Parents & Swimmers: Swim Meet & Goal Sheet
This form is sort of a mini spread sheet that provides the swimmer and parents with a lot of hands on information.  One of the biggest obstacles before a swim meet starts is getting all the swimmers ready for their events.  Valuable time is lost writing down on their arms the event numbers and what heat or lane they are assigned.  This spread sheet or data sheet could be filled out a few days before you are registering or signing up for a swim meet. So, the night before the meet you can either print out this form and place it in a zip lock bag, and refer to it periodically to remind you what you are swimming or print it out and write the event numbers, heat and lane assignments on your arm (before arriving at the pool).
After you have entered the swim meet and filled out this form.  It is recommended that you print it out as well as save it as a word doc on your computer and refer to it when getting ready for the next meet.  Having coached for more than 25-years I would suggest and highly recommend that before signing up for any swim meet; you can always fill out this form a few days before the entries are due and send your coach this form that shows what you are planning to swim and see if you need to make any changes to what events you were planning to swim.  Also, by sending it to the coach he or she might be able to catch any mistakes; for example -- Entering to many events for a championship meet.
Explanation of each column:
Event No.: If the meet is held on a saturday (only), you would only fill in the necessary information on those lines that pertain to Saturday's events.  The event number will obviously correspond with the event you choose... The chart was taken from Excel software.  So, you click on the box, enter the information and then proceed from left to right by tapping the tab key so the cursor jumps to the next box. 
Saturday Events:  I am using this as an example.  Because most meets are on a Saturday.  You look at the meet information and enter the event number(s) and event(s) to each box that ONLY pertains to Saturday's meet (from left to right).  The other boxes in the Friday and Sunday fields will remain blank.  These two boxes (Event No. & Events) are important to fill out correctly!  The reason (if you look at the bottom; it says "Total Events Entered") is to prevent you from exceeding the number of events that are allowed for that particular meet.  Some meets might only allow four or five events, and other meets that are two days might allow a maximum of five events but not exceed three in one day....Or any combination!  It is important to read the swim meet information that is provided on the MSST website.
Entered Time / BT (BT: Stands for Best Time):  Over the years it has come to my attention that there are times when you have done your best time at a particular meet and do to some computer glitch that particular time does not appear on the web when you go to look up your best times.  Please Note:  I highly recommend that all swimmers carry a small note book with pen/pencil in a heavy freezer zip lock bag and right down your split times and the times that you do at a swim meet.  So, if  a problem arises and you contact the head coach and inform him of the glitch it will help him track down the time if you can tell him what you wrote down. 
Date: Best Time (BT):  This information will also help the coach track down your best time if a problem arises.  Also, I like this information for the following reason; let's say a swimmer has not swam the 200 Butterfly in eight months it will help me and the swimmer figure out their fade factor and goal time for that event by looking at what their time is in the 100 Butterfly.
Goal Time:  I came up with a formula to help swimmers set goal times.  Let's look at the 100 Freestyle as an example.  Before I assign a goal time (and a swimmer can do the calculations themselves).... I look at their best time for 50 Freestyle.  So, the swimmers best time in the 50 Free is :31.7 seconds.  The next step is to double that time and that time is 1:03.40.  Now we compare that time to the swimmer's best time in the 100 Free: 1:09.80.  I subtract the 1:03.40 from 1:09.80 which equals 6.4 seconds.  That 6.4 seconds is their fade factor (See the next box over on the chart).  Over the years I have found that Age Group swimmers slow down approximately 5 seconds for the second half for 100 yard events, junior level swimmers slow down approximately 3.5 seconds for the second of 100 yard events.  Now we come to setting a goal time for a junior level swimmer.  The time you doubled (1:03.40) plus (3.5 seconds) equals 1:06.90 (The NEW goal time).  If you have any questions please contact the coaching staff.
Fade Factor:  This is something I briefly discussed above.  It is the number of seconds a swimmer slows down the second half of most races.  A different formula is applied to establishing the goal time and fade factor for individual medley events.  The fade factor helps establish a base line when calculating a swimmers goal time for any given event.  For further information on fade factors or goal times please contact the coaching staff.
Comments/Notes:  This could be fille out by the coach or the swimmer.  Things to remind them what to do before a particular race.  For example: 50 free......Coach might write in the following (abbr): Not breath off turns or kick off the wall.
QTS:  This stands for Qualifying Time Standards.  To the right of those letters a swimmer could enter J.O.  That stands for the Alaska Junior Olympic Short Course (25 yd) Swimming Championships.  The swimmer can go to our website and look up the qualifying time for that particular event that corresponds to the event that was entered at the far left side of the form.
# of Swims:  This stands for the number of times you swam a particular event over a period of 12 months.
