E-mail #4: December 8 -  Reminders

Good morning coaches,

We are 1 day out from the start of the #LVSuperFinals! I wanted to get out a few reminders and updates prior to your arrival...
  • Required waivers
    • All athletes need to have a UTSI Concussion Waiver on file. If they have NOT competed in a Utah Swimming event in the last year, they need to turn in a new one. It is attached.
    • ALL athletes, coaches, and officials need to have a SAND COVID waiver on file. If they have competed in any SAND hosted event since September 2020, we do NOT need another waiver. It is attached.
    • Digitally turning them in is preferred. I suggest using www.ilovepdf.com to merge the files into one PDF.
    • If turning in by hand, please bring them to Meet Admin.
  • Masks are required for everyone inside the pool, regardless of vaccination status OR the current Utah local mandates. Thank you in advance for your cooperation.
  • Scratches
    • There is no positive check-in for this meet. Coaches will receive a packet with print outs of all athletes entered in events for each day. Use the list to indicate any scratches for that day. These will be turned into Meet Admin by the following deadlines:
      • Thursday Distance/Relays (session 1) scratch deadline: Thursday, Dec. 9 at 12:00pm MST. Send via email to Meet Admin ([email protected])
      • Friday events scratch deadline: Thursday, Dec. 9 at 5:00pm MST
      • Saturday events scratch deadline: Friday, Dec. 10 at 6:00pm MST (start of finals)
      • Sunday events scratch deadline: Saturday, Dec. 11 at 6:00pm MST (start of finals)
      • Individual swimmers will scratch at the Admin table
  • For Thursday's 1000s, swimmers need to provide their own lap counter and timer. We will provide the physical lap counters, but swimmers need someone to count for them. Teammates are approved to time for their own teammates.
  • The bleachers, both in the balcony and on deck, are for swimmers only. Parents can walk on deck to see their athletes swim, but cannot camp out for the entire session. Again, thank you for your cooperation.
  • Live Stream Page is live! Check out our live stream page, provided by Game on Live Studios. There are a ton of unique features, please share it with your families: https://gols.co/2021-las-vegas-super-final-invitational/
Safe travel to Utah! Las Vegas/Southern Utah is expecting rain tomorrow, so please factor that into your travel plans.

Coach Michael Kinross

E-mail #3: December 6 -  Pre-Meet Information

Hello Coaches,

Welcome to the 2021 TYR Las Vegas Super Finals Invite hosted by the Sandpipers of Nevada and Olympus Aquatics! We are honored to be hosting all of you at Dixie State's beautiful facility in St. George, Utah.

I have a number of attachments for you and your families. Please thoroughly read the attached "Pre-Meet Notes" document. It outlines all COVID safety procedures, waiver information, spectator & athletes regulations, check-in info, and more. All of your families need to be made aware of this information.

With the unique scoring and finals format of this meet, there are not settings in Meet Manager to handle all of the nuances. Therefore, we end up doing a lot of the seeding and scoring manually. Please be patient with Meet Admin getting the finals qualifiers published, especially the first day. If you notice an error, bring it to our attention right away. Thanks in advance.

Attachments:
  • IMPORTANT Pre-Meet Notes
  • Estimated Timelines V1
  • Psych Sheet V1
  • Warm-up Assignments & Information
  • Updated Meet Form (reflects start time adjustments)
  • Lane Timing Assignments
    • We are asking visiting teams to help time the preliminary sessions. This is the BEST way for your families to get a front row seat for the entire meet. Please fill these positions, thank you.
    • We are looking for volunteers to time Thursday evening as well!
  • Where spectators can set up outside the facility
  • SAND COVID Waiver
  • UTSI Concussion Waiver
Team Sizes
A majority of the teams competing did not approach the 50 athlete team maximum, nor did any teams indicate the rule was an issue for them. Because this was a non-issue, the two Sandpiper squads and one other team do exceed the 50 person limit. However, all 3 squads will have numerous swimmers who don't score and the competitive team aspect of the meet will be unaffected.

Live Stream
The entire meet will be broadcast on a Game On Live Studio’s YouTube Channel: https://www.youtube.com/channel/UCT7vIjRJ8pU2PAQcIugwXEw/featured.

We are still seeking sponsors of the live stream! More information and the application to sponsor can be found here: https://form.jotform.com/213246724887162. The deadline to apply is Tues. Dec 7 at 11:59pm PST.

Officials
If you have officials that are interested in working, please contact our Meet Ref, Paul Szuszkiewicz ([email protected]), ASAP if you have not already done so.

We will be constantly updating and posting to the Meet Landing Page on the Sandpipers team website. Check this page often for heat sheets, results, and other important links: https://www.teamunify.com/team/scsccsnv/page/system/res/129034.

E-mail #2: November 1 -  Wave 2 Commitments Open

Coaches,

The form for Wave 2 Clubs to commit to the 2021 Las Vegas Super Finals Invite is live! This wave is open to any interested teams; don't hesitate to pass the info along if you know of someone looking for a meet. Wave I clubs that didn't already commit should sign up using the Wave 2 form.

