2020-2021 Financial Policy

This financial policy is in place for the 2020-2021 GPAC season (August 24, 2020-August 31, 2021) and is being implemented in reaction to the COVID-19 pandemic and its effect on programming for the Greater Philadelphia Aquatic Club. All families must agree to this policy at the time of registration. These policies will be in place for all team members, regardless of group placement, family size, or other circumstances.

  1. Registration groups will be limited in size for the 2020-2021 season to ensure social distancing. Spots will not be held for any swimmer for any reason. Once the group has filled, no further registration will be accepted unless the conditions of the pandemic allow for an increase in group and team size. Space can only be held for a swimmer if full payment is being made.

  2. NO EARLY TERMINATION: By registering for the Greater Philadelphia Aquatic Club for the 2020-2021 season (Sept 2020 through May 2021), you are committing to pay for the program for the full year. Please do not sign up for the program to try it out and see how it goes. The financial commitment begins when you register and runs through May, 2021 (through July 2021 for National and Platinum A).

  3. We anticipate all groups will be full this season. Once a group has reached its limit, it will be closed to further registrations. Training fees must be paid monthly regardless of how many practices the swimmer attends or of the swimmer elects to drop out of the program prior to the end of the season (Memorial Day, 2021).

  4. FOR THOSE REGISTERING PRIOR TO SEPTEMBER 1, 2020: Registration will be done strictly online. At the time of registration, the only payment made will be the $80 USA Swimming registration fee. This fee is required of all team members. It cannot be prorated, refunded, or discounted in any way.

  5. FOR THOSE REGISTERING ON SEPTEMBER 1, 2020 OR LATER: Registration will be done strictly online. At the time of registration, the payment due (per swimmer) will consist of the USA Swimming registration fee ($80 per swimmer), the first month’s training fees, and the team administrative fee (one time, $85 per family).

  6. PRACTICE INTERRUPTION: As per our normal operating procedures: there will be times when practices need to be changed, altered, shortened, or canceled due to inclement weather, GPAC meets, facility rentals, or other unforeseen events. When these events occur, there is no discount applied for any missed, shortened, or canceled practices.

  7. COVID-19 PANDEMIC ADDENDUM: If, by local, state or national government intervention, training is interrupted due to facility availability, no further training fee charges will be assessed until we are able to return to training (fees for meet entries will still be due). If a shutdown occurs AFTER the dues have been run for a month, no refund will be issued for that month. If the shutdown persists into the next month, dues will not be assessed until we know when we will be able to restart training.

  8. TRAINING FEES: Training fees are listed on the GPAC website. Discounts will be provided for multi swimmer families (discounts do not apply to swimmers in Intro to GPAC or Fall and Spring warm-up, if the warm-up groups take place.

  9. There will be no annual payment option for the 2020-2021 season. All payments will be made monthly for all families and swimmers. Invoices are run on the 1st of the month. Charges are automatically assessed to your credit card on file on the 1st of the month, or the next business day if the 1st falls on a Sunday or bank holiday. The monthly $10 account maintenance fee will be suspended for the 2020-2021 season.

  10. The multi swimmer discount will still be in effect for the following groups: Mini, Bronze, Silver, Platinum B, Gold 1, Gold 2, Platinum A, and National. The 1st swimmer in the family will continue to be the swimmer in the highest group and then working backward from there.

  11. Meet entry fees are due once entries are confirmed by the coaching staff. If a swimmer does not attend the meet or does not swim one or more events, the fees are still due. Fees will be added to your invoice when they are submitted to the meet host (even if GPAC is the meet host) and will be billed to your credit card on file on the 1st of the next month. There are no refunds for any meet entry fees.

  12. TRAVEL SWIM MEETS: In the event we attend a swim meet held at a location other than GCIT (even if the meet is considered “travel on your own” or a day trip) a surcharge will be added to the accounts for all registered swimmers to cover the cost of coach travel. This fee will be determined by the distance traveled, whether overnight accommodations are necessary, the number of coaches attending, and the duration of the meet. The fee will be evenly divided among all registered swimmers regardless of days attending and number of events for which the swimmer is registered. The surcharge is due even if the registered swimmer does not attend the meet.

  13. LATE FEES: If your credit card is not billed when invoices are run on the first of the month (or the next available business day), it is the account holder’s responsibility to determine the issue and ensure that payment is promptly made. Accounts not paid in full by the 20th of each month will be assessed a $15 late fee.

ACCOUNTS MORE THAN 1 MONTH OVERDUE: Accounts more than one month overdue (determined by two billing runs made and no payment received) will result in all swimmers on the account being pulled from all team activities until the account is brought up to date. Training fees and meet entry fees will still be assessed, even if the swimmer is not permitted to train or attend meets.
