E-mail #1: October 17 - Initial Info & Team Commitments

Hello Coaches,

I hope this email finds you all well and your teams swimming fast. Thank you for your patience with me in getting out this information.

We are now taking initial club reservations for the 2021 Las Vegas Super Finals Invite! Please refer to the attached preliminary Meet Forms for more information. We will be hosting the meet at Dixie State University's beautiful facility in St. George, Utah. The meet will run December 9-12. I have provided travel suggestions later in this email.

We would like to thank Olympus Aquatics for co-hosting the event with us. Paul Szuszkiewicz will be our Meet Ref and Alina de Armas our Admin Official. Both are cc'd on this email.

Meet Concept
The main concept behind this meet is to create a competitive, TEAM atmosphere and competition. We want teams to be able to travel with all of their training groups and make it an all around fun competition. Therefore, if a team is able to bring more than 25 athletes, there will NOT be time standards on the events for those teams. If a team is coming with less than 25 athletes, those swimmers will be subject to the National 'A' time standard in their age group.

In addition, we are capping teams at 50 athletes to help keep the team race competitive. If this rule will be an issue for your club, email me and we can discuss potential solutions. Again, this meet is all about TEAM. This meet is intentionally run the same weekend as Junior Nationals. We are targeting the next level of athlete while trying to provide an atmosphere that feels like a junior national meet.

See the attached tentative meet form for all of the details.

The Return of the SUPER Final
We are excited to announce we will be returning to the original "SUPER FINAL" formatting! For those of you that haven't been to this meet prior to 2020: In prelims, all age groups will be raced together (in 10 lanes). We will then offer a heat in finals for the top 8 11-12s, 13-14 [or 11-14 depending on the event], 15-Over A & B Final, and a SUPER FINAL. The Super Final is the fastest 8 qualifiers, regardless of age. So if you have a hot shot, up-and-coming 13 year old, they will get the chance to race in finals against the big boys and girls. It is a super fun format (pun intended) and we are very happy to live up to the Meet's title again.

The attached meet form provides all of the nuances of the finals system.

How to Reserve Your Club's Spot
We will be taking visiting club reservations in two "Waves". Each wave has an online form that will provide us with some basic estimates on numbers and allow you to put down a down payment that will go towards your team's entry fees. The Waves are broken down as follows:
  • Wave 1 priority: Clubs that attended in 2019 or 2020. Clubs in Wave 1 will have from now until October 31 at 12:00pm PST to reserve their spot.
  • Wave 2 priority: Anyone else who is interested in attending Super Finals or Wave 1 clubs that are tardy to the Wave 1 deadline. The Wave 2 Form will not be active until Monday, November 1 at 9:00am PST. The Wave 2 form will be turned off at the entry deadline, or when the meet is full, whichever comes first.
At this time, we don't have a hard maximum number of athletes we will permit. We will see what our entry numbers look like and work with Dixie State to decide if/when we need to cap the meet. Either way, I wouldn't drag your feet with your commitments.

Event File
As soon as we have an Event File, I will email it out and upload it to our website. You should still be able to run eligibility reports because that time standards are USA Swimming 'A' times.

Travel and Further Information
We have set up a Meet Landing Page on the Sandpiper's Website: https://www.teamunify.com/team/scsccsnv/page/system/res/108955. This page will be continuously updated with files and information. I urge you to check it out for travel recommendations. If you are planning to fly, the Las Vegas airport is an easy 2-hour drive to St. George. There is also an airport in St. George (SGU). Both airports have rental car companies attached, so you can rent cars on site.

We have 3 hotel blocks in place that will fill quickly! If you get shut out, let me know and I will try to get more rooms added to the block. That information is available on the Event Landing Page.

Spectator Rules & COVID Items
I will publish a full outline of our Safety Procedures for the meet as it gets closer. However, please let your families know spectators are allowed to attend the meet. Parents will be called onto the deck when their athletes' event is up, and they can watch from the south side of the pool. After their athlete's race, they will be ushered out of the facility through a different door. Parents will have to remain outside throughout the meet. Tents and campers are permitted in the parking lot and the campus around the pool building. The meet will be live streamed as well.

Masks will be required for ALL athletes, spectators, officials, and coaches at all times

We are very excited to host you all! Don't hesitate to contact me if you have any questions.
