Volunteer TITANS

As a non-profit, TITANS need your volunteer support at swim meets we host. Home swim meets allow for reduced program costs and less travel expenses for our families. The TAC TITANS expects each member family to support the team through volunteering at TITANS hosted meets and/or other team events.  Tracking of volunteer time is done via Service Credits.  Each family is expected to earn a total of ten (10) Service Credits per season (September - July). The TITANS do not currently have a monetary fine for not volunteering, but the TITANS reserve the right to re-assess this policy if obtaining volunteers becomes difficult. See detailed program information below.

TAC TITANS Volunteer Service Credit Program

September 1, 2015 – August 31, 2016

The TAC TITANS rely on volunteers to run swim meets and fill committee volunteer roles.  We are very fortunate to utilize a world-class aquatic center for practices and swim meets. Because of this facility, the team regularly hosts swim meets throughout the season. More local/home swim meets result in fewer travel costs incurred by member families.  However, hosting successful swim meets require significant volunteer support from member families.  Our goal is to support our team through adequate volunteer coverage at swim meets and team events.

In addition, we strive to keep our pricing in line with that of other USA Swimming Teams.  But unlike other swim teams, the TAC TITANS do not have a capital campaign, swimmer contribution fee or fundraising requirement.  For us to effectively balance competitive pricing for swimmers with world-class facility access and more home swim meets, we rely on parent volunteers.

Please note that our Volunteer Program is not associated with the Dues Reduction program.  For more information on Dues Reduction, please go to the team website and click the “Dues Reduction” tab at the top of the screen.

On a yearly basis, TAC management will review the expectations of the Volunteer Service Credit Program to determine if any changes are required to meet future team needs and growth.  Any changes would be communicated prior to registration each year.

The following summarizes the TAC TITANS Volunteer Service Credit Program policies and procedures.

  1. Service Credit Expectations - Each family (based on account; not the number of athletes in a family) in the TITANS Challenge or Elite program is expected to earn at least ten (10) Service Credits per swim season.

    1. Families earn Service Credits by working at TITANS hosted swim meets and other team events requiring volunteers.

    2. Families can also earn Service Credits by serving in TITANS Leadership Council (TLC) committee support roles.

    3. Those in the following roles would not have their service credits tracked per season because their volunteer role already meets the team’s expectations.  For example:

      1. Those serving a 2 year term as a board member on the TITANS Leadership Council (TLC)

      2. The individual serving as Lead Hospitality Committee Coordinator for the season in question

      3. The individual serving as Newsletter Coordinator for the season in question

    4. Please note that some of the TLC lead and committee positions may already be filled for the season.  If a TLC or committee position is of interest to you, please contact the Volunteer Coordinators to express your interest, learn more about future opportunities and perhaps receive training in advance.

  2. Jr. TITANS and Teen TITANS families are also expected to volunteer at swim meets to support the team but their Service Credits are not tracked at this time.  This may be revisited in the future based on seasonal program utilization data and growth.

  3. The Service Credit Job Listing is posted on the website and in the chart below.  Each job is assigned a credit value based partially on training required.  Please note that some jobs require pre-training before an individual will be approved to work in that role.

    1. In addition to the roles detailed on the job listing, there will be other opportunities to help with tasks associated with various larger team events.  This work will also be eligible for Service Credits and will be announced to the team when applicable.

    2. For member families with unique situations that may make it difficult to work in certain meet specific roles, please contact the Volunteer Coordinators for assistance in finding the right job for your particular situation.  We have a wide variety of volunteer positions to meet varied needs.

  4. Signing up to Volunteer

    1. Families can sign up to volunteer for various roles throughout the season via our team website (Team Unify).

    2. Volunteer opportunities will be announced via e-mail, the team newsletter and the website.

    3. Meet or event volunteers will generally be recruited two or more weeks prior to the meet or event.

    4. Generally, positions require volunteers to be at least 13 years old.  Registered TITANS swimmers are allowed to volunteer at age 12.

    5. Please note that students (TITANS swimmers or other family members) may volunteer through the family’s account and earn Service Credits for the TITANS Volunteer Program while concurrently earning service hours needed for school or community clubs, honor societies, etc.

  5. The tracking of Service Credits will be handled through the Team Unify system.

    1. In order to earn a Service Credit, the person signed up must check-in at the appropriate time and work the entire duration of the job.  Job start and end times will be listed on the volunteer sign-up.  If you leave your job early without providing adequate coverage, no Service Credit will be given.

    2. If an individual signed up does not check in by the appropriate time, their role will be re-assigned and credit will be given to the family who fills the role.

    3. Service Credits cannot be split between families.  The Service Credit will be assigned to the family who signs up to work the session.   If someone fills in for another volunteer for a partial session, no incremental credit will be given.

  6. Questions/Comments

    1. Program information will be posted on the website to assist families in their understanding of the expectations of the program.

    2. We welcome your comments and suggestions on how to best provide volunteer support for the TAC TITANS in the future.  If you have any suggestions regarding this program, please contact the Volunteer Coordinators at volunteers@tactitans.org.