All fees collected will go towards your team's entry fees. If you are looking to bring more than 50 athletes, or are having issues with the time standards, please email me. We want to be as flexible as possible to create a great TEAM meet for every one. I have attached the most recent unofficial meet form. We should have the official, sanctioned meet form and event file published this week.

The 3 properties we have hotel blocks at will expire 1 week from today, November 8. If any of the blocks are full, shoot me an email and I will see if we can get more rooms opened up.

Thank you to the Wave 1 teams who are bringing officials. If you have any within your club, please ask if they can work this meet!

Finally, all updates and files will be posted to the Event Landing Page. We have added some more information, including all-time SF records.

Contact me with any questions. More to come...
Coach Michael Kinross

E-mail #1: October 17 - Initial Info & Team Commitments

Hello Coaches,

I hope this email finds you all well and your teams swimming fast. Thank you for your patience with me in getting out this information.

We are now taking initial club reservations for the 2021 Las Vegas Super Finals Invite! Please refer to the attached preliminary Meet Forms for more information. We will be hosting the meet at Dixie State University's beautiful facility in St. George, Utah. The meet will run December 9-12. I have provided travel suggestions later in this email.

We would like to thank Olympus Aquatics for co-hosting the event with us. Paul Szuszkiewicz will be our Meet Ref and Alina de Armas our Admin Official. Both are cc'd on this email.

Meet Concept
The main concept behind this meet is to create a competitive, TEAM atmosphere and competition. We want teams to be able to travel with all of their training groups and make it an all around fun competition. Therefore, if a team is able to bring more than 25 athletes, there will NOT be time standards on the events for those teams. If a team is coming with less than 25 athletes, those swimmers will be subject to the National 'A' time standard in their age group.

In addition, we are capping teams at 50 athletes to help keep the team race competitive. If this rule will be an issue for your club, email me and we can discuss potential solutions. Again, this meet is all about TEAM. This meet is intentionally run the same weekend as Junior Nationals. We are targeting the next level of athlete while trying to provide an atmosphere that feels like a junior national meet.

See the attached tentative meet form for all of the details.

The Return of the SUPER Final
We are excited to announce we will be returning to the original "SUPER FINAL" formatting! For those of you that haven't been to this meet prior to 2020: In prelims, all age groups will be raced together (in 10 lanes). We will then offer a heat in finals for the top 8 11-12s, 13-14 [or 11-14 depending on the event], 15-Over A & B Final, and a SUPER FINAL. The Super Final is the fastest 8 qualifiers, regardless of age. So if you have a hot shot, up-and-coming 13 year old, they will get the chance to race in finals against the big boys and girls. It is a super fun format (pun intended) and we are very happy to live up to the Meet's title again.

The attached meet form provides all of the nuances of the finals system.

How to Reserve Your Club's Spot
We will be taking visiting club reservations in two "Waves". Each wave has an online form that will provide us with some basic estimates on numbers and allow you to put down a down payment that will go towards your team's entry fees. The Waves are broken down as follows:
  • Wave 1 priority: Clubs that attended in 2019 or 2020. Clubs in Wave 1 will have from now until October 31 at 12:00pm PST to reserve their spot.
  • Wave 2 priority: Anyone else who is interested in attending Super Finals or Wave 1 clubs that are tardy to the Wave 1 deadline. The Wave 2 Form will not be active until Monday, November 1 at 9:00am PST. The Wave 2 form will be turned off at the entry deadline, or when the meet is full, whichever comes first.
At this time, we don't have a hard maximum number of athletes we will permit. We will see what our entry numbers look like and work with Dixie State to decide if/when we need to cap the meet. Either way, I wouldn't drag your feet with your commitments.

Event File
As soon as we have an Event File, I will email it out and upload it to our website. You should still be able to run eligibility reports because that time standards are USA Swimming 'A' times.

Travel and Further Information
We have set up a Meet Landing Page on the Sandpiper's Website: https://www.teamunify.com/team/scsccsnv/page/system/res/129034
. This page will be continuously updated with files and information. I urge you to check it out for travel recommendations. If you are planning to fly, the Las Vegas airport is an easy 2-hour drive to St. George. There is also an airport in St. George (SGU). Both airports have rental car companies attached, so you can rent cars on site.

We have 3 hotel blocks in place that will fill quickly! If you get shut out, let me know and I will try to get more rooms added to the block. That information is available on the Event Landing Page.

Spectator Rules & COVID Items
I will publish a full outline of our Safety Procedures for the meet as it gets closer. However, please let your families know spectators are allowed to attend the meet. Parents will be called onto the deck when their athletes' event is up, and they can watch from the south side of the pool. After their athlete's race, they will be ushered out of the facility through a different door. Parents will have to remain outside throughout the meet. Tents and campers are permitted in the parking lot and the campus around the pool building. The meet will be live streamed as well.

Masks will be required for ALL athletes, spectators, officials, and coaches at all times

We are very excited to host you all! Don't hesitate to contact me if you have any questions.

Coach Michael Kinrosss
