Reminder: Sign up for Required Volunteer Jobs opens May 4th, 8am

VOLUNTEER SIGN UP INFO:

The online signup portal will be open Saturday morning May 4th at 8 am.

Each family is required to volunteer for 6 spots, so we can run a fast and efficient meet, plus a job at time trials.  Most families choose to select one job per meet for their most convenient meets, however it is possible to "double up" and have 2 adults (14 or older) complete jobs at the same meet (each counting towards the required total).

As in the past, a list of local high schoolers is being assembled who will be available for individual families to "hire" for their jobs, or to babysit younger siblings if that is preferred.  The list of high schoolers will be posted on our website soon.  If you find yourself unable to fulfill a job, it is the responsibility of the individual families to find their replacement or switch with another family.  In the event of a switch, please send an email to riverrunraptors@gmail.com to let us know so we can adjust our records.

The job descriptions are listed at the end of this email - please check it out and let us know if you have any questions.

To sign up:   Go to rrraptors.org.  Under the EVENTS tab, There will be a button on each swim meet event that says "JOB SIGNUP".  Just click that button and it will bring you to the list of positions.  Simply put a check in the box on the right next to the spot you want and then click the green "Sign up" button.  Do that 6 times and you are done!  If you have any questions, please ask as soon as possible so we can help resolve the issue!

Volunteer Job Descriptions

Timers:  Three timers are required to operate stop watches in each lane during a dual meet.  We also must have at least two back up timers.  Each team provides half of the timers to run a dual meet.  Each timer will record the time to the nearest hundredth on a timer sheet which will then be handed to a runner who will take the sheets to the computer table.  There is a timers meeting with the Head Timer held approximately 15 to 20 minutes prior to the start of a meet.  It is essential that you be on time if you are working as a timer as the meet cannot begin until all workers are in place behind the blocks.  It is not a job that would allow you to also supervise a small child.

Clerk of Course/Bullpen:  These workers call the swimmers to the bull pen area where they line them up according to their heat and lane for their event, especially younger swimmers.  They then hand off each heat of swimmers to the escorts who will take the swimmers to their correct lane.

Runners:  Each team will provide runners for each dual meet.  The runners constantly walk the pool deck collecting timing sheets from the timers and DQ cards from the officials which they deliver to the computer/scoring team.  Check in with the Head Official during the officials meeting usually held approximately 15 to 20 minutes prior to the start of a meet, listen for announcement for place of meeting.

Concessions:  The concession workers will help the concession chair and the board members set up and run the concessions during the meet.  They will work under the direction of the Concession Coordinator selling food and beverages to the participants throughout the meet.  For Saturday meets you must check in with the Volunteer Coordinator no later than 7:15 AM and for Tuesday/Thursday meets check in no later that 4:15 PM to assist in the setup.

Concession Griller:  The concession griller will set up and run the concession grill area during the meet.  They will work under the direction of the Concessions Coordinator preparing and providing food to the participants throughout the meet.  For Saturday meets you must check in with the Volunteer Coordinator no later than 7:30AM and for Tuesday/Thursday meets check in no later than 4:30 PM.

Floater:   This individual will also work under the direction of the volunteer coordinator and will be placed in a position based on the needs of the meet.   Check in with the Volunteer Coordinator no later than 7:30 AM and for Tuesday/Thursday meets check in no later than 4:30 PM.

Official:   This position requires attending on of the Naperville Swim Conference training sessions or having YMCA/USS official certification.  The role of the official is to work under the direction of the Meet Starter to monitor swimmers and watch stroke infractions throughout the meet.    Check in with the Volunteer Coordinator no later than 7:30 AM and for Tuesday/Thursday meets check in no later than 4:30 PM.

As always, if you have any questions - please email me at riverrunraptors@gmail.com!
