COVID Information

  • No swimmers, parents or coaches from your team may enter the facility or take part in the Harvest Festival 2021 if they are experiencing any COVID-19 symptoms.
  • Anyone on your team who has been exposed to COVID-19 within 14 days of their participation in the Harvest Festival 2021, may not enter the Calvert Hall Facility.
  • Masks are required at all times and must worn over both their nose and mouth.

Friday Night Session

  • The gym will NOT be available until after 6:30 pm
  • Swimmers will sit in the stands
  • There will be NO CONCESSIONS on Friday night

Spectators & Spectator ViewingIMPORTANT UPDATE – 11/17/2021

  • Swimmers are permitted to have 1 parent/spectator sitting in the gym with them
  • In keeping with the spirit of the capacity limitations as part of the COVID safety protocols, we ask that the spectator be an adult.
  • The parent/spectator can go down to the bleachers/stands to watch their swimmer's race, then walk back to the gym. 
  • Stands - There is limited seating. 
    • Friday night 
      • Swimmers ONLY in the stands since we will not have access to the gym until 6:30pm.
    • Saturday and Sunday
      • Spectators will be permitted to filter into and out of the stands to WATCH their SWIMMER ONLY! 
      • Absolutely NO sitting in the stands through the entire Session.  Anyone doing so will be asked to move.
      • We strongly encourage ONLY 1 spectator/parent per swimmer (no non-swimmer siblings)

Parent “Team Managers”

  • We ask that each team provide 2 Parent “Team Managers” who will sit with their team to ensure that the swimmers do not miss their event/heat and also to ensure safety
  • These parents should:
    • Help swimmers get to the clerk of course located in the gym.
    • Ensure swimmers are following facility rules.
  • Each of the parents will be checked in at the entrance and given a wrist band to wear while they are in the facility.
  • These parents will have access to the pool viewing stands to watch their swimmer’s races but will not be allowed to remain in the stands throughout the session. 
  • These parents will sit in the gym with their team athletes/swimmers.

Meet Logistics

Entrance to the Facility

  • Everyone will enter through the door leading to the hallway, which leads to the gym. We will have safety marshals outside and at this entrance to direct people to the correct doors.
  • Swimmers will not be permitted to enter the facility more than 20 mins before the beginning of warm-ups.  Please ask your families to come no more than 15-20 mins before your assigned warm-ups.
  • Teams will have assigned seating in the gym. All swimmers will be directed to the gym when they enter the building.

Gym

  • Announcer – located in the gym to announce Events/Heats to Clerk of Course & Events/Heats in the pool
  • Swimmers/Athletes - will sit with their team (team designated area)
  • Team Parent Volunteers - We will ask each team to have 2 parent reps sit with their teams to ensure that the swimmers don’t miss their event/heat and to ensure safety
  • Concessions – located in the gym (variety of packaged food and beverages)
  • Hospitality – located in the gym (variety of packaged food and beverages)
  • Meet supplies – ready for purchase items will be available (masks, goggles, bungees, etc...)
  • Clerk of Course – located in the gym.

Clerk of Course - located in the gym

  • 12 and Unders  - will have “walkers” who will walk the swimmers from the gym Clerk of Course, down the stairwell, all the way to behind the blocks.
  • 13 and Overs – condensed Clerk of Course, located in room off to side of pool
  • There will be a clerk of course in the gym.
  • ACA volunteers will announce when swimmers for each event need to report to the Clerk of Course.  Your ‘Team Managers’ will send swimmers at the appropriate time.
  • If your “Team Managers” know of swimmers who did not show up, please have them let the clerks know.
  • ACA volunteers will ‘walk’ the swimmers from the gym, down the stairwell, through the hall to the pool deck. (Swimmers will need to wear shoes and shirt and have a towel when they walk through the building.)
  • On deck there will be several heat staging areas to keep swimmers organized and spaced while on deck.

Blocks

  • Chairs – there will be at least 2 heats behind the blocks.  Each heat will have a chair
  • Bins – each swimmer will have a bin to place their shirt, towel, and mask into (prior to their swim)

Masks – to be worn at all times throughout the meet and venue unless actively eating or swimming

Swimmer attire (pool deck)

  • mask

  • There are no locker rooms available for changing. Swimmers must ARRIVE and LEAVE in their swimsuits.
  • For SAFETY purposes, swimmers must carry a towel and wear SHOES & and a SHIRT when traveling from the Clerk of Course – to the pool – and back to the gymnasium.

Swimmer requirements

  • Swimmers MUST wear a mask at all times in the facility unless they are in the pool or actively eating.
  • Swimmers are required to carry a towel and wear shoes & shirt from the gym to the pool deck.
  • Please have your swimmers bring a zip-loc bag with their name on it to store their mask when behind the blocks.  Also, remind your swimmers to bring multiple masks.  (Masks will be made available for purchase at Concessions for $2.00)
  • There will be bins for swimmers to leave their towel, shirt, and mask in during their race.

Parking Lots

  • Parents - Parents may sit in their vehicles or wait just outside the building
  • Food - Parents will be allowed to purchase food at concessions, then take the food to their car to eat/drink
