Financial Policy

TAC TITANS FINANCIAL POLICIES 2018-2019

After the initial 14 days of the swimmer’s first team practice, swimmers in the Challenge and Elite tracks are obligated for the entire 11 month annual fee and Endowment regardless of the length of time which the swimmer remains in the program. Swimmers in the Jr. TITANS Track are obligated for the entire 4-month trimester period, regardless of the length of time which the swimmer remains in the program

Should a swimmer cease practicing with a Challenge, Elite, or Jr.TITAN group for any reason, the lesser of a two month’s dues cancellation fee or the remainder of the swim-year’s dues will be assessed to the family’s account plus any unpaid endowment and contracted service credits not worked are also assessed. A swimmer may not swim through the buyout period.

If a swimmer is moved into Jr. TITANS, Teen TITANS, or TITANS Prep after the initial 14 days of the swimmer’s first practice, they will remain obligated to their new group rate for their entire original contract period. (11 months for Challenge/Elite swimmers / 4 months for Jr.TITANS swimmers). Should a swimmer cease practicing for any reason, the lesser of a two month’s dues cancellation fee or the remainder of the swim-year’s dues will be assessed to the family’s account and any remaining Endowment obligation. A swimmer may not swim through the buyout period.

MONTHLY INVOICES

  • Once a swimmer has committed online for any trip, meet, or event; and the online commitment withdrawal/sign-up date has passed, the swimmer is financially responsible and will be billed. Specifically note: swim meets missed for illnesses will not be credited for any reason; fees are incurred prior to the meet and cannot be refunded or reimbursed.
  • When a swimmer is absent or unable to participate in practice for any reason, it is not possible to refund fees or reschedule.
  • Other costs that are not included in monthly dues may include, but are not limited to: monthly dry land fees, meet entry fees, additional training opportunities, social events, training trips, travel meets and apparel purchases.
  • When practice is canceled or changed due to weather, national holiday, facility shut down, external events or TITANS home meets, it is not possible to refund fees or reschedule a practice.
  • Members whose check payments are returned as insufficient will be charged a $50 return fee per violation. Returned fees are also subject to the late payment fee policies.
  • Late or delinquent fees/payments of any kind may result in a loss of swimmer practice time or meet participation until all payments are reconciled. Team Unify will automatically charge a “late payment” fee of $25 after the 20th of each month.
    • 20 days late: $25 late fee posted on account
    • 50 days late: $25 additional late fee posted on account and swimmer will not be allowed to practice or compete in swim meets until account is paid in full.

MULTIPLE SWIMMER DISCOUNT

Families with multiple active paying athletes in the Challenge and Elite tracks will receive a discount on the additional swimmer’s fees. There is a 15% discount on the monthly group fees for the second swimmer and a 20% discount for all additional swimmers. Discounts apply to the swimmer’s paying the lesser amount each month. Jr. TITANS and Teen TITANS swimmers are not eligible for multiple swimmer discounts due to the flexibility of the program.

ENDOWMENT FUND

The Triangle Aquatic Center (“TAC”) Board of Directors is responsible for making sure that TAC is able to serve the year-round aquatic needs of the Triangle community for generations to come.   As a result, TAC established a yearly, non-refundable, Endowment Fund (“Endowment”) to support the long-term mission and financial health and vitality of this nonprofit organization.  Establishing an endowment is a common practice among nonprofit organizations in order to create long-term financial sustainability.  Beginning September 1, 2018, a percentage of revenue from all TAC program fees, a Family Contribution from Challenge & Elite TAC TITANS swimming groups and community donations will be used to fund the Endowment. TAC TITANS team groups will have an annual amount billed in September in the amount of $200.00. The beginner groups Challenge, Copper and Bronze obligation is $120.00. An 11 month payment plan will be offered to all groups. In the event of a "medical suspend" or "contract buy out" the payment plan remaining balance will be billed to the member's account for payment in full.

SWIMMER MOVEMENT

The Swimmer Movement Request Form for ALL practice groups must be completed and submitted BEFORE the 15th of the month PRECEDING the first day of the month. Swimmers may NOT begin practicing in a new group before the paperwork has been completed and approved. Accounts must be in ‘good standing’ and current prior to any swimmer movement being approved. The form is located under Financial Policies in the "All About TITANS" tab.                              

