Responsibilities of Committee Chairpersons

     •  Maintain ongoing contact with designated SSST Board Member

     •  When necessary, attend SSST Board Meeting to present reports/plans

     •  Perform outlined duties in lieu of signing up for regular meet jobs.

     •  Work assigned job for VSA Championship Meet

 

Guidelines for Committee Chairpersons (updated 8/2012)

Committee head jobs may be held by a parent/family for a maximum of 2 consecutive years/summer seasons.  After 2 seasons, the committee job will be opened up to any interested returning families on October 1.  If there is no interest from the returning families to assume the committee head/committee position by October 31, the incumbent may continue in the position for another year, provided they notify the Jobs Coordinator via email or by phone by September 1 of the second season to indicate they are still interested in continuing in the position. 

The Jobs Coordinator will maintain a list of those people who are willing to continue in their current committee head position after the 2 year term is up.  They will also maintain a list of those parents that have indicated an interest in taking on a new committee head position. 

 

The filling of open jobs will be at the Board's discretion and will include a jobs panel which includes the Jobs Coordinator, Asst. Jobs Coordinator and the President.  This panel may also include a fourth Board member if the panel wishes.

 

 

Timeline summary:

9/1:  All committee members must notify Jobs Coordinator if they wish to continue in their job, for another year.  

 

10/1: All committee head jobs that have reached 2 year term limit will be opened up to any returning families interested in taking on a committee position.

 

10/31: if there is no new interest in a committee position, it will go to the incumbent for one more year, upon the approval of the jobs panel, to be re-evaluated in the same way at the end of the next season.

 

There are three exceptions to this term limit protocol: the committee positions of stroke and turn, starter/ referee and computers are not subject to this 2 year term limit. Due to the nature of these positions and the training and expertise needed to perform the job effectively, they are not subject to the term limit. As parents in these jobs age out or move to other committees, slots will be filled by interested families.

 

Meet Director - (1)

This position will:
  • report to the Vice President
  • fill the summer meet schedule by Dec 1 (depending on VSA schedule) working closely with the VP and Head Coach and bring proposed schedule to full Board for approval
  • works with the Secretary to provide requisite insurance information to the various meet entities for both Meet Director and Invitation coordinator.
  • communicate invitational information to appropriate committees and board members
  • negotiate individual meet expectations and formats with other meet directors and will be team representative at all home and away meets, including VSA League and county meets.
  • expected to be at all summer home meets and work closely with the Vice President
  • pass along all relevant meet info for home/away meets to Webmaster for event on website ASAP in advance of meet (including parking, program info, food​ offering, set up area/time, other important info)
  • create and distribute coach meal tickets at all home meets to both SSST coaches and visiting team coaches
  • main contact for any first aid needs at home meets and ensure team’s first aid kit is complete prior to start of season

Invitational Coordinator - (1)

This position will:

  • report to Vice President
  • main swim team  contact for each invitational meet
  • coordinate registrants and fees for all team invitationals and provide summary to Treasurer with fees prior to meet date
  • confirm all swimmers registered to swim in applicable invitational meets (sign in/out). 
  • assists Meet Director with communicating all details for Invitationals to team families and coaches, including team area and set up, parking, programs, shirts & food offerings. 
  • organizes and tracks any waiver forms needed for invitationals or end of season League meets/venues
  • responsible with creating and submitting ads for invitational programs
  • collects, assembles and delivers Invitational Packets on time to Invitational meet directors, and work with Treasurer to get entry check in time for packet deadline
  • coordinates Sign Up Genius buffet sign ups for invitationals as needed, including Woodlands, VSA and County
  • attend VSA meet if waivers are required, manages the VSA waivers and ensures all participants attending have signed waiver prior to VSA meet

Communications - (1)

This position will:

