Suspending and Canceling
Returning to the team
If you know that your swimmer will take off a full month or more, you must give the team written notice by emailing email@example.com.
Please note whether your family has chosen a monthly or quarterly billing plan.
If you are on a monthly billing plan, you must send notice of an upcoming suspension at least 15 days before the end of the last month in which your child will swim before suspending.
For example, if the first full month in which your child will NOT swim will be June, let the team know by mid-May. This will avoid the team charging you for the next month.
If you are on a quarterly billing plan, please plan ahead for suspensions, as the team does not refund or prorate fees already charged. The team’s billing quarters start on Sept. 1, Dec. 1, March 1 and June 1.
You must send notice of an upcoming suspension to firstname.lastname@example.org at least 15 days before the end of the last quarter for which you want to be billed. If your child still plans to swim for a few months after that quarter ends, you may email email@example.com within the last few weeks of a quarter to switch your account to monthly billing.
During suspension, your account will be charged a $10/month suspension fee.
When your child is ready to resume swimming, please email LAMVAC at firstname.lastname@example.org, and let the club know at which pool your child will swim at.
The team bills for the complete month in which your child starts swimming. If your child begins on Feb. 7, for example, the team will charge you for all of February.
During suspension, you will not receive team emails, including the ones from the LAMVAC volunteer coordinator. Please note that you are still responsible for completing your service hours (unless you have a Beginning Tadpole) by Aug. 31, which is the end of the swim year, even if your membership was suspended for a portion of the year.
The team will charge you for uncompleted hours on Aug. 31, per the club service-hour protocol. To complete service hours at meets and team events while your child’s membership is suspended, please check lamvac.org for postings from the volunteer coordinator. The team always needs volunteers at the LAMVAC-hosted March and May meets.
Your family is also still responsible for the annual fundraising commitment of $150 (unless you have a Beginning or Advanced Tadpole), even if your child’s membership is suspended during the team’s annual Swim-A-thon. Your child may swim during this event, even if membership is suspended at that time. (The Swim-A-thon is the team’s only organized fundraising event.) If you don’t raise the $150 in pledges by Aug. 31, the team will bill you.
When you know that your swimmer will be leaving the team, you must give LAMVAC written notice by emailing email@example.com at least 15 days before the end of the last month or quarter in which your child will swim. This will avoid the club charging you for the next billing period.
If you have been on a quarterly billing schedule and wish your child to swim a few months into the next quarter before canceling the membership, email firstname.lastname@example.org a few weeks before then quarter ends to switch to a monthly billing schedule. The team’s billing quarters start on Sept. 1, Dec. 1, March 1 and June 1. Monthly billing occurs on the first day of each month.
Please note that the team does not bill for partial months or quarters of swimming. If your child’s last day is Oct. 8, for example, the team will bill you for the entire month of October on Oct. 1 or the entire quarter starting Sept. 1.
LAMVAC does not generally refund or prorate fees already charged.

When you cancel your membership, the team will bill you for any family service hours not yet completed for the current swim year (Sept. 1 through Aug. 31). Here is how LAMVAC calculates the number of service hours required:
10 service hours required, if your child swam for fewer than six months of the swim year (between Sept. 1 and Aug. 31).
20 service hours required, if your child swam for more than six months in the current swim year.
You will be billed $25 for each service hour your family has not completed.
If you would like to complete some of these service hours at one of the team’s upcoming swim meets in the current swim year (March and May), rather than paying for them, you would need to suspend your membership as long as that takes and cancel after you have completed your hours. It's always good to see familiar faces returning to LAMVAC. Please contact the team at email@example.com to reactivate your membership, and let the membership coordinators know at which pool your child will be swimming. This also ensures that you will again receive team and coach emails.
