Feb. 6th Meeting Minutes

Present:
Josh Beasley, Angie Brosseau, Mike Casagrande, Shona Mullins, Michelle Williams, and Ann Jumonville

Approval of Minutes:
January 2, 2013 meeting minutes were presented for approval. Motion for approval from Shona Mullins and seconded by Josh Beasley. Approved with an unanimous vote.

Fundraising Report:
Swimapalooza collections are being accepted through March. Account balance reflecting all scoreboard expense and fundraising income will be available this week.

Meet Director Report:
Recent home meets were discussed. We had lots of parent assistance in setup and cleanup with great results. Maintenance and replacement of screws in timing equipment was discussed.

Spiritwear Report:
Email for last chance orders will be sent to swim team families.

District/Jr. District Meet
District meet schedule discussed. Parents are asked to remind swimmers not to dive into pool during practice or warmups unless practicing starts under the direction of a coach.

Awards Dinner:
Discussed possible date change to Saturday, March 9th, to better accommodate larger team. Discussed Stevie awards and need for help preparing the awards. Parents will help cut the boards for the awards.

Open Floor:
A suggestion was made for a “Wish List” of small necessary items such as batteries, extension cords, clipboards, etc., to be given to parents for possible donations. Also discussed swimmers attending the Fit and Faster Clinic.

Oct 3rd 2012 PAC Meeting

New Business:

  • New Stingray logo which meets Y branding standards presented and discussed.

  • Spiritwear discussed. Chad Brosseau of Fastlane Graphix will be doing spiritwear order.

Fundraising Update:

  • Otis Spunkmeyer cookie fundraiser progress update.

  • 31 Party fundraising options presented.

Open Floor:

  • Team Party/Pictures: tentatively set for Friday, January 4th, 2013

  • Discussed Swimapalooza to raise funds for scholarship and state meet travel expenses.

  • Awards Dinner tentatively set for March 8th, 2013.

  • Next meeting set for November 7, 2012.

New Appointments!

Thank you to the parents who ran and are going to server the PAC for the 2012-2013 swim season. The results of the voting are in!

  • Chair - Shona Mullins will serve again

  • Meet Director - Josh Beasley will also serve again

  • Secretary - Michelle Williams will serve again

  • Spiritwear Chair - Annette Boudreau will take on this role

  • Fundraising - remains vacant

We can always use more parent volunteers so if you are willing to help in some capacity please let me know.

PAC By-Laws adopted

Below are the adopted by-laws for the Parent Advisory Committee. These were adopted at the December 7th meeting.  Our next PAC meeting is Wednesday, January 4th. The meeting will be at 6:30, all parents are welcome.

Parent Advisory Committee

General information about the Stingrays' Parent Advisory Committee.  Meetings are held the fiirst Wednesday each month at 6:30pm. All parents are welcome.

The objective of the PAC

"The primary purpose of the Parent Advisory Committee is the overall support of the swimmers, coaches and Y program. This support can manifest itself in many ways and venues, such as fundraising, communication, hosting competitions, social events, officiating, team and meet management, parent and swimmer orientation,event planning, etc."

We had a very productive Parent Advisory Committee meeting Wednesday night. The committee identified the roles we need to fill, both interim and for the future. Nominations for interim coordinators for the rest of the 2011-2012 swim season are now being accepted for the following positions:

  • Chair/Volunteer Coordinator - responsible for:

    • chairing meetings and setting agenda/discussion items w/Swim Team Director and Head Coach

    • Volunteer coordinator and point-of-contact

  • Meet Director (could be the same person all year or a different person for each meet)

  • Fundraising Coordinator – responsible for:

    • Setting up and coordinating fundraisers

    • Reporting on fundraisers to PAC

  • Secretary - responsible for:

    • Writing meeting minutes in a timely manner (upon review and approval by Swim Team Director and Chair)

    • correspondence including thank you’s

  • Social/Event Coordinator - responsible for:

    • planning winter team party

    • planning end of season awards dinner

  • Spiritwear Coordinator - responsible for:

    • spiritwear selection and orders with assistance of Swim Team Director

    • distribution of spiritwear

    • collecting payments

  • Liaison between parents and coach - facilitate communication from parents to coach and vice versa


All parents of current Stingrays swim team members are eligible either to nominate themselves or another parent of an active Stingrays swim team member. Nominations may be emailed to this email address or given to Ann or Lorna; the deadline for accepting nominations is October 21st, 2011. Please include a brief statement of why you are interested in the position along with your nomination.Voting will be based on nominations received by October 21st. Voting will take place by an email survey starting October 22nd; the deadline for voting is October 31st so that we can install the interim coordinators at the November PAC meeting.

In January we will call for nominations for the same positions for the 2012-2013 swim team season, voting will take place at the awards dinner in March.

I want to encourage all parents to consider volunteering for the committee in some way; together we can accomplish great things for the swimmers. I also want to encourage all parents to attend the PAC meetings, everyone is welcome!!

September 2011 PAC Minutes

The October Parent Advisory Committee Meeting will be Wednesday, October 5th at 6:30 pm. At the September PAC meeting the objective of the committee was approved and the committee worked on the following recommendations for areas of support needed and/or roles to be filled:

  • Chair/Volunteer Coordinator - responsible for chairing meetings and coordinating all volunteers

  • Meet Director (could be the same person all year or a different person for each meet)

  • Treasurer/Fundraising Coordinator

  • Secretary - responsible for meeting minutes and communication

  • Social/Event Coordinator - responsible for planning winter team party and end of season awards dinner

  • Spiritwear Coordinator - responsible for spiritwear selection, orders, distribution, payments

  • Liaison between parents and coach - facilitate communication from parents to coach and vice versa

  • Officials Coordinator - responsible for recruiting, finding training, communication with officials

The committee decided to have older swim team members be responsible for checking out meet equipment/supplies such as stopwatches, clipboards, DQ slips, etc.

At this month's meeting we will be approving these roles, either as written above or after any amendments. The committee will also look at how these roles will be filled. All parents are welcome at the meeting and we welcome any suggestions or changes to the roles listed above as well as the selection process. I will talk about how and when other swim teams fill these positions. I hope to see lots of parents at the meeting and look forward to your ideas!
