GSC Update: August 27, 2021

Dear Glenbrook Swim Club Families,

We are excited to announce the start of our 18th year as a comprehensive community aquatics program.  The fall season will begin on Wednesday, September 8th for swimmers in the Respect levels and on Monday, September 20th for all other levels.  Next week, a new TeamUnify website will be launched, and registration will open for all swimmers on Wednesday, September 1st.  Please note that families will need to create new accounts for the TeamUnify website.

Before the fall season begins, we want to take a moment to acknowledge a program review that was conducted this spring.  Recognizing the growth of the Glenbrook Aquatics organization since its establishment in 2003, the school district’s administration enlisted the assistance of Lauterbach & Amen, LLC of Naperville, to perform a comprehensive audit of the program’s organizational and financial structure.  An important takeaway from the Glenbrook Aquatics audit is that Glenbrook Swim Club, diving, water polo, and Swim America provide excellent opportunities for swimmers of all ages that have been embraced by the community.  However, for the program to continue its success, some changes to its operation need to be implemented.  These changes include:

  1. Implementing an organizational structure where every staff member’s role and responsibilities are clearly defined;
  2. Implementing employee performance reviews on an annual basis, per existing school district standards;
  3. Addressing levels of mistrust and dissatisfaction among staff members leading to toxicity in the workplace; and
  4. Formally resetting team expectations and roles, focusing on reinvigorating team members and improving communication with all organizational stakeholders.

An overview of the recommendations from the audit was shared with the Board of Education and the community on August 9, 2021.  During that meeting, the Board recognized the organization’s benefits to our community and the overall high school aquatics program.  Simply stated, they emphasized the importance of ensuring that our community continues to benefit from the types of experiences offered by Glenbrook Aquatics for years to come.  To that end, the administration presented a recommendation for a revised organizational structure and asked for authorization to establish user fees consistent with a self-sufficient program model.

The Board formally approved the administration’s recommendation on August 23, 2021, and the Glenbrook Aquatics leadership team has been working together to implement the recommendation this week.  As part of the changes necessary to be financially self-sufficient, Glenbrook Swim Club is implementing a new staffing model.  This includes the identification of a Lead Age Group Coach for each level (e.g., 10U, 12U, 13-14U, Senior) and additional Assistant Coaches to working alongside the Head Coach and Lead Age Group Coach.  The exact number of coaches is based on a ratio that has been established for each group within a level.  We ask all individuals interested in working for Glenbrook Swim Club this season to apply as soon as possible using the school district’s Applitrack system.  This includes any coaches who coached during the 2020-21 year and are interested in continuing.  In accordance with school district guidelines, all positions must be posted for ten days.  The leadership team will then schedule and hold interviews, with the goal of starting the season as initially planned.

Additionally, registration fees will be calculated using the school district’s formula for self-sustaining programs beginning this year.  As part of this transition, Glenbrook Swim Club will no longer charge the $50 family fee.  Alternatively, the registration fee will incorporate the entire program’s cost, except for the $85 annual USA Swimming fee and the cost of meets.

We all want to thank you for your patience and understanding throughout this process.  We know that there has been a lot of speculation as to the future of Glenbrook Swim Club, and we want to assure you that we are focused on getting our kids back in the water and continuing to offer exemplary learning and competition opportunities for our swimmers of all levels.
