Meet Director

Coordinates with MD Swimming schedule, creates meet sanctions, invites teams, interacts with coaches, and coordinates all meet preparation.
Communicates final results to SWIMS.

Computer set-up and data entry of meet participants.

Hospitality Coordinator

Arrange meals, snacks & beverages for coaches, officials & volunteers.

Volunteer Coordinator

Ensures each volunteer position is filled before the start of meet.
Monitors the website sign-in and makes phone calls necessary to fill all positions.
Tracks volunteer attendance.

 

Prior to Meet

 

Meet Setup

Brings equipment and supplies from storage to venue either the day before or day of the meet and sets it up on deck.

During Meet

Computer Operator

Ensures that computer, timing and printing systems are all interfacing correctly and prints all results.
Organizes storage of all hard copy and back-up materials.

Computer Assistant

Position works closely with computer operator to learn computer operator position.

Recorder (4x).
Computer savvy

Start of Warm-ups

 

Recorder

Works with computer operator.
Checks stop watch times against timing system times, makes sure watch times, backup times & timing system all match up.
Checks and records DQs.

Start of Session

 

Runner

Works with computer operator & recorder. Picks up DQ slips from stroke & turn judges/referee and brings to meet administration table.
Picks up timer sheets after each event and delivers to administration table.
Posts meet results. May also serve as relief timer as needed.

Start of Session

 

Clerk of Course

Sets up timer packages (sheets, watches, clipboards, pencils.)
Answers entry, scratch, and coaches' questions.
In a prelims/finals meet, keeps track of preliminary postings & scratch deadlines.
During age group meets, helps the younger swimmers get to their appropriate heats and lanes.
Keeps track of Time Trial signups and fees.

Working knowledge of swim meets.

Announcer

Announces all information pertinent to meet including:
- swimmers competing in final sessions.
- General announcements as required.
Should have strong, clear voice and be able to read and pronounce a wide range of last names.

Officials

Positions (referee/starter/stroke & turn) must be certified under USA Swimming.
Training class plus 6 sessions of apprenticeship required for certification.

Awards

Affixes award labels generated from computer operator on appropriate ribbon/medal and places them in their respective team "awards bag."
Coordinates award ceremonies during Championship meets (positioning swimmers, handing out awards, etc.)

Head Timer

Supervises & trains timers.
Must attend Timers meeting 15-20 min before start of session.
Monitors timers for proper procedure.
Serves as back-up to timers by starting 2 stop watches for each race

Timer (2x)

Start of warm-ups.

 

Timer

Operates stop watch & timing system plungers and Records times.
Must attend Timers meeting 15-20 min before start of session.
2 timers per lane.

Parking Attendant

Directs drivers to appropriate drop-off and parking areas.
Keeps flow of traffic in parking lot safe & efficient.
Makes sure signs and cones are in place.

Volunteer Sign-in

Checks-in volunteers and issues deck passes prior to session.
Must be willing and able to find replacement timers quickly.

Hospitality

Helps with organization, food prep, & set up of meals for officials, coaches and meet staff.
Distributes drinks & snacks to volunteers, coaches & officials on deck.

Sales

Sells heat sheets, t-shirts, food and other items in the lobby of venue.

30 min prior to Warm-ups

 

Safety Marshall

Enforces warm-up procedures & maintains order in the venue.
Ensures only swimmers, coaches, officials & meet volunteers are allowed on deck per USA Swimming regulations.

Heat Winner Awards

Presents heat winner awards for each heat.

None required.

Start of Session

 

Photographer

Takes digital photos from stands and pool deck capturing swimmers, coaches, officials & volunteers to use for Team publicity, (website, slide show, etc)
Delivers photos to Head Coach on CD or DVD within 3 days of meet.
Must provide your own equipment.