SUSPEND/REACTIVATION for SWIMMERS

  • Families with Prep & Teen TITANS swimmers may opt to swim on a month-to-month basis. The Suspend/Reactivate Form must be completed and submitted BEFORE the 15th of the month PRECEDING the month you wish to suspend or reactivate your Teen TITANS swimmer. Account balances must be paid in full to suspend swimmers. The form is located under Financial Policies in the "All About TITANS" tab.                              
  • Families with Jr. TITANS swimmers may opt to swim on a predetermined trimester contract basis. The 4-month trimester contracts are; Fall (September – December), Spring (January - April), and Summer (May – August). The Suspend/Reactivate Form must be completed and submitted BEFORE the 15th of the month PRECEDING the first day of the new trimester contract period. Account balances must be paid in full to suspend swimmers. The form is located under Financial Policies in the "All About TITANS" tab.

MEDICAL LEAVE

  • Medical Leave, for monthly dues, is extended to all TAC TITANS who have a medical injury for duration of more than 21 days. Two forms are required to adjust billing accounts. The TAC TITANS Medical Leave Form  AND  a doctor’s note signed, dated, listing date of injury, and the duration of ‘out of water’ time requirement must be provided prior to a reduction in monthly dues credit being placed on account. Please note the following exceptions:
    • Once a swimmer has committed online to any trip, meet, or event; and the online commitment withdrawal/sign-up date has passed, the swimmer is financially responsible and will be billed. Medical injury does not alter this commitment due to the pre payment and/or pre planning of the event or meet.
    • Families receiving multiple swimmer discounts for Challenge and Elite Track swimmers who are extended a medical leave request will be billed the adjusted scale rate for all remaining active swimmers. (Example: If a family has 2 swimmers and the highest rate swimmer is on medical leave, the remaining swimmer will be billed at the 1st swimmer rate.)

SERVICE CREDITS

TAC TITANS have Service Credit Program Requirements for all Challenge and Elite Track Swimmers. For complete information on the specific requirements for each family, please read the Service Credit Program documentation.

DUES REDUCTION

Dues Reduction work completed by TAC TITANS families may be applied to both current and future year’s dues. Credits are placed on account after the 20th of each month. If a family leaves the TAC TITANS swimming program, any unused funds are forfeited and will remain in the TITANS general operating fund


 

 

Service Credit Policy

TAC TITANS Service Credit Program

The TAC TITANS rely on member families to facilitate TITANS meets in order to provide a positive experience for swimmers and spectators. As the leading nonprofit aquatic facility in North Carolina, we strive to keep our pricing competitive. For us to effectively balance competitive pricing and keep travel costs at a minimum for TITANS families, we regularly host home swim meets in our world class facility. As a result, we need sufficient coverage at swim meets and team events by our TITANS member families. TAC TITANS will be implementing the following Service Credit Program for the 2017-2018 season.

On a yearly basis, the TAC TITANS administrative staff will review the expectations of the Service Credit Program to determine if any changes are required to meet future team needs and growth.  Any changes will be communicated prior to registration each year.

The following summarizes the TAC TITANS Service Credit Program policies and procedures. 

1.     Service Credit Expectations - Each family (based on account; not the number of athletes in a family) in the TAC TITANS Elite program is expected to earn at least ten (10) Service Credits per Competition Year (September – July). Each family (based on account; not the number of athletes in a family) in the TAC TITANS Challenge program is expected to earn at least seven (7) Service Credits per Competition Year (September – July). In the event a family has multiple swimmers in different tracks, the Service Credit Obligation is calculated based on the highest level swimmer in a family.

a.     A Service Credit is equivalent to $60 or a total of

1.     $600 for the entire season for swimmers in the Elite track.

