Member Conduct Policy

GCST trains in several pools in the area, and it is important that our members show respect for those facilities and for other users. We expect all of our swimmers to display sportsmanship and proper respect toward team members, coaches, officials, administrators, fellow competitors, parents, volunteers, the public, and the facilities we use. The following are prohibited for team members while at practice or meets:

  • Foul language or any form of verbal abuse.
  • Horseplay or physical contact between swimmers.
  • Fighting or any form of physical abuse, and possession or use of any weapon.
  • Tampering with or causing damage to any facility.
  • Photos, audio recordings, or video recordings in locker rooms or changing areas.
  • Vaping/smoking or possession or use of illegal substances.

Failure to abide by our conduct rules may result in the suspension of the swimmer from practice or more serious consequences if warranted.


Photo/Video Policy

GCST may wish to take photographs and/or videos (individual and in groups) of swimmers under the age of 18 that may include your child during their membership in the club. By registering your child for GCST, you agree to allow all photos/videos taken of your child by GCST staff during practices, meets, and other team events, to be made available to GCST for general use on our website, for the media, or for use at swimming meets. Parents have a right to refuse agreement to their child being photographed, but you must communicate this in writing to the team administrator at [email protected].


Swimmers and parents are not allowed to take pictures or videos during practices without head coach approval.


Per USA Swimming rules, at NO time can photos or videos be taken from behind swimmers on the starting blocks. This includes practices and meets. Photos/videos must be taken only in the host team's specified "camera zones."


Team Suits

GCST does not require members to wear team suits for practice, but members are required to wear a Speedo team suit and a GCST cap at meets. GCST is contracted with Speedo for team gear, available through our Team Store at a discount. A Speedo team suit must be worn at meets.


Nutritional Supplements

GCST is a USA Swimming member and as such we abide by U.S. Anti-Doping Agency (USADA) rules. All GCST members are encouraged to keep up-to-date on current rules by visiting www.usada.org. Any legal nutritional or pre/post-workout supplements should be used responsibly and with the full knowledge and consent of parents of minors. GCST does not monitor use or condone overuse of any supplements. Open mixing or consumption of supplements observed at practices or meets will be addressed and may be prohibited by GCST coaches and staff, and parents of minors will be notified as needed.


Team Travel

GCST members are expected to abide by our travel policies, which can be viewed in the Team Forms section of the GCST website. Travel policies can and will be updated as necessary and will be distributed to families and swimmers before team trips. Travel policies will be in compliance with USA Swimming Safe Sport's Minor Athlete Abuse Prevention Policy (MAAPP 2.0).




USA Swimming Safe Sport

GCST is a USA Swimming's Safe Sport Club. Parents will be asked to help us achieve this recognition by taking Safe Sport's online course, which provides an introduction to Safe Sport, abuse, and reporting information.

 GCST abides by USA Swimming Safe Sport rules, including the Minor Athlete Abuse Prevention Policy (MAAPP 2.0), as outlined on the GCST website.


Meet Volunteering Policy

GCST Parents are expected to help at our HOME swim meets.

  • At least one parent must volunteer to help in the session that your child is swimming in.
  • Failure to sign up for sessions when your child is swimming will result in a $50 Non-Volunteer Fee per session that this occurs and will be added to your account.
  • If the session that your child is swimming in is full, you must sign up for another session of the meet.  Failure to abide by this rule will result in a $50 Non-Volunteer Fee added to your account.
  • One day League Meets & Time Trials are exempt from the Non-Volunteer Fee.
    If volunteer spots are filled, you must contact Rhonda Fiore via email to be put on a wait list.
  • If you fail to do so, it will be considered as a “non-sign up” for that slot/meet and the $50 fee will apply.
  • If there are extenuating circumstances involving volunteering for one of GCST home meets, you must contact Rhonda Fiore 14 days prior to the meet.

Fundraising Policy

All GCST Club Team swimmers are required to participate in our Fundraising Program.

•  All new first time swimmers that join after 1/01/21 are exempt.

•  All annual swimmers are required to participate in our annual Swim A Thon.

  • Seasonal, Summer Program and Masters swimmers are exempt.
  • Funds may be raised through Swim-A-Thon or Corporate Sponsorship.
  • Members that do not participate in Swim-A-Thon will have a Team Commitment Fee added to  their account after SAT is completed.
  • Billing date is June 1. The fee can be paid at one time or paid in 3 monthly installments on your team account.



Monthly Program Fees
Program Fees are billed monthly, quarterly, or semi-annual and are due on the 1st, of the month.
A pre-billing summary will be e-mailed to each account on the 21st.
Invoices are billed and e-mailed on the 1st of each month.
Any swimmer that participates in any practice after the 1st of the month is responsible for charges for that month.

Meet Fees
Meet Fees will be billed to your account and charged to your credit card or ACH when the entry is completed.
Meet entry will be declined if the account is not signed up for electronic payment in our system by credit card or ACH.

Refunds will not be issued for Registration or Swim Meet Fees.  Program Fees may be refunded by prorated amount on a case by case basis.

GCST Annual Membership Renewal
USA Swimming Membership renewal will be automatically billed to your team account on September 1st.

All active accounts must have a valid credit card on file in your team account or sign up for Automated E-check (ACH) from your bank account.

Voluntary Account Suspension or Withdrawal from the Club

If your swimmer is planning on taking a break from practices or withdrawing from the club, you must notify the team in writing by sending a message to [email protected] within 5 days of the end of the month before the break. A swimmer is not considered suspended or withdrawn from the program until written notice is received by the club. It is not sufficient to inform a coach of your intent to suspend membership or withdraw from the club.
If written notice is not received before a charge for the next month or season is applied to your account, there will be no refund.


Account Reactivation
To reactivate your team account, you must rejoin by going through the Registration System and selecting Account Reactivation.
Each swimmer must be a current year USA Swimming Member.
Account Reactivation Fee is $30. Swimmers that are not currently USA Swimming Registered will have the new registration added to their account. Curren Program Fees will be prorated for the month rejoining.

Past Due Accounts
Accounts not paid by electronic means are considered Past Due on the 1st. Members must use "Make A Payment" with a credit card prior to the 15th to avoid a $30 Late Fee. The full amount due must be paid.  A second run will take place on the 10th for Past Due Accounts.
A $30 Late Fee will be added on the 15th of the month to all Past Due Accounts.
Accounts not paid after the 15th of the month will have their swimmer(s) SUSPENDED from practice until the account is paid in full.
Late Fees will not be removed for any reason.
Past Due Accounts after 30 days may be turned over to a collection agency for payment.
You will be responsible for any fees added for collection.
Please make sure your credit card is valid in our system or use ACH payments.
