MAKEUP POLICY


Because of our strict student to teacher ratio, missed classes will not result in make-up classes, prorated tuition or refunds.


CREDITS FOR SCSC CLOSURES, CAMP CANCELLATIONS, AND MEDICAL DROP

We plan our annual schedule prior to the year starting. 

We guarantee our once a week students 8 classes within a two month period.  If we offer less than 8 classes within a two month period we will issue a credit to our once a week students. We do not offer credits or refunds for classes you do not attend.   

We guarantee our twice a week students 8 classes in a one month period.  If we offer less than 8 classes from the start of the month to the end of the month we will issue a credit to our twice a week students, unless there are more than 8 classes in the following month. We do not offer credits or refunds for classes you do not attend. 

If you register for a camp with the Santa Clara Swim School, you can cancel the camp for swim school credit until the day the camp starts.  Once the camp begins, we do not offer camp cancellations for any reason.  We do not offer refunds for camps for any reason.  

If your child is hurt or ill and you provide a medical note, you can cancel your class from the date the medical note is received by the Santa Clara Swim School.  We will issue you a credit from the date the medical note is received through the remainder of the month.  You can use the issued credit when you return to swim class.  Credit will remain in your swim school account for up to one year from the issue date.  *Please note, if you chose to cancel with a medical note, the Santa Clara Swim School will not save your spot until you return.  By choosing to cancel your class and receive swim school credit for the remainder of the month, you are aware that your spot in the class will not be saved.   

All credits issued by the Santa Clara Swim School will automatically be applied towards your next month's tuition if you are actively enrolled in a swim class.  If you are not enrolled in a swim class and you have a credit balance in your swim school account, you have 1 year from the issued date to use your remaining credits for any classes, camps or merchandise within the Santa Clara Swim School. After 1 year from the issue date, all credits will be expired and no longer available for use.  Credits cannot be redeemed for cash value for any reason.     


CLASS LOCATION CHANGE TO MARY GOMEZ PARK

Due to our swim club's busy schedule there are swim meets and various events held throughout the year at the International Swim Center that require the swim school to temporarily hold lessons at Mary Gomez Park. By enrolling in this monthly class you are acknowledging that your class is subject to temporarily move to the Mary Gomez location instead of the International Swim Center and there will not be any refunds or make up classes when this occurs. Mary Gomez Park is located at 651 Bucher Dr. Santa Clara, CA 95051.  This location is within walking distance from the International Swim School.  We will do our best to notify all our students with as much time as possible when these location changes will take place. Please note that every summer all classes Monday-Friday will be moved to Mary Gomez park to accommodate the City of Santa Clara public recreation swim at the International Swim Center.       

***Please note that due to our high enrollment, we communicate with our families via email. In the event of a move to Mary Gomez, planned closure, unexpected class cancellation or closure, or if there is a need to update our families on any changes in the swim school, we always send an email out to the email address with which you created your account. If you click unsubscribe at the bottom of any of our emails, you will no longer receive any communications from the swim school. We highly suggest that you not unsubscribe and that you check to make sure our emails do not go into your junk folder to ensure that you receive any updates or pertinent information regarding your swim classes.***


WE SWIM RAIN OR SHINE!

We do not cancel classes or offer refunds for cold or rainy weather.


CLASS CANCELLATION

If you wish to withdraw from your lessons, an emailed cancellation notice is required to LTScancellations@santaclaraswimclub.org. We prefer to have 30 days notice but  we require all notices be submitted by the 15th of the month prior to your desired month of cancellation. Our cancellation form is available online on the swim school homepage under the registration tab or at the link below:

If a form is turned in after the 15th of the month the student will be charged the full amount for the next month and the cancellation will be in effect the following month.  If you miss the 15th of the month deadline for cancellation you will be given the option of paying a cancellation fee which is equal to 50% of a month's tuition.  We do not automatically charge you the late fee.  You must notify us prior to the next billing cycle (1st of the month) if you want to be charged the late fee- otherwise you will be charged the full month's tuition and canceled from the following month.   

**Students can be dropped with a doctor's note stating the child is unable to swim for medical reasons. From the date the note is received we will issue swim school credits to your swim school account, where they will remain for up to a year.  We will drop your child from his or her class at the time the note is received and cannot save/ guarantee your child's spot when they return. 

Please note: You are responsible for payment for your student's classes at the time of registration WHETHER OR NOT YOUR STUDENT ATTENDS CLASS until the time you notify the staff VIA EMAILED NOTICE. Please do not rely on your student to verbally let us know that he/she will no longer be attending classes. If a student stops coming to class without notification then that student's account will still be charged. This charge will be for holding the student's place in that class instead of offering that place to one of the many on a waiting list.


CLASS / INSTRUCTOR ASSIGNMENT

All classes will be taught according to the student's individual level.  Class level instruction is guaranteed.  Instructors are assigned to classes as needed by the management.  Instructors are subject to change without notice.  All instructors go through the same training program and are trained to teach all levels of Santa Clara Swim Club  curriculum.  Specific instructors are not guaranteed, though they may be requested. 


PAYMENT DETAILS

By enrolling in a class online, by phone, or in the office, you agree and authorize the Learn to Swim Program to automatically bill your class tuition on the first of every month unless you have submitted a cancellation form via email by the 15th of the month prior. You also understand and authorize that your card will also be charged a $25 registration fee if you have not already paid the fee within the current calendar year. 

In order to enroll in a class or add to a waiting list, all accounts are required to post a VISA or Mastercard debit or credit card. You may choose to pay with check or cash, but you are still required to have a card saved in case of non-payment.

Registration Fee

All students enrolled in an active year round class will be charged a $25 registration fee at the time of enrollment. This is an annual registration fee that will be automatically charged to your card on file every January. This fee is assessed per student, not per family. If a student drops and re-enrolls within the same calendar year, they will not have to pay the registration fee again until the following calendar year. The registration fee may not show up immediately if you enroll online, but will be assessed when the Santa Clara Swim School reviews all new enrollments. There is no registration fee for our camps. 

 

Automatic Billing / Class tuition

All class tuition is automatically charged to the card on file on the 1st of every month for the current month's tuition. If you enroll mid-month, your first month's tuition will be prorated based on the number of classes remaining that month. The monthly tuition may vary due to: unexpected pool closures, events, swim school breaks, rejected accounts, etc. Santa Clara Swim Club also agrees to give 30-days notice to customers in the event of a rate change. We do not offer make-ups, refunds or credits for lessons that you do not attend. The only way to stop the automatic billing is to submit a cancellation form via email by the 15th of the month. This will result in your class being cancelled from the end of that month. If a student stops attending class but does not submit the cancellation form, their account will continue to be charged as we do not take attendance. Extra Fees

All tuition is due on the 1st of the month. Any tuition that has not been paid in full by the 5th of the month will result in a late payment fee of $25. You will be assessed a $25.00 handling charge on any declined automatic debit transaction. The fee for a returned check is $40.00. Students will not be able to attend classes until all tuition and fees on their account have been paid in full. Failure to pay any outstanding charges will result in the student being dropped from our program.
