Parent Volunteer Responsibilities

Parent volunteers are ESSENTIAL to a successful summer swim season. Swim meets and team building social events couldn't happen without YOU!! 

Each Aqua Jet family is required to fulfill 6 (six) volunteer points throughout the season. These 6 (six) obligations can be fulfilled by completing one of the following:

  1. Volunteer at 1 of the Time Trials and other Swim Meets.
  2. Volunteer as one of our Lead Volunteers for the season.

To ensure that volunteer jobs are divided equitably among ALL participating Aqua Jets families, we will be tracking volunteer shifts throughout the season. Those families who exceed the 6 volunteer shift requirement will be given the opportunity to receive a special gift, as a token of our thanks for their extra commitment, dedication, and support of Aqua Jets. If a family DOES NOT fulfill their 6 volunteer obligations by the end of the season, they will be fined $50 per point they do not fulfill, and will not be allowed to register next season as a returning family.   Please note, it is your responsibility to fulfill your volunteer commitment.  

All Volunteer Sign-ups will occur online, beginning in late May/early June. As the Volunteer Sign-Ups become available, we will post instructions and send an e-mail with instructions how to sign up.

Committee Chairs Needed!

We have a few Committee Chair positions to fill for the 2019 Summer Season of Aqua Jets.  Note: All of these positions fulfill all 6 of your volunteer slot requirements for this season:

                                                                                                             Photographer - A Meets                                                                                 The Photographer Committee Chair for A Meets is responsible for capturing memories of all of the various swimmers at A Meets.  This photographer will typically either attend all A meets or ensure they have someone lined up to fill in for them if they can't make it to a meet.  You will focus on both the fun candid shots as well as the exciting swimming shots.  No need to be a professional photographer, but having photography as a hobby and owning a good quality camera is a need for this position.  You will share your photos with the Slide Show Committee Chair.  Then, at the end of the season, everyone gets to watch these photo memories come to life at the End of Season party slide show.  


Swim Meet Volunteer Jobs

Jobs that would be good for new Aqua Jet families: 

Concessions:  Set up and break down concession stand at home meets.  Sell food and drinks.  Pick up ice (before the meet, if needed).  (On the job training provided). Assist chair and other volunteers selling items at home meets.

Concessions Ice/Food Pick Up & Delivery and Standby:  Purchase concession items as decided by Concessions Committee chairs prior to swim meet. Deliver purchased items to pool. Submit receipts to Aqua Jet treasurer for reimbursement. (No training needed).   This position will vary depending on what kind of meet it is (A Meet, Time Trial or B Meet).  Some meets have more food to be picked up prior to the meet (bagels, breakfast burritos, etc.).   Depending on the meet, this position will be on standby during the first 1/2 or 3/4 of the meet in case a last minute concessions errand needs to be run.

Clean Up:  Return the pool and pool deck back to the condition it was in before the meet.  (On the job training provided).  Maps and instructions are on this website.

Grill:  Assist Grill Committee Chair with cooking of grill items to be sold at home meets.

Ribbons:  Assist Ribbons Committee chair with recording swimmers' data onto ribbons of appropriate place throughout the meet. (On the job training provided).  Can be a good position for those with small children who need some attending to during the meet.

Runner: Take the swimmers from the waiting area before an event to their deck position.  Give time cards to the Timer in each lane.  Deliver DQ cards to computer operations. (Minor on-the-job training needed).

Timer/Relief Timer:  Collect the time card from the swimmer prior to a race and ensure the accuracy of information on the card.  Time and record the time for each swimmer in the designated lane. (On the job training provided).

Jobs that would be good for veteran Aqua Jet families and/or families with older children:

Head Timer:  A position ideal for a veteran timer. Head timer calls for and gives Timer's meeting approx 30 minutes prior to the start of the meet (notify announcer to gather timers at specified location). Timer's meeting notes can be found in the timing watches box, as well as on Volunteers Page. During the meet, Head Timer ensures all timers' watches are cleared before each race, signals starter timers are ready, and assists timers if their watches fail to start once a race has begun.

Clerk of Course/Assistant Clerk of Course:  Organize the swimmers in the waiting area before their event. Seat swimmers in the order in which they will swim their event by lane and heat. Check that time cards are filled out completely and correctly. (On the job training provided.)

Data Entry:  Record swimmers’ times during the meet and complete all entries by the conclusion of the meet.  (On the job training provided)

Referee:  A position that requires certification by the Colonial League.  To be eligible to be a referee, an individual must be recommended by the Team representative.  In addition, the candidate must be certified as a stroke and turn judge as well as a starter and have knowledge of all deck official positions and meet administrative responsibilities.  (League training required)

Starter:  A position that requires certification by the Colonial League.  To be eligible for the position of the starter an individual must have worked one season as a Stroke and Turn judge.  The Starter is responsible for the correct start of each event during a meet. (League training required)

Stroke and Turn Judge:  A position that requires certification by the Colonial League.  The responsibilities include: watching each lane during each event to determine if the stroke and turns are being completed correctly and completing DQ cards for swimmers that have been disqualified from a particular event.  (League training required)


Below are descriptions of all Aqua Jet Committees. Each committee has a volunteer chair, who is exempt from the six (6) swim meet volunteer obligations, since their position requires large amounts of time and commitment throughout the season.

Computer Operations:  Enter and upkeep all team statistics to include:  swimmers, meet event, heats, lanes, and race times.  Print out time cards for all league meets.  Print and distribute ribbon labels.

Concessions:  Coordinate food, drink & supply purchases; coordinate concession volunteers.

End of Season Party:  Organize end of the season party including tickets.  Set up, serve, and clean up the night of the party.  

Officials:  Coordinate the officials for each meet.

Apparel:  Purchase and distribute suits and all other team apparel.

Ribbons:  Maintain ribbon supplies.  Coordinate ribbon preparation and distribution.
