Coordinators

These positions are filled at the beginning of the season. If completed successfully, they fulfill your total volunteer requirement. Contact a board member if you are interested in one of these positions.
           
Volunteer Coordinator - Report 30 minutes before swimmer check-in. Make sure all volunteer positions are filled prior to the meet, find replacements for vacancies that occur during the meet. Contacts volunteers the day before each meet to give a reminder of volunteer positions. In charge of supervising the relay team leaders. Must keep accurate records of all volunteer time worked by all swim team families and update the volunteer record on the website. This person must have good communication skills, be detail oriented and be available during the day on meet days. 
 
Officials Coordinator:  This person must be a certified official.  Report by 4:00 for home meets, one hour before start of meet for away meets. Responsible for training, coordinating officials for each meet, care and maintenance of all starting equipment, headsets and other equipment used by officials. 
 
Timer Coordinator : Report by 4:00 for home meets, 1 hour before meet starts at away meets. Responsible for of coordinating timers for every meet, care and maintenance of all timing equipment (stop watches, clipboard, pens, etc.), setting up and passing out equipment at meets and making sure all timing positions are filled prior to the start of a meet.
 
Concessions Coordinator:    Report by 4:00 for all home meets.  In charge of buying all concession supplies, storing or arranging storage of supplies between meets, and coordinating food donations from families. Contacts volunteers the day before meet to give reminder of volunteer position. Must be at every home meet and be at the pool by 4:00 pm to supervise the set up of the concession area.  This person does not need to work at the concession stand during meets but must supervise the concession workers and be available to run to the store if needed for more supplies.
 

Ribbon Coordinator:  Keeps an inventory of ribbons.   Works with the Computer Scorer to collect the labels and supply them to the ribbon workers.  Makes sure all the ribbons are completed and distributed to both the visiting and home teams.

 
Social Activities Coordinator :
Responsible for creating and supervising a social activities committee that will organize events for the team, including but not limited to: the ice cream social, the 4th of July Parade, the Psyche party before championships, Picture Day donuts, and the end of season banquet games & activities.
 
Head Timer  (home meets only) – Arrive 30 minutes before meet start. Attend the timer’s meeting, supervise and train timers, make sure that all timers are in their specified locations and is equipped with stopwatches, boards, and pencils.  Experience required.
 
Officials
These positions require training and certification. See the Officials Coordinator or a Swim Team Board member if you are interested in one of these positions.
 
Turn Judge - Observes the swimmers after the start and reports any violations of the turn or finish rules to the referee.
 
Stroke Judge - The official positioned at the side of the pool, walking the length of the course as the swimmers race. If the stroke judge sees something illegal, they report to the referee and the swimmer may be disqualified.
 
Starter - The official in charge of signaling the beginning of a race and insuring that all swimmers have a fair takeoff.
 
Referee - The head official at a swim meet in charge of all of the "Wet Side" administration and decisions.
 
Meet Workers
 
1st Half Timer – Check-in 30 minutes before start of meet. Attend timers meeting 15 minutes before start of meet.  Time events 1 through 37. Use a stopwatch to time swimmers in your assigned lane.  One timer per lane will record times on timer sheets or lane slips.   
 
2nd Half Timer – Must be checked-in and ready to time by event 37. If you do not check-in at the beginning of the meet or with the Timer Coordinator, you may not receive credit for your volunteer time. Attend timers meeting 15 minutes before start of meet. Use a stopwatch to time swimmers in your assigned lane.  One timer per lane will record times on timer sheets or lane slips.  Return all equipment to the timer table at the end of the meet.
 
Relief Timer— Check-in 30 minutes before start of meet. Attend timers’ meeting 15 minutes before start of meet. Walk around and ask if the home team timer needs a break. They fill in for that person for a brief time.  They would provide relief for any of our 16 timers.
 
Backup Timer--  Check-in 30 minutes before start of meet.  Attend timers’ meeting 15 minutes before start of meet.  A person who times along with the other timers, but gives their timer read-out when the timing/timer for another timer fails for some reason. 

Computer/Scorer:  This person sits at the scorer's table and inputs swimmers times and DQ's once received from the runner into the meet manager system on the team computer.  This is for home meets only.  Must have Hy-Tek training in order to do this job.

Runner (home meets only) – Report 30 minutes before meet start.  Works the whole meet.  Picks up timer sheets from the timers and DQ slips from officials and takes them to the scoring table.
 
Hospitality (home meets only) – Report 30 minutes before meet start.  Works the whole meet.  Set up the water bottle cooler (all supplies provided by concessions).  Provide water to timers, officials, and other meet workers throughout the meet. 
 
Ribbons (home meets only) – Report to the scoring table at event 37.  Place award stickers on ribbons, sort by team, and file the Stingray ribbons. You will have to stay after the end of the meet to do this job.
 
Swimmer Check-In Must be at the meet 30 minutes before swimmers are told to arrive. Cuts and distributes the individual event sheets to each swimmer and notifies the coaches of missing swimmers before the meet starts.   Works all the home and away meets.
 
Relay Leaders - Report 30 minutes before start of Medley Relay. Organizes relay teams for 8 & under swimmers, lines up swimmers at the proper ends of the pool, makes sure swimmers know what stroke they are swimming and what order they swim. Must be available for relays at the beginning and the end of the meet.
 
1st Shift Concessions Worker (home meets only) – Report to Concessions by 4:00. Help set up the concession stand then prepare and sell food and drinks.  Your shift lasts through event 37, but you cannot leave until your replacement shows up.
 
2nd Shift Concessions Worker (home meets only) – Report to Concessions at the beginning of the meet to let the Concessions Coordinator know you are there and will show up for your second shift assignment. Report to the concession stand before event 37 to start your shift.  Prepare and sell food. At the end of the meet, clean up, pack-up supplies and load them into cars.
