Athlete Registration Information

All attached registrations (those that are associated with a club in Niagara) should be returned and processed by your CLUB REGISTRAR. Only unattached registrations should be sent directly to me.

Outreach - Clubs, please be sure to collect and confirm required documentation. DO NOT send it to me unless there is a question about eligibility (or if you just don't feel comfortable making the decision). If needed, email me your question/concern but do not send the documentation yet. If you are required to send me the items, you must either redact the information and send to me in a password protected zip file, or you must use USPS to mail them to me.

Transfers - To transfer any membership (athlete or non-athlete) please email admin@niagaraswim.org. Please include name, ID, and the clubs involved (both transfering from and to).

Some Important links:

The following items must be submitted to the Niagara Office whenever completed or updated (admin@niagaraswim.org):

  • Your valid CPR certification
  • Your valid Lifeguarding or In-Water Skills Checklist
  • Your STSC Online certificate

The remaining items which include the Background Check, APT, and Foundations of Coaching will automatically match to your record assuming the information entered matches in both places. To insure that items have been matched, you should be looking at your Deck Pass, Deck Pass App, or the Membership Status report (found under the governance tab). If there are items missing, you should contact your club registrar and the Niagara Office to help sort out what's wrong.

Some helpful tips (this section will be added to as issues come up!):

Be concise in your file naming. It will help both for organization as well as searching if required. This is particularly true on non-athlete items.

  • For registration forms use something like: CLUB-Stimson-2020-Application
  • For certifications it's best to simply forward me the link or confirmation of completion. If you need to send a PDF, consider naming it CLUB-Stimson-LG or CLUB-Stimson-CPR-AED-LG. Anything that helps keep it organized.
  • Concussion certifications are also accepted. Many high school coaches and officials are already required to complete these. There are some states that also require this for USA Swimming Officials and Coaches. If you send them to admin@niagaraswim.org and safety@niagaraswim.org, we will keep these on record. Please use similar naming.

It is prefered that the Member Data Validation System (MDVS) is used for submitting batch files. If you don't know what that is, ask. It's been emailed about by USA Swimming, Team Unify, Active, and myself for nearly a year now. Some programs support it, some programs don't. It allows for direction to SWIMS loading of batch files along with some potentially useful data validation before submitting.

Club Portals - This one is huge... If your club isn't using the club portal you're missing out. Click here for some instructions. Each club is provided a club portal by USA Swimming. It contains rosters and non-athlete membership information as well as some stats about the club. It is your best method of verifying:

  • non-athlete status for certifications and registration
  • athlete status for registrtaion, 120 day requirements, and Adult athlete APT requirements

Deck Pass - As a registrar, you should be familiar with Deck Pass and recommending its use to all of your members. https://usaswimming.org/DeckPass. Again, if you need help, ask!
