Barracudas Parent Volunteer Job Descriptions
Some jobs require special training and will be filled by the board prior to general job sign-up.
Families that have not signed up for the required number of jobs by June 10th may be automatically assigned and emailed their jobs.
Sometimes circumstances prevent a family from being able to fulfill their jobs. It is completely acceptable to find a replacement. The replacement must be at least 16 years old. Please be sure to communicate the transfer of job coverage to ensure your family gets credit for covering your job responsibility. If you need help finding a replacement, please reach out to the Jobs board member (Megan Pagnucci – [email protected]).
The five job requirement only applies to regular season meets. Families participating in an INVITE or in a CLASSIC/CITY meet may be required to work that particular meet. We are still waiting to find out what these meets will look like and will communicate the expectations when we have a better understanding.
Home Swim Meet Jobs
Announcer (1) -
Arrival Time: 30 minutes prior to start time, Finish Time: End of the meet
● Get the microphone from the swim office and test it. (The timing bin has extra batteries)
● Announce events and swimmers throughout the meet.
● Play music in between events.
● Read announcements, Barracuda Bistro offerings, and sponsor information
Bag Tag Distributor (1) -
Arrival Time: 30 minutes prior to start time, Finish Time: End of the meet
● Hand out bag tags to the winner of each heat.
Clerk of Course (2) -
Arrival time: 30 minutes prior to start time, Finish time: When the final heat is on-deck.
● Get the heat sheet, megaphone and line markers (stored in the storage area on the south side of the pool). Post a copy of the heat sheets in a location that is accessible to swimmers such as on a fence near the bullpen, etc.
● Assist junior coaches in locating and identifying the swimmers for their events and lining them up correctly.
● Once swimmers are correctly lined up for their heat, the CoC will escort them to the appropriate lane and return to escort the next group of swimmers.
DJ (1)
Arrival time: 30 minutes prior to start time, Finish time: End of the meet
● Connect to the pool speaker system and test
● Prepare and play National Anthem at the start of the meet
● Play music during meet warm-ups and between events
● Choose music or use provided Spotify playlist
Concessions (2 shifts of 3 people)
Concession & Concession Set up–Arrival Time: 1 hour prior to meet, Finish time-End of the meet
Concessions & Concession Clean up–Arrival Time: Meet start time, Finish time-When clean up is finished (approximately 30 minutes after the meet ends)
● Stock food and drinks.
● Sell food at the concession counter during the meet.
Floater (2) -
Arrival time: 30 minutes prior to start time, Finish time: End of the meet
● Check in with concessions, scoring table, and timers periodically throughout the meet.
● Assist with whatever is needed. Serve as back-up as needed.
● Keep busy areas clear.
Griller (2) -
Arrival time: 1 hour prior to start time, Finish time - End of the meet
● Grills hot dogs and hamburgers for concessions during home meets.
Parking Attendant (2) -
Arrival time: 1 hour & 30 minutes before meet start time, Finish time: 30 minutes after meet start time
● Remind Barracuda families to park in the neighborhood so the visiting team to use our parking lot.
● Help with parking congestion at home meets.
Runner (2) -
Arrival time: 15 minutes prior to start time, Finish time - End of the meet
● Attend the timers meeting 15 minutes prior to every meet.
● Act as the liaison between timers and scorers
● Run timesheets from timers to scorers &
● Run DQ cards from the officials to the scoring table.
Scoring Assistant (1) -
Arrival time: 15 minutes prior to start time, Finish time - End of the meet
● Assist scoring team during home meets.
Scoring Apprentice (1)
Arrival Time: 1 hour prior meet start, Finish Time: When scoring responsibilities are complete (typically 1 hour after the meet).
Shadow the scoring team for the season in order to learn the ropes so that they would be able to seamlessly step in and do the roll for the 2023 season.
Set Up (4) -
Arrival time: 1 hour and 30 minutes prior to start time, Finish time - When meet starts
● Check the inside of the storage closet door for a set up map.
● Put kick boards at end of each lane
● Take out megaphone
● Remove tables from boys’ locker room and set up
Clean Up (4)
Arrival time: Before the meet ends, Finish time: When the job is complete (typically 30 minutes after the meet ends)
● Pick up garbage left on grass and tennis courts
● Return tables to boys’ locker room
● Move pool furniture back
● Put away kick boards, megaphone, and microphone
Timer (6) -
Arrival time: 30 minutes before meet starts, Finish time: End of the meet
● Attend the timer meeting 15 minutes prior to the start of the meet to get instructions, lane assignments, stopwatches/dolphins, and clipboards.
● Check each swimmer's name to ensure swimmer is in the correct event and lane for each heat.
● Timers use stopwatches/dolphins to record times in that lane and give the timesheets to the runners.
● Timers must be on their feet for the entire meet and focused on each event.
Timer Back-Up (2)
Arrival time: 30 minutes before meet starts, Finish time: End of the meet.
● Attend the timer meeting 15 minutes prior to the start of the meet to get instructions, lane assignments, stopwatches/dolphins, and clipboards.
● Float between the 2 lanes assigned to provide backup timing as needed.
● Start your stopwatch at the beginning of each race. Timers will call out if they need your assistance.
Away Swim Meet Jobs
Clerk of Course (2) -

Special Meets
City Meet Coordinator (counts for 5 jobs) - Helps to make sure jobs are filled in advance of the meet and then helps with check in/coordination with the City team day-of.
Classic Meet Coordinator (counts for 5 jobs) - Helps to make sure jobs are filled in advance of the meet and then helps with check in/coordination with the Classic team day-of.
Invitational Helper - Works boys or girls invitational. We are still waiting for details of what assistance will be needed.
Non-Swim Meet Jobs
Bag Tags (counts for all jobs) Makes tags for home meets.
Time Drops (counts for all jobs)
Trophies (counts for 3 jobs) - Orders and distributes team trophies.
Ribbons Coordinator (counts for all jobs) - Oversees ribbon assignment and distribution
Ribbons (5 people - counts for all jobs) - Assigns ribbons to swimmers after every meet
Picture Day Helper (3) JUNE 7 - Helps organize swimmers and passes out donuts
Tie-Dye Party Helper (8) JUNE 9 - Helps with annual t-shirt tie-dye event.
End of Season Event Helper (12) JULY 23 - Assists with set up and clean-up of end of swim season event.
