Volunteer Positions

Timer

Volunteers for this position must be 15 years of age or older, and able to be a timer continually for either the first or second half of the meet.  Timers are responsible for keeping a time for their assigned lane during each event.  At home meets the timer is also responsible for recording the time on the lane sheet and the swimmer’s event card during a relay.  While our pool has umbrellas, sunscreen, sunglasses, and a cap or visor are still very much recommended. Cold water and all items necessary to be a timer are provided. Timer volunteers are needed for both home and away meets. This position occurs during the meet and is available 1st half and 2nd half.

Head Timer 

This volunteer is in charge of timing each race as a backup.  The Head Timer is responsible for starting two stop watches at the beginning of a race.  Should any timer’s stopwatch malfunction, or should the Timer have human error at the beginning of the race, the Timer will raise their hand to indicated they need you to come to their lane.  The Head Timer would hand the Timer a running stopwatch to use to time the race.  This position is needed for home meets. This position occurs during the meet and is available 1st half and 2nd half.

Starter

This volunteer is responsible for starting each race.  This is done by saying “Swimmers step up, take your mark”, then sounding the horn.  This position is needed for home meets. This position occurs during the meet and is available 1st half and 2nd half.

Clerk of Course

This volunteer is responsible for getting the timer sheets ready and give them to the runners.  This position is needed for home meets. This position occurs during the meet and is available 1st half and 2nd half.

Runner

The Runner is responsible for getting the completed lane sheets from the timers to the Administration table.  The runner also takes the relay cards from the swimmers and runs them to the timers and then to the Administration table. This is an active position and you need to be ready to move quickly.  Tennis shoes are recommended.  This position is needed for home meets. This position occurs during the meet and is available 1st half and 2nd half.

Computer 

The volunteers are responsible for sorting swim cards and recording data into the computer system for ribbons and working closely with the meet director.  The data includes swimmer name, event, swim time, and date. This position occurs during the meet.

Ready Bench

These volunteers, who must be adults, will facilitate moving the swimmers from their tents, to the ready benches, where they will be lined up in order for their events.  The coaches will then move the swimmers to their chairs for the races.  These volunteers must be capable of being on their feet for at least two hours at a time. This position is available at home meets. This position occurs during the meet and is available 1st half and 2nd half.

Event Board

This volunteer is responsible for writing the upcoming race/event number on the event board.  This position is available at home meets. This position occurs during the meet and is available 1st half and 2nd half.

Hospitality

These volunteers are responsible for handing out water to the volunteers.  This position is available at home meets only. This position occurs during the meet and is available 1st half and 2nd half.

Photographer

This volunteer is responsible for taking pictures (race and candid shots) of all swimmers.  The photographer must use a camera instead of a phone.  The photos must be loaded to the group Facebook page ‘Go Hurricanes’ before the next meet.  This position is available at home and away meets. This position occurs during the meet and mainly occurs in the first half of the meet.

 

Set Up 

These volunteers are responsible for setting up the pool area prior to meet.  This includes things like getting the benches for the Ready Bench and setting up chairs by the ends of the lanes.  This position is needed for home meets.  This position must be performed before the meet and requires the volunteer to arrive 1 hour before the gates open for the meet.

Clean Up

These volunteers are responsible for cleaning up the pool area after the meet.  This includes things like putting the benches for the Ready Bench away and putting the chairs back to the regular location for normal pool use.  This position is needed for home meets.  This position occurs after the conclusion of the meet and typically requires the volunteer to stay 30 minutes after the meet.

 

Volunteer Check In

This volunteer is responsible for checking in volunteers prior to the meet.  Volunteers will be required to check in, so that we might track volunteer “points” accurately.  This position is available at home and away meets.  This position starts before the meet and usually ends prior to the start of the meet.  This volunteer must arrive 15 minutes before the gates open.

 

Swimmer Check In

This volunteer is responsible for checking in swimmers.  They will also make sure his/her events written on their arm and his/her name is written on their back.  This position is available at home and away meets. This position starts before the meet and usually ends prior to the start of the meet.  This volunteer must arrive 15 minutes before the gates open.

General Help

Signing up for general help means that as a volunteer, you will be utilized wherever we help is needed for that meet. This ranges from helping with swimmer and volunteer check in, to running the event board, to filling in for another volunteer in the event of emergency or otherwise unforeseen circumstances. This position is available at home and away meets. This position occurs during the meet and is available 1st half and 2nd half.

Administration

These volunteers are responsible for administrative activities.  These are

  1. Labeling ribbons and filing them in the swimmers’ folders.  The labels will be available for pick up from the Heritage HOA Club House approximately 24 hours after the meet.  The volunteer will be notified when the labels are available for pick up.  The volunteers must return the labeled ribbons to the Club House within 2 days.  This position is available for home and away meets.  This position does not require action during the meet.
  2. Labeling ‘speeding tickets’.  The labels will be available for pick up from the Heritage HOA Club House approximately 24 hours after the meet.  The volunteer will be notified when the labels are available for pick up.  The volunteer must return the labeled ‘speeding tickets’ to the Club House within 2 days.  This position is available for home and away meets.  This position does not require action during the meet.
  3. Keeping track of volunteer hours.  The volunteer check in sheet will be available for pick up from the Heritage HOA Club House approximately 24 hours after the meet.  The volunteer will be notified when the sheet is available for pick up.  The volunteer must return the update tracking sheet to the Club House within 2 days.  This position is available for home and away meets.  This position does not require action during the meet.
