LWSA GATORS VOLUNTEER POLICY 

 

Swimming is a sport that requires a great deal of parental involvement, and volunteering is a major component of that involvement.  Our parents are essential to the success of the LWSA program, especially when it comes to hosting a well-run meet.  Hosting various meets allows us to keep registration fees at a reasonable level, swim in one of the nicest facilities in the area and provide our swimmers with the best possible experience. 

Every season is a little different in terms of the number and types of meets, so no one policy can apply. 

 

FALL/WINTER 2021-2022 PARENT VOLUNTEER REQUIREMENT 

  • Oktoberfest Meet – Every family is required to volunteer for ONE SESSION at this meet EXCEPT for families that ONLY have a High School Girls AND that girl swims for a local High School (i.e. you have NO other swimmers on the Gators).  These families are not required to volunteer at this meet since their swimmers are not eligible to swim this meet because they are swimming with their high school team.  Meet dates 10/23 - 10/24.

  • Holiday Splash Meet – Every family is required to volunteer for TWO SESSIONS at this meet EXCEPT for families that ONLY have a High School Boy AND that boy swims for a local High School (i.e. you have NO other swimmers on the Gators).  These families are not required to volunteer at this meet since their swimmers are not eligible to swim this meet because they are swimming with their high school team.  Meet dates: 12/10/21 - 12/12/21.

  • Winter Whiteout Meet – Every family is required to volunteer for ONE SESSION at this meet EXCEPT for families that ONLY have a High School Boy AND that boy swims for a local High School (i.e. you have NO other swimmers on the Gators).  These families are not required to volunteer at this meet since their swimmers are not eligible to swim this meet because they are swimming with their high school team.  Meet dates 1/28/22 - 1/30/22.

  • Dual/Tri/Conference Meets – These are defined as any meet that takes place during the week at night.  The Holiday Splash and State Championship Meet start on a Friday night, but these are NOT part of the Dual/Conference Meet requirement.  They have their own requirement listed above.  Every family is required to volunteer for ONE SESSION at any of these Dual/Tri/Conference Meets. 

  • Winter Regional Championship Meet [TBD] – Should we host, every family will be required to volunteer for ONE SESSION at this meet EXCEPT for families that have a swimmer participating in this meet.  Those families are required to volunteer for TWO SESSIONS at this meet.  This meet will be held 2/25/22 to 2/27/22.

 

VOLUNTEER PENALTY 

Each of the FOUR requirements above is a stand-alone requirement.  Any family that does not meet one or more of the requirements listed above, NO MATTER THE REASON, will be subject to a volunteer penalty of $100 PER REQUIREMENT which will be billed immediately at the conclusion of each requirement.  Please note WE NEED YOUR HELP, NOT YOUR MONEY!!!

 

VOLUNTEER PROCEDURE PRIOR TO THE MEET 

  • Families are expected to read the emails and check the website for Job Sign-up information. 

  • Volunteer sign-up is done through the website within the event page for each specific meet.  Click on the “Job Signup” button and select the position for which you would like to volunteer. Volunteer positions are on a first-come, first-serve basis.  An email will be sent out providing a time range when the job sign-ups will become available for a particular meet. 

  • Job Sign-Ups will close on the website at Midnight the night BEFORE the meet starts.  You will be able to see if there are openings still available but will not be able to sign up after the deadline.  If there are available positions and you would like to sign up after the deadline passes, sign-ups will be on a first-come, first-serve basis AT THE MEET.  

  • If you cannot volunteer for the required number of sessions, need to leave a session early or your plans change and you are no longer able to volunteer for a shift you signed up for, please find a replacement to work on your behalf.  IT IS YOUR RESPONSIBILITY TO FIND A REPLACEMENT.  The LWSA Gator Volunteer Coordinator is a volunteer position, and the person fulfilling this role does not have the ability to arrange a replacement for you.  Any adult or child of high school age may volunteer to fulfill the requirement.  Just sign up through the website as described above.  High School kids can use this volunteer time towards their volunteer requirement for graduation (this applies to the LW High Schools.  If you attend another high school, you will need to verify this).  Please limit HS kids volunteering to timing, clean-up or concessions. 

 

VOLUNTEER DUTIES AT THE MEET 

  • Volunteers are expected to arrive at the designated start time as listed on the website for the position for which you signed up.  Check in with the Volunteer Coordinator when you arrive.  This will be in the lobby of whichever pool is hosting the meet. If you have arranged for a replacement to volunteer on your behalf, please have them indicate this when they check in so you get credit for the session.  There will be plenty of Gator Board Members at each meet to help with any questions you may have. 

  • Although estimated end times will be listed for the volunteer position that you sign up for, volunteers are expected to work until the end of the session. 

 

EXEMPTIONS 

  • All current USA Swimming Certified Officials and Officials in Training are exempt from the volunteer requirements.  Officials are not paid and volunteer their time at both home and away meets.  We are always in need of more parent officials.  If you are interested in becoming an official, please contact the Board President or Vice President for more information.  Their contact information can be found on the website under the “Our Coaching Staff” section. 

  • All current LWSA Board Members are exempt from the volunteer requirements.  Board Members are not paid and volunteer their time throughout the year to help run the LWSA Gators Swim Team, run meets and organize various activities including Halloween Havoc, Candy Cane Races and the end of year banquet.  If you are interested in becoming a Board Member, please contact the Board President or Vice President for more information.  Their contact information can be found on the website under the “Coaches & Board” tab.
