BBST Financial Agreement
2018-2019 Bellingham Bay Swim Team Financial Agreement
 

I, the parent or legal guardian (hereafter referred to as the “Parent”) of the swimmer seeking registration (hereafter referred to as the “Swimmer”), on behalf of the Swimmer and myself, agree to the following financial conditions of BBST Membership:

 

1. Electronic Billing

a.      I accept that this is an annual financial agreement dated from September 1st, 2018 through August 31st, 2019.

b.     I understand all BBST fees and invoices will be posted electronically to my BBST member account and can be viewed on the 20th of each month.

c.      I understand that invoices are payable via ACH (Automated Check Handling), Credit Card, or check and payment is due on the 1st day of every month.

d.     I will pay my account in full by the 10th of every month and I understand that failure to submit a payment by the 10th will result in a $35.00 late fee added to my account. I understand that any late fees accrued will not be refunded for any reason.

e.      I understand that if I choose to submit payment by check, only one check per swimmer per month will be accepted. I understand a $5.00 service fee will be charged if more than one check per swimmer is received.

Checks can be submitted to black payment box in filing cabinet in lobby at AHAC or mailed to following address. Mailed checks must be post-marked by the 10th of the month.

f.      I understand that BBST requires me to have a current credit card on file and I will pay the transaction fee of 2.95% + $.30 per transaction for all credit card charges.

g.     I authorize BBST to charge my credit card on file for any outstanding balance not paid within 30 days, referred to as OnDemand charges.

h.     I understand that I am responsible for setting up an appropriate payment method and keeping my account information accurate and up to date.

i.       I understand that I am responsible for checking my account balance regularly and that BBST does not send reminders to pay my account.

 NOTE:  Swimmers receive a pass allowing them to swim at Arne Hanna Aquatic Center for FREE any time the pool is open.

a.      I will pay the Annual or Monthly Dues as set forth on the above Fee Schedule in accordance with the payment method selected.
b.    I understand that the Annual Plan payment is due in full before September 20th, 2018.
c.    I understand that failure to pay the annual plan before this date will forfeit me the 5% discount and I will be required to pay the full monthly dues amount for my swimmer.

3. Annual Fees

a.      I will pay the Annual BBST Team Administration Fee of $160.00 per swimmer by September 1, 2018 as part of my annual registration with a maximum amount of $450.00 per family. Each swimmer will receive a BBST team shirt with their registration.

b.     I will pay the Annual USA Swimming Registration Fee of $75.00, by September 1, 2018 for returning families, or upon registering as a year-round swimmer for new swimmers.

c.      I understand that BBST will not refund the USA Swimming Membership Fee or the BBST Team Administration Fee in the event of membership cancellation before August 31st, 2019.

 

4. Meet Entry Fees

a.      I will pay all Meet Entry Fees charged to my BBST account to include Meet Surcharges, relay event charges and individual event charges.

b.     I understand that I incur Meet Entry Fees each time I enter the Swimmer in a meet using the online, BBST website-based meet entry system and that these fees are charged to my BBST account.

c.      I understand that meet surcharges and individual event charges are set by Pacific Northwest Swimming and change according to the level of meet. It is my responsibility to understand the fees associated with each meet prior to entering my swimmer in the meet.

d.     I also understand that once Meet Entry Fees are paid to the meet host team, they are nonrefundable.

 

5. Team Travel Fees

a.      I understand that participation in team travel activities is often an optional activity that requires additional payment. I will pay any fees associated with team travel should my swimmer participate.

 

6. Equipment and Apparel

a.  I understand that each practice group has required equipment that is required at the beginning of each year and in the case of mid-year of promotion.

b.     I will purchase team appropriate practice suits, as well as any additional required apparel for each swimmer.

 

 

7. Workshare Hours

a.      I understand that workshare is a vital part of the operation of any non-profit group. Workshare means we all share in the work it takes to build a successful program for our swimmers. I understand that by joining BBST, I am obligated to perform 50 hours of volunteer service each year for BBST.

b.     Workshare hours are posted in advance and are available on a first-come, first-serve basis. I understand it is my responsibility to keep myself informed regarding job posting and hours.

c.      I understand that the Bellingham Bay Marathon on September 30th, 2018 is BBST’s primary fundraiser and I will work a minimum of 6 volunteer hours at this event. I will find my own replacement for any of the required hours I am unable to work. I understand that a maximum of 20 hours per family will count towards my 50 hour yearly requirement.

d.     I also understand that if my swimmer is 13 years old and over, he or she is required to work a minimum of 5 hours at the Bellingham Bay Marathon on September 30th, 2018.

e.      I understand that all BBST sponsored swim meets are only possible through the many volunteer hours put in by the families of BBST swimmers and that my participation is vital. I will work a minimum of 6 hours for all BBST hosted meets even if my swimmer is not participating in said meets. I will find my own replacement for any of the required hours I am unable to work.