  • report to the President
  • gathers information and sends out bi weekly newsletter (The Fever) to all team members from April 1 to August 31st.
  • sends  out reminders to Coaches and committee leads on deadlines to be included in the Fever.
  • updates the bulletin boards with new team records, swimmers of the week, golden rulers, and county qualifiers on a weekly basis, with the assistance of the webmaster (who will run the needed reports) as needed
  • update and edit team’s end of season survey (and mid-season survey when requested) and analyze results of survey for presentation to the Board.  Mid-season survey should be sent out by end of June with results to coaches/Board by 4th of July break.  End of Season survey should go out week after VSA meet and results to coaches/Board prior to County meet
  • create family file folders for all swim families and committees before  beginning of season
  • maintains pool deck bulletin boards as needed with lane assignments working with Head Coach to define lane assignments and criteria

Social Committee (3)

  • work closely with the President, Board of Directors and Coaches in Dec and Jan to plan and schedule social activities for the upcoming season
  • oversee social event planning and publicity, including calendar planning, flyers and logistics
  • send written info to the webmaster or communications person for inclusion in the Fever on a timely and frequent basis
  • activities may include: Welcome Back Chili Cook-Off/Fiesta, Awards Banquet, Parents Night Out, Coaches' Age Group Parties/Events, Team Party, Movie Night.  Submit season calendar of events by Feb 1 to Board for approval (having worked on it in advance with Coaches and President)
  • coordinate Evites or similar for any events requiring them
  • collect and track all money that is required for Social events and provide it Treasurer within one week of event
  • reserve clubhouse/lawn/pool areas for Social events as needed with HOA manager Wendy OR coordinate with Presidents to do so
  • attend Open House and host a table with committee information
  • communicate with Jobs Coordinator regarding any missed Social jobs/shifts

Spirit Committee (3)

This position will:

  • work closely with the President, Board of Directors and Coaches in Dec and Jan to plan and schedule spirit activities for the upcoming season
  • oversees Spirit Event planning and logistics, including calendar planning
  • activities include: Spirit events before/during/after swim meets, Spirit Decorations, Bagel Bash, Spirit Giveaways, Spirit Week Activities, Carbo Load Dinner (and/or other events as deemed appropriate by the Board).Submit season calendar of events by Feb 1 to Board for approval (having worked on it in advance with Coaches and President)
  • ensures that all spirit activities/giveaways are available and appropriate for all age groups, especially those with early practice times when needed (ie. Spirit week)
  • send written info to the webmaster or communications person for inclusion in the Fever on a timely and frequent basis
  • responsible for coordinating with facilities to take team flags to away meets/invitationals and hanging Stingray and Sponsor banner at home meets
  • spirit/lawn posters for home meets and big invitationals, including being responsible for developing and supervising the placing and removing signs for these meets (VSA, Woodlands and County)
  • be responsible for storing signs/flags as needed during season OR coordinate with President to store/pick up items from shed in advance
  • communicate with Jobs Coordinator regarding any missed Spirit jobs/shifts
  • reserve clubhouse/lawn/pool areas for Social events as needed with HOA manager Wendy OR coordinate with Presidents to do so
  • will collaborate with the Apparel team to help develop and execute the theme the t-shirts for the season

Apparel Committee (2)

This position will:

  • report to President
  • work closely with the President, Board of Directors and Coaches in Dec and Jan to plan for apparel line for upcoming season
  • research, organize, and implement the sale of all apparel and accessories ordered by the team,
  • responsibilities also include the selection and ordering of team suits and caps (including team caps, county caps and swimmer of the week caps)
  • schedule suit fittings, parka orders, cap orders prior to start of season with vendors
  • the committee will be responsible for presenting their ideas to the SSST Board at/before the Feb Board meeting.  When possible, apparel should be selected and finalized so it can be sold at the open house in March.
  • track and collect all money for apparel items and turn over to Treasurer  on a timely basis.
  • responsible for assisting in the design,execution and  ordering  of the VSA and county meet t-shirts
  • may assist incentives (research/ordering) with any apparel needs
  • will collaborate with the Spirit Committee when designing the theme t-shirts for the season
  • attend Open House and sell apparel for the seaso

Fundraising - (2-3)

  • report to President
  • organize, publicize, and implement  team fundraisers, which may include: Time Trials Auction, Swim-a-Thon, other Board-Approved Events
  • send written information on all fundraisers to webmaster or communications person for inclusion in the Fever on a timely basis, including Auction and Sting-a-Thon, also submits written information on winners as needed for communications.
  • collect and track all payment/money for fundraisers and turn over to the Treasurer on a timely basis (within one week of event)
  • obtain and coordinate any prizes needed for fundraising events and distribute to winners when appropriate
  • work with the Webmaster on the Sting-a-Thon during set up and after the even