2.     $420 for the entire season for swimmers in the Challenge track.

b.     Families earn Service Credits by working at TAC TITANS hosted swim meets and other sponsored events requiring assistance.

c.     Families can also earn Service Credits by their leadership roles on the TITANS Leadership Council (TLC), Triton Booster Club board member, and as a group liaison. There may be other opportunities to earn credits by volunteering at team-sponsored events which, when applicable, will be communicated to the membership.  (See the chart at the end of the document for defined roles that support the TITANS.)

d.     Please note that some of the TLC lead and committee positions may already be filled for the upcoming season.  If a TLC or committee position is of interest to you, please contact the Service Credit Coordinators to express your interest, learn more about future opportunities and perhaps receive training in advance.

e.     For families joining the TITANS after September and the initial registration period, Service Credit Hours will be prorated as follows: 1 credit hour per month for the Elite Track; .5 credit hours per month for the Challenge Track (rounded up to the nearest whole number.)

2.     Jr. TITANS and Teen TITANS families are also expected to assist at swim meets to support the team but their Service Credits are not tracked at this time.  This may be revisited in the future based on seasonal program utilization data and growth.

3.     The Service Credit Job Listing is posted on the website and in the chart below.  Each job is assigned a credit value. Please note that some jobs require pre-training before an individual will be approved to work in that role. 

a.     In addition to the roles detailed on the job listing, there will be other opportunities to help with tasks associated with various larger team events.  This work will also be eligible for Service Credits and will be announced to the team when applicable.

b.     For member families with unique situations that may make it difficult to work in certain meet specific roles, please contact info@tactitans.org for assistance in finding the right job for your particular situation.  We have a wide variety of positions to meet varied needs.

4.     Signing up for Service

a.     Families can sign up for various roles throughout the season via our team website (Team Unify).

b.     Opportunities will be announced via e-mail and the website.

c.     Service Credit positions will generally be recruited at least one week prior to the meet or event.

d.     Service Credit position age requirement is 13 years old.  Registered TAC TITANS swimmers are allowed to assist at age 12.

e.     Please note that students (TAC TITANS swimmers or other family members) may serve through the family’s account and earn service credits for the TAC TITANS Service Credit Program while concurrently earning service hours needed for school or community clubs, honor societies, etc.

5.     Tracking of Service Credits will be handled through the Team Unify system.

a.     In order to earn a Service Credit, the person signed up must check-in at the appropriate time and work the entire duration of the job.  If you leave your job early without providing adequate coverage, no Service Credit will be given.

b.     If an individual signed up does not check in by the appropriate time, their role will be re-assigned and credit will be given to the family who fills the role.

c.     A penalty of one service credit (-1) will be assessed to the account in the event of a no-show without a minimum 24-hour notification via email to volunteers@tactitans.org and removal of the family's commitment in Team Unify.

d.     Service Credits cannot be split between families.  The Service Credit will be assigned to the family who signs up to work the session.   If someone fills in for another member for a partial session, no incremental credit will be given.

e.     It can take up to a week for service credits to be reflected on a families’ account.

6.     Service Credit Billing

a.     The August invoice will have a $600 Service Credit annual charge for the Elite Track, and a $420 annual charge for the Challenge Track. The Service Credits earned between September and July will offset this charge. If a balance is due, it will need to be paid with the August invoice.

b.     TITANS encourage families to distribute service credits throughout the season.

c.     Any service credits worked beyond the required number will not be rolled forward to the next swim season.

d.     If a family terminates participation with TAC TITANS before the end of the 11 month swim season the Service Credits will be prorated as follows: two credits for the initial membership month, plus one additional credit per month of participation.

e.     Service Credit funds received from the annual charges will be used to offset the cost of additional meet staff hired to fill vacant roles (See chart for applicable jobs).

f.      At the end of each swim season, 80% of the net surplus received will be given to the TAC TITANS Booster Club (Triton Club) to disburse for team purchases after all hired labor is expensed to fill vacant roles (See chart for applicable jobs).

7.     Questions/Comments

a.     Program information will be posted on the website to assist families in their understanding of the expectations of the program.

TAC Administration reserves the right to change Service Credit roles throughout the season as meets or events are in need of additional help. All Service Credit roles will be publicized to TAC TITANS families in order for families to reach their 10 service credits during the season.
