Coach Membership Requirements Checklist

The following items must be submitted to the OSI Office whenever completed or updated (o[email protected]):

  • Your valid CPR certification
  • Your valid Lifeguarding or In-Water Skills Checklist
  • Your STSC Online certificate
  • Concussion Protocol Training certificate

The remaining items, which include the Background Check, APT,  will automatically match your record, assuming the information entered matches in both places. To ensure that items have been matched, look at your Dashboard, USA Swimming App. If items are missing, you should contact your club registrar and the Oregon Swimming Office to help sort out what's wrong.

Clubs: All clubs will need to specify their Club Admin. The Club Admin will be given access to the new Club Portal and have permissions to set up the club roles (Head Coaches, Board Members, etc.), renew the club, and much more.

To: USA Swimming Members 17 years and older, LSC General Chairs, LSC Administrative Vice-Chairs, LSC Offices, LSC Staff, LSC Safe Sport Chairs, LSC Registration Chairs, Club Contacts, Club Presidents and Club Head Coaches.

Since 2019, USA Swimming adult athlete members have been required to complete Athlete Protection Training (APT) as a requirement of membership. In 2019, USA Swimming built in an administrative grace period to give athletes 30 days after their 18th birthday to complete the requirement. Effective September 1, 2022, there will no longer be a 30-day administrative grace period. Going forward, any 17-year-old athlete who has not completed the APT requirement by their 18th birthday will not be a USA Swimming member in good standing unless or until the APT requirement is completed. This includes eligibility to compete in USA Swimming sanctioned meets, club practices and all other related activities. Athletes will continue to receive an email notification reminder of the APT requirement 30 days prior to their 18th birthday as well as a reminder on their 18th birthday.

All USA Swimming members aged 18 years old and older are required to complete APT annually. This is the individual’s responsibility and includes both athlete and non-athlete members.

Starting Thursday, September 22, the USA Swimming app will be the only mobile application available from USA Swimming. Deck Pass and Deck Pass Plus will no longer be supported.

The USA Swimming app is available to download on both the Apple App Store and Google Play Store.
Click here  to download from the Apple App Store
Click here  to download from the Google Play Store

The USA Swimming app and USA Swimming website will not support Deck Pass login credentials. To access USA Swimming member experiences on the website and app all users will be required to create or sign in to their new USA Swimming account. If you have not created a new USA Swimming account, please follow the instructions below to create your account.

USA Swimming Account Creation

Users can create a new USA Swimming account by clicking here, accessing the account creation page by clicking "Login/Register" at the top of the USA Swimming website, or clicking the red "Login/Register" button on the USA Swimming app home screen.

Start the account creation process by clicking the "Create a login" button. Based on your current USA Swimming membership status, please follow the appropriate steps below to create your new USA Swimming account:

Account Creation for Existing USA Swimming Members (e.g.: athletes, officials, non-athlete members)

Even existing members need to create a new account to access their new member dashboard. During account creation, existing USA Swimming members must link to their NEW USA Swimming ID.

You will enter and link to your new USA Swimming ID when you create your new account. Once you have entered and linked your new USA Swimming ID, all historical registration data will be automatically transferred and synced to your new account. This includes items such as times, certifications, Athlete Protection Training (APT) status, Background Check status and account permissions.

Members can request and receive their new USA Swimming ID by following these steps:
  1. Select “Existing Member” when creating your new account.
  2. Request your new USA Swimming ID be emailed to you.
    • This action will send your new USA Swimming ID to the email on file in USA Swimming’s old member database.
    • The email currently on file, that will receive the new ID, may be different than the email entered/used during your new account creation – please check all your email addresses, junk folders, etc.
    • The email on file, that will receive the new ID, may be missing, incorrect or outdated. If you do not receive the email with your new ID, it is likely that your email address is incorrect in the old database. Users that do not receive their new USA Swimming ID via email should proceed to the third step.
  3. If you do not receive an email with your new USA Swimming ID, please reach out to your Club. Your Club Admin has access to search in SWIMS, where they can find and share your new USA Swimming ID.
    • Once you receive your ID from your club, you can proceed with your account creation.
Existing members should not proceed with account creation until they have entered their new USA Swimming ID. Proceeding without linking to your new ID will create an account without any record of membership requirements, certifications, times, etc. and you will not have access to your USA Swimming membership dashboard.

Click here for a video tutorial of the account creation process for existing USA Swimming members.

Account Creation for Users Without an Existing USA Swimming ID (e.g. parents)

Parents or other users who do not currently have a USA Swimming ID number can create a new account. To do so, please follow the steps shown in this video tutorial.

Note: Parents can now create a parent account and link to their children’s membership accounts. The Parent account will not have a USA Swimming membership ID linked to the account but can still link to athlete memberships using the “My Family” feature on their dashboard.

Important - Registrations are effective immediately upon completion of the Online Member Registration process (after payment is complete). There is no additional approval required at the LSC level.

Important - Because registrations are effective immediately, there is no adjusting the dates of registrations. Under no circumstances can athletes compete or practice without a valid registration (no backdating!)

Important - Club renewal - Club renewal links will display for club admins starting 9/1. There is no immediate need for clubs to renew since you're valid until 12/31.

Important - Starting September 1, 2022, background checks will be initiated through a member’s new USA Swimming Account (Education - Course Catlog).

FAQ - How do I send my Registration Link to members? Each club will need to determine the process that works best. Clubs using 3rd party vendors with SWIMS 3.0 integration may have additional options. All clubs will be able to copy and paste their link into an email for direct distribution. In addition, clubs will be able to generate new links if something happens to the existing ones. Protect your links as much as possible to prevent people who haven't registered with your club from getting through.

FAQ - I see I have two links, one for Full Price and one for Outreach - Athletes qualifying for Outreach membership (click here for Criteria) will use a distinct link. This link will provide the correct pricing for their membership.

FAQ - What if someone doesn't have a credit card? A pre-paid gift card, or virtual gift card, may work. Google Pay and Bank Transfers are other options.

FAQ - What if my club wants to pay? Clubs may need to get a little creative here. The above question may answer this as well. If the club wants to pay without reimbursing, they would need to provide a form of payment. Registrations need to be completed by the individual registering (or a parent). The only exception is an upgrade, but it is still recommended to have the family/member complete that.

FAQ - There are people on my non-athlete roster no longer affiliated with my club. How do I get them off? If a club admin looks at the non-athlete roster, selects the edit option, and then initiates a transfer to OR/UN, they will move off of the club.

FAQ - I wear multiple hats as a coach, official, board member, etc. What do I register as? All of them! In the new system, you will select any membership category that applies to you. You are only billed for one USA Swimming membership. LSC fees apply to each membership selected. The price at check out will show this for you.

FAQ - I don't want to register, but I want to view my kids. How do I do that? On 9/1 users will be able to head to, create a new account, and proceed accordingly. Once your account is created, you will be able to enter your family on your dashboard. In order to facilitate adding family members, their new ID will be required.
