Parent Board Positions and Job Descriptions

President (Elected Officer)

President: Megan Dougherty (2021)

  • Act as CEO of the Team
  • Schedule meetings as needed throughout the year
  • Preside at all meetings of the Board and the Parent Association
  • Prepare agenda for each meeting
  • Ensure board positions are filled and active
  • Ensure coaching staff is robust and successful
  • Supervise all functions of the board and the association
  • Work closely with (head) coaches to ensure success of team
  • Send out regular email communications to all team members
  • Ensure Insurance Policies are up to date, paid and in effect
  • Act in partnership with Lower Makefield Township Park/Rec Director to ensure success of team and good partner/relationship with township
  • Coordinate schedules and policies regarding pool use with township
  • Attend LMT Park & Rec Board Meetings when Pool and/or Swim/Dive Team is on agenda
  • Voting Position


Vice President (Elected Officer)

Attend all meetings of the Board and the Parent Association

  • Preside at all meetings of the Board and the Parent Association when President is absent
  • Plan and execute pre season info session for perspective athletes/families
  • Plan and execute pre-season Team Open House
  • Act as liaison for new families
  • Keeps Team Website up to date
  • Fundraising Chairperson 
  • Facilitate “used” flipper sale/trade (usually held at Open House)
  • Voting Position
  • 2 year term is intended to be followed by a 2 year term as President


Vice President-Registrar (Elected Officer)

Position held by Kevin Long (2021)

  • Attend all meetings of the Board and the Parent Association
  • Determine dates/fees for registration
  • Set up and run New Swimmer Evals - Date, time, location, process, volunteers, coaches, etc
  • Prepare the registration system – update dates/fees/any new instructions -  so that it is up and running when registration opens
  • Monitor registration numbers for swim and dive. Keep close eye on numbers in each age groups and talk to head coach about cut-off numbers in case we have to waitlist
  • Manage and extract swimmer lists from software as needed. (new swimmers, emergency contact list, updated swim & dive rosters so Team Manager software can be updated by coach in advance of season start)
  • Send roster to township so they can make sure all swim team members are pool members
  • Receive final rosters (squad assignments) from coach. Prepare rosters, checks (contact treasurer for them) & insurance release reports according to league specifications for annual league roster meeting.

Secretary (Elected Officer)

Position held by Angela Ensig (2021)

  • Attend all meetings of the Board and the Parent Association
  • Take minutes at board meetings and email them to the Board within 1 week.
  • Maintain the Bylaws
  • Purchase any supplies as needed
  • Oversee organization and off-season storage of team office
  • Distribute, collect and process all coach paperwork each season. Partner with Treasurer and Head Coach.

Treasurer (Elected Officer)

Position held by  Beth Gates  (2020)

  • Attend all meetings of the Board and the Parent Association
  • Act as guardian of the funds of the association; including reconciling/balancing bank account
  • Responsible for team budget (recap, plans, etc)
  • Issue 1099's in January to Coaches
  • Issue paychecks, reimbursements and pay invoices (as approved by Board)
  • Keep accurate records of receipts and expenditures
  • Report to board members about team finances
  • Prepare monthly bank reconciliation
  • Prepare and File annual tax returns (Form 990-EZ)

Record Keeper/Invitational Swim Meet Coordinator (Appointed)
 

Position held by Nancy Wisnienski (2021)

  • Attend all meetings of the Board and the Parent Association
  • Coordinate all league sponsored invitational swim meets as well as job signups
  • Coordinate, communicate, post and record all swim records
  • Print Certificates for all record breakers to be distributed end of season

 

Team Spirit Coordinators 

Adrian Saguill and Jamie Jaffe (since 2021)
 

  • Attend all meetings of the Board and the Parent Association
  • Work with coaches to build spirit throughout season
  • Make Welcome signs to hang for visiting teams
  • Plan/Execute Annual Team Picnic/Team Meeting, activities for picnic
  • Coordinate Spirit Wear and/or Team Gift, Caps, and Suits
  • Coordinate Senior Farewell 
  • Coordinate Pictures  (Individual and Team plus parent shots)
  • Plan and implement "Spirit Week" - Munchkin Monday, Go Bananas Tuesday, Water Ice Wednesday, Thankful Thursday (charitable event), Philly Pretzel Friday
  • Plan raffle baskets, get tickets for 50/50, etc.
  • Help with fundraisers

