It takes a lot of people to run a swim meet! We need help from each family. Each family is asked to volunteer at 3 swim meets and at the Devon Crest Novice Meet for a total of 4 volunteer duties for the season. Each duty lasts for half of a meet; either the 1st or 2nd half. If you have problems or concerns with your volunteer assignment, please contact volunteer coordinator, Jill Tenny (email@example.com).
Timer: Using a stop-watch, times swimmers at the end of the race. Generally, there are 3 timers per lane (2 from home team; 1 from visiting team). One of the timers at each lane will need to record each of the finish times on a sheet of paper after the race. No experience necessary.
Starter/Referee: Acts as lead official. Responsible for starting each race heat and overseeing the meet. This position requires training and experience.
Official Stroke & Turn Judge: During a heat, monitors swimmers' strokes and their turns. If a swimmer is performing an illegal stroke or turn, the S&T Judge is responsible for disqualifying them from the race. This position requires formal training. Please let the Volunteer Coordinator know if you would be interested in being trained for this position, we are always in need of S&T Judges.
Official Finish Judge: Stands at the finish of the race and visually determines the order of finish of the swimmers. Records the finish order on a slip of paper. Trained officials preferred.
Runner: After the timers record swimmers' times on a sheet of paper and after the Finish Judge records the finish order of a heat, the Runner is responsible for quickly collecting all the slips of paper and running them to the Timer's Station. This requires someone who can move quickly and keep the pace of the meet on schedule. We will be happy to train you.
Scorer: Responsible for recording the time of the swimmers, after each heat, into our computer scoring system. Responsible for final score of the meet. This is an assigned position.
Concession Stand: Assists with the set-up, sales and clean-up of the concession stand. The 1st shift will need to be available early, prior to the meet for set-up. You will be able to take a break from the concession stand to watch your child when he/she is swimming his/her event. No experience necessary. Concession stand only operates at home meets.
8 & Under Coordinator: Works with a partner to round up the 8 & under swimmers and have them in the staging area prior to their event. You will receive a psych sheet with the list of events and the names of all the swimmers who are swimming that event. If you are new to the swim team and have a swimmer in this age group, this is a good way to get to know the other swimmers in the same age group. It's also a good way to make sure your son/daughter is in the right place at the right time. It requires a lot of movement and makes the time fly. We will be happy to train you!
10 & Under Coordinator: Works with a partner to round up the 10 & under swimmers and have them in the staging area prior to their event. Ribbons: Assists with placing labels of swimmers' names and finish times on the backs of ribbons during the second half of the meet. Ribbons are awarded to each swimmer for 1st, 2nd, 3rd place and exhibition for each event and relay team for each meet. Ribbons are distributed to the swimmers at the first practice after the meet.
Announcer: Emcees the day's events - makes general announcements, announces the race heats which are on-deck and which are about to begin. This is an assigned position.
50/50 Drawing: With a partner, circulates among the spectators and sells 50/50 tickets during the 1st half of the meet. No experience required.
Set-Up: Shows up at the pool the night before a swim meet, reports to the Equipment Manager and helps set up for the following morning. Assists in putting out the swim lane ropes, hanging backstroke flags and setting up team canopies. This is a great way to get your volunteer duties our of the way early and be able to enjoy the whole meet the next day without any volunteer responsibilities. No experience necessary.
Clean-up: Stays after the swim meet, reports to the Equipment Manager and helps put away equipment. Assists in taking down swim lane ropes, backstroke flags and canopies. We encourage all the swimmers to assist with clean-up of garbage and rearranging chairs, so you'll have lots of help. No experience necessary.
Photographer: We have a volunteer photographer who takes candid photos of the swimmers and parents during the meets and posts them to a shutterfly website. Please let us know if you have an issue with your child's photo being taken.
Substitute List: Sign up for this if you are willing to help us out wherever we need you. If all positions fill up, we may not need you at all.