Corporate Fundraising Chair - (1)

 

This position will:

  • report to President
  • solicit and gather corporate sponsorships for the team, most work from Jan 1 to May 1
  • oversees implementation of publicity and marketing, but may have help with hands-on tasks, like arranging for tables for sponsors at home meets, distributing flyers from vendors to family files etc.
  • create and distribute flyers to family files as provided and requested by sponsors
  • send written information to webmaster or communications person to publicize all events on a timely basis
  • provide sponsor blurbs to the DJ to be read at all home meets
  • send thank you notes/photos of the team to sponsors upon completion of the season
  • organize and communicate the Dining for Dollars events and ensure payment made timely and given to Treasurer

Webmaster - (1)

  • report to the President
  • maintain and input all information related to the TU Team website, including but not limited to jobs, registration info, home page photos, website design and documents. 
  • update and maintain master calendar and all swim team events on website for all committee heads and Board. 
  • send informational emails to team via team website and creates/maintains all email groups and distribution lists throughout the season (note: The Fever newsletter to be sent out by Communications person
  • generates reports for other committees such as incentives, for patches and awards.
  • sets up and assists fundraising committee with TU Money portal for fundraising during Swim a Thon
  • maintains and manages team Facebook page
  • must have knowledge of TU website and how it functions.  Should be computer savvy with some experience in crafting bulk emails. Must have regular and reliable access to computer/email as some information needs to be sent out in a timely manner
  • may be asked to assist with time reports on swimmers for coaches for invitationals and relays

  • read blurbs provided by fundraising chairs to advertise our sponsors during all home meets

This includes regular set-up at home meet; and transporting and set-up/take-down of shepherding equipment/flag at away meets, and team equipment (team tents, tables, bulletin board, flag) at invitationals including Pentathlon, Woodlands, VSA, and County meets.
  • works to find facilities workers for set up and take down for home Fall meet(s).
  • organizes and maintains team storage closet, shed and equipment.
  • resolves any pool/meet equipment issues (ie: lane lines, BBQ, starting blocks).
  • organizes, plans and oversees Team Spring Clean-up Day
  • meet with Cafe prior to the first home meet regarding cafe set up and takedown (including maintenance of closet)
  • track facility member’s job completion through sign-up genius and communicate missed or incomplete jobs to the Job Coordinator

  • be responsible for negotiating pricing, reviewing contracts, obtaining licenses, meeting SSST budget commitments, soliciting and securing hot/cold food from different vendors for Stingray home meets.

  • the manager will provide support to the vendor throughout the meet.
  • be responsible for presenting the vendor suggestions and pricing to the SSST Board prior to the start of the season.

  • set up and maintain ribbon table at all home meets. Takes family files to away meets and coordinates set up with the away team ribbon coordinator.  oversees ribbon table workers, coordinates with Computer Committee at home meets to obtain printed labels for ribbons.
  • coordinate pick-up of swimmer ribbons/medals with coaches after Woodlands, VSA, county and any additional invitationals to place awards into family files

Little Stinger Coordinator (1)

  • serve as primary communications liaison for all Little Stinger families
  • coordinate with Stingrays Head Coach to ensure Little Stingers skills matrix is in alignment regular swim team requirements

  • collaborate with Little Stingers head coach to place swimmers into lesson groups and time slots
  • communicate and coordinates placement of swimmers with families

Coordinators will work closely with the VSA League Representative to fulfill the SSST responsibility for the VSA meet.  They will start early in the season creating a plan, implementing the plan, organizing and instructing the COC workers in coordination with the VSA League Representative. Activities will include phone calls and meeting to coordinate and plan prior to the event. Additionally, they will be expected to supervise and work the entire VSA meet to ensure our responsibility is successfully run.

  • assist coaches with exported reports as needed along with webmaster
  • assist check in person and coaches with same-day meet entry changes