 

Swim League Representatives (Appointed)

Karen Brown, Charlene Lawton, Megan Dougherty, Kevin Long
 
 

  • Attend all meetings of the Board and the Parent Association
  • Attend monthly league meetings (April - September) for discussion of league-wide issues and act as communicator between LBSL and LMT Board. Meetings currently held at Somerton Springs.
  • Relay information from league meetings to the rest of the entire board
  • Attend all dual meets:
    • Documents workers from both teams.
    • Recap (audit) forms from meets (officials, coaches, etc)
    • Responsible for sign-off on home and away “official” meet sheets.
    • Mail home meet sheets to LBSL
    • Act a on-site coordinator/problem-solver


Dive Team Representative (Appointed)

Position held by Beth Gates. since 2019

  • Attend all meetings of the Board and the Parent Association
  • Attend monthly league meetings (April - September) and act as liaison between LBSL and LMT Board
  • Make sure all diving insurance paperwork is received from each diver.
  • Assemble roster on LBSL form
  • Take above paperwork along with completed roster and check for diver fee to league roster meeting (attending with coach) in June
  • Field parent questions pertaining to any non-coaching subject
  • Work with meet director and coach to ensure success of team
  • Send out regular emails to all team members re meets, volunteers, schedules, etc.
  • Notify parents of dive champs date/location. Collect fees, fill out LBSL champs roster and exchange fees for a check from our treasurer.
  • Attend league champs roster meeting (attending with a coach) in late July with roster and entry fee check.


Board meets 1/month
Board positions are normally held for 2 years (and can be extended if Board agrees)


Associate Board Members


Head Coach-Swim Team

Position held by Kathryn Mireles since 2015

  • Attend all meetings of the Board and the Parent Association
  • Instruct and teach all 4 competitive swim strokes.
  • Instruct and mentor assistant coaches in the safety and basic development of the athletes.
  • Attend Practices and Meets.
  • Write Meet line-ups for all dual meets
  • Make sure the entire coaching staff has a positive attitude and are role models to the athletes.
  • Maintain the general organization and development of the team
  • Send out weekly in-season emails re meets, schedules, etc.

 

Head Coach-Dive Team

Position held by Rosie Gertzman (since 2021)

  • Attend all meetings of the Board and the Parent Association
  • Instruct and teach the basic skills of springboard diving.
  • Attend Practices and Meets.
  • When kids show coordination and balance and are able to maintain a safe distance from the board, then they are taught more advanced skills.
  • Instruct and mentor assistant coaches in the safety and basic development of the athletes.
  • Write dive sheets for all divers that compete in meets throughout the season.
  • Instruct some basic stretching and dry-land exercises.
  • Make sure the entire coaching staff has a positive attitude and are role models to the athletes.
  • Maintain the general organization and development of the team


Meet Directors:  Karen Brown (since 2021), Tiffany Nork (since 2021)


Runs logistics of each dual meet, have all meet supplies ready. Assist Volunteer Coordinator getting parents to their jobs.


Head Table Coordinator: Kris Walsh (since 2021)
This person manages staffing for Head Table; Set up Training each pre-season with LBSL and/or private training.

 

Photography/Social Media: Traci Curtis (2021)

Takes pictures at practices, meets, and any other team events when possible. Posts pictures on Facebook, Instagram, and on our website. 

 

Officials Coordinator: OPEN

Manages staffing for strokes and turns officials and Starter positions. Sets up training sessions with the LBSL Head of Officials

Mouse Parent Coordinator: OPEN
Makes sure new mouse parents understand their role at meets. Explains relay and event sequences. 


Volunteer Coordinators:   Jen and Brian Shaffer (since 2021)

This person is responsible for making sure each dual meet is staffed with volunteers to successfully run meet. Most of the work is done behind the scenes prior to the meets. Before each meet, this person is responsible to make sure all volunteers are checked in and performing their responsibility. This person makes sure each family fulfills their volunteer requirements. Sets up jobs in Team Unify. Sends email reminders to families about jobs.