·      October Challenge at Arne Hanna Aquatic Center: October 6th and 7th

·      Winter Challenge at Arne Hanna Aquatic Center: January 26th and 27th

·      Last Chance Challenge at Snohomish Aquatic Center: March 9th and 10th

o   I understand that I will be required to work 2 hours per event my swimmer is eligible for at the Last Chance Challenge up to a total of 6 hours. I will be exempt from this requirement only if my swimmer has achieved de-qualifying times for all events and/or my swimmer’s coach has stated in writing that my swimmer is not to attend the Last Chance Challenge. 

f.      I understand that when BBST attends away meets, we are required by the host team to supply timers. I will time a minimum of 6 hours annually at away meets. I understand that if my child is registered to swim, I will be assigned to time. I understand that once assignments are distributed, I am responsible for finding my own replacement.

g.     BBST recognizes some families cannot time at away meets due to health or family situations. I agree to alert the Team Administrator (bbstblackfishoffice@gmail.com) in writing within the first 30 days of this contract if this is the case. I understand that I may be required to take on a Lead role in another event as substitution for the missed timing hours.

h.     I understand that I am required to work at the Bellingham Bay Marathon, October Challenge, Winter Challenge, Last Chance Challenge, and Away Meets even if I have already reached my annual Workshare commitment minimum of 50 hours.

i.     I understand that if I fail to meet the required minimum of 6 hours for each of the aforementioned events (Bellingham Bay Marathon, October Challenge, Winter Challenge, Last Chance Challenge, Away Meets) that a penalty equating to ½ the missed hours at the rate of $50.00 per hour will be applied to my account.

j.     I understand that if I fail to meet the required minimum of 50 volunteer hours I will be billed on August 20th, 2019 for missed hours at the rate of $50.00 per hour.

k.     If I volunteer for a Lead Position, I understand that I am committing to work as the Lead for entire duration of the swim season (September 1st, 2018 to August 31st, 2019). In the event of an emergency rendering me unable to continue as Lead, I will find my own replacement.

 

 8. Fundraising

a.      I understand that each swimmer in my family will raise a minimum of $250.00 annually through fundraising activities as designated by the Board with a maximum of $500.00 per family. BBST’s primary method of direct fundraising is participation in an annual Swim-a-thon.

b.     I understand that if my swimmer fails to fundraise the required $250.00, my account will be charged the remaining balance and payment is due by June 1st, 2019.

 

9. Withdrawal from BBST

a.      I accept that this is an annual financial agreement and I will pay the monthly dues set forth above for the duration of this contract dated September 1st, 2018 through August 31st, 2019.

b.     The only option I will have to withdrawal my swimmer from the team is on April 1st, 2019 provided that I give written notification to both my swimmer’s coach and the Team Administrator (bbstblackfishoffice@gmail.com) on or before March 1st, 2019.

c.      I understand that if I fail to provide written notification of withdrawal on or before March 1st, 2019 I am financially responsible for paying my swimmer’s monthly dues through August 31st, 2019.

d.     I further understand that a $125.00 cancellation fee will be charged per swimmer for cancellation of membership before the end of this annual commitment on August 31st, 2019.

e.    Bronze and Silver swimmers have the ability to withdrawal from BBST at any time by providing 30 days written notice to their swimmer’s coach and the Team Administrator (bbstblackfishoffice@gmail.com) without being held responsible for the reminder of monthly dues. I understand that I will still be charged the $125.00 cancellation fee per swimmer should my swimmer(s) withdrawal before August 31st, 2019.

f.    Extenuating circumstances: I understand that I can withdraw my swimmer at any time with a 30 day written notice to my swimmer’s coach and the Team Administrator (bbstblackfishoffice@gmail.com) without being held responsible for the $125.00 cancellation fee or monthly dues through the end of the season under the following extenuating circumstances:

                        i.     Loss of employment of one of the parents

                        ii.     Relocation to more than 30 miles away

                        iii.     Medical issues that will prevent my swimmer to swim for more than 30 days as evidenced by a medical doctor’s note.

                        iv.     Swimmer or parent is removed from the team for violations of code of conduct or any other reason as determined by the coaches

 

 

 

11. Delinquent Account

a.      I acknowledge that my/our failure to meet the financial and/or other obligations set forth herein on the specified dates shall disqualify the Swimmer and all members of the Swimmer’s family from participating in practices, meets or other BBST functions.

b.     I understand that if my account becomes 30 days past due, mine and my swimmer(s) membership will be suspended and will not be re-activated until paid in full.

c.      I understand that if my account becomes 30 days past due more than once during the swim season, I will be required to pay all future invoices by credit card or ACH for the remainder of the swim season.

d.     I understand that finance charges of 10% per year will start accruing if my account becomes over 30 days past due.

e.      I understand that if my account becomes 90 days past due, it will be sent to an external collection agency.

12. Financial Assistance

a.     BBST has a Financial Assistance Program available for families in need. Applications will be accepted until September 30th, 2018.

b.    I understand if I fail to apply by the September 30th deadline, I may not receive Financial Assistance.  

c.    I understand that Financial Assistance is based on need and in the event my request is denied for any reason, I am still responsible for paying any and all fees associated with my BBST member account.

 Summary of Financial Obligation

 

If any part of this Agreement is declared invalid, the balance of the Agreement shall remain in effect. Any matter not covered by this Agreement shall be determined by the Board and promptly communicated to the undersigned. Any and all modifications to this Agreement shall be in writing and initialed by all parties. This agreement represents the entire agreement among the parties regarding the subject matter hereof and supersedes all prior oral or written agreements.
