YNWL Volunteer Requirements

All YNWL program offerings are designed and planned for the benefit and enjoyment of our swimmers. It is an honor and a privilege to have the ability to host events at our great facility. These events serve many purposes, including developing skilled and enthusiastic athletes, building team unity, generating support among families, demonstrating to our athletes the importance of giving back, and significant financial support for the program helping to keep monthly fees stable. Hosted Events save families over $300 per swimmer annually.

The Volunteer Worker Requirements have been established in order to fulfill our program needs for the 2021-22 swimming year (Sept-July). Per family requirements may be adjusted during the year according to actual team needs.

Volunteer Requirements - Minimum Hours per FAMILY for the year (SCY & LCM, Sept-July) based on the family’s highest Level swimmer on the team

  • Pre-I = 4hrs
  • Level I/II = 11hrs
  • Level III/IV = 16hrs
  • Level V/VI = 23hrs

 

  1. Each family is required to sign-up for (and complete) the minimum hours of volunteer hours for the Winter and Summer Seasons combined.
    1. Required hours will be pro-rated for Late Registrants and will be pro-rated for early withdraw from the program, based on opportunities that have been available.
      1. If hosted events are canceled, required hours per family may be adjusted lower.
    2. Expectations
      1. For all YNWL-hosted meets, parents are expected to volunteer for meet worker positions regardless of whether their child is competing in the meet
        1. We typically have 8 annually hosted events: Fall Invitational, “B” Meet, January YMCA Meets (2), Spring Invitational, Damon McCoy, City Summer League Champs, & Last Chance
      2. Away Meets: Parents of swimmers in the meet are expected to assist in fulfilling volunteer positions assigned to the team, regardless of having fulfilled the YNWL Volunteer Requirement. Unfilled positions may be assigned to the families in attendance with the lowest seasonal volunteer credit at that time. Failure to fill a position if assigned may result in additional hours being added to the family’s requirement.
      3. Championships – Help fill League Assigned positions for each Championship meet your swimmer attends, regardless of having fulfilled the YNWL requirement. Unfilled positions may be assigned to the families in attendance with the lowest seasonal volunteer credit at that time. Failure to fill a position if assigned may result in additional hours being added to the family’s requirement.
      4. Hours for assorted jobs as needed for special events or other meets.
  2. There will be a $20 per hour charge for unfulfilled hours at the end of the LCM season or at the time a swimmer leaves the program, whichever comes first.
  3. Requirement Pro-Rate Policy
    1. Families joining between December 1st – January 31st will be required to complete 75% of the normal requirement
    2. Families joining between February 1st -March 31st will be required to complete 50% of the normal requirement
    3. Families joining after April 1st will have required hours determined based on the number of events remaining on the schedule and available opportunities
  4. Fee Pro-Rate Policy
    1. Families leaving the team between November 15th-December 31st must have completed at least 20% of volunteering or will be charged $20/hr for the difference up to 20%
    2. Families leaving the team between January 1st-February 28th must have completed at least 40% of volunteering or will be charged $20/hr for the difference up to 40%
    3. Families leaving the team between March 1st-June 1st must have completed at least 60% of volunteering or will be charged $20/hr for the difference up to 60%
    4. Families leaving the team after June 1st must have completed the full required volunteer requirement.

How do I sign up to volunteer at meets?

Sign into the website, click on the Events Tab, then click on the job signup button next to each meet. (the jobs will be posted as they are made available).

Check out the available positions and find the best one for you. Click that job, enter in the contact info for the person in your family that is working (name and phone number), then click the signup button at the bottom.  Done! Be sure to make note of your signup by putting it in your calendar.

Will there be reminders sent out to the families?  YES!  All of the meets will have reminders set up, and will hit both your email and your text.  Be sure that your account information is up to date, and that you have gone thru the steps to verify both your email address AND your cell phone number.

What if I need to change my signup?  It’s super easy. Follow the directions above. Then when you get to the signup page, click the job you signed up for, and click remove signup. Then choose your next job and follow the directions above.

What if I can’t fulfill my job?  Great question. What you DO NOT want to do is be a no show.  If you cannot fulfill your slot please remove your name from the job signup page so that someone else can fill your roll instead. OR, send someone in your place. If it is day of the meet, you will want to contact your swimmer's coach and let them know your swimmer will not be attending the meet, AND you will not be able to work your required volunteer commitment.

How do I know what time to arrive?  The estimated time of your job is listed in the same spot where you signup for the job. Know what time you need to arrive for your shift, and please be prompt. Your swimmer’s team is counting on YOU!

Now that I’ve worked my shift, how do I see my accumulated hours? Log in to the website, click on My account, then invoices and payments then click on service hours to see your current total hours.

Why am I not seeing my hours posted?

Here is a list of reasons why sometimes families don’t initially get their allotted credit and should simply contact the Coaches to get it corrected:

They signed up online but did not show

They did not sign up online but worked anyway.

They did not sign up but got pulled from the stands to time
