission of a formal report at each Board Meeting.

Facilities Committee shall be responsible for monitoring, maintaining, and managing the operations, mechanical systems, and physical facilities, in which PAWW activities are conducted.  This committee shall strive to ensure that said facilities are maintained in a manner that is safe, sound, and clean for its members and participants.  The committee shall coordinate with staff to ensure that all mechanical systems and facilities are operated in compliance with all applicable laws, regulations, and health standards.  This committee shall define appropriate safety and maintenance processes and event logging, while ensuring compliance thereof by relevant staff members.  Further, this committee shall strive to ensure that the operating costs of the facility are maintained within guidelines of the annual operating budget.  This committee shall also make recommendations regarding capital improvements, as appropriate.  The Facilities Committee shall regularly report to the Board of Directors, including the submission of a formal report at each Board Meeting.

Human Resources Committee shall be responsible for reviewing and managing all related human resource policies and procedures, including the establishment of job descriptions and the evaluation of the Head Coach and other PAWW employees.  This process shall include coordinating communications with the Head Coach, and other PAWW employees, including the communication of relevant goals and objectives.  Further, this committee shall be responsible for regularly reviewing and recommending appropriate compensation salaries, wages, and benefits, of all PAWW employees.  The Human Resources Committee shall regularly report to the Board of Directors, including the submission of a formal report at each Board Meeting.
